An accounts payable agent should automate routine invoice work—extracting data, identifying vendors, suggesting classifications and matches, and preparing a draft—then pause when it lacks reliable evidence or a decision needs business judgment. Keep human review, approval, and posting as distinct controls. The workflow below is a practical design based on documented product capabilities, not a report of a specific build or its measured results.
What the agent should do—and where it should stop
Think of the agent as a preparer, not an autonomous payer. It can turn invoice information into a proposed purchase document; people and existing controls remain responsible for uncertain decisions and consequential actions.

- Automate: capture invoice data, identify a likely vendor, suggest line details and purchase-order matches, and prepare a purchase-document draft.
- Pause for review: when a vendor match or accounting classification is uncertain, a warning needs context, a new vendor is proposed, or an exception falls outside the system’s configured resolution paths.
- Keep separately controlled: invoice approval and posting. A prepared draft is neither an approved invoice nor a posted transaction.
Microsoft describes a Business Central workflow in which PDF invoices arrive as email attachments, the agent extracts information and proposes vendor, line, and purchase-order details, and a supervisor can review or change those suggestions. The agent can ask for help when it cannot confidently identify a vendor or classify a line. Finalizing a reviewed draft creates an unposted purchase invoice; posting and the organization’s approval workflow remain separate. Microsoft’s workflow overview and FAQ describe this product-specific pattern.
When should an accounts payable agent ask a human?
Define escalation triggers before automating intake. A confidence score can help prioritize review, but it should not replace deterministic checks or human judgment. Microsoft warns that vendor matches and classifications can be inaccurate, and distinguishes purchase-order warnings from AI confidence.

- Uncertain vendor identity: pause if invoice details do not support a reliable match to an existing vendor. Do not silently create or substitute a vendor record.
- Unclear accounting classification: ask when the account or line classification cannot be justified from the invoice and available records.
- Potential new vendor: route vendor creation through the organization’s normal master-data controls rather than letting an uncertain match become a new record automatically.
- Mismatch or warning requiring context: a system can detect a discrepancy, but a reviewer may need to determine whether it reflects an acceptable business exception.
- Unsupported or unresolved exception: route anything outside configured safe resolution paths to a designated queue or specialist.
Oracle offers a different product example: its Payables Agent documentation describes invoice capture, extraction, monitoring, learning from corrections, and centralized exception handling, alongside anomaly and compliance controls. Oracle’s 26D release notes describe matching controls based on business attributes and predefined resolution paths for supported import exceptions. They say the feature supports three exception patterns and can automatically resolve more than 60 import rejections; that is a product-specific count of rejection cases, not an accuracy measure or an industry-wide benchmark. Unsupported cases should go to a designated queue or specialist. Oracle’s overview and 26D release notes document those capabilities.
Design a review task a person can actually decide
A reviewer should not have to infer what the agent saw or why it stopped. Present the source evidence beside the proposed action, and make the reviewer’s response an explicit workflow outcome.

- Show the source: provide the invoice and the extracted values relevant to the decision.
- Show the proposal: identify the agent’s proposed vendor, classification, match, or correction, with its rationale.
- Surface the issue: include the warning, mismatch, or uncertainty that triggered the review.
- Ask for a defined action: let the reviewer approve, reject, correct, or request more information as appropriate. Capture a reason where the decision needs one.
- Record and route the result: retain the decision and any correction, then direct the workflow according to the selected outcome.
UiPath’s human-in-the-loop documentation describes task inputs and outputs, multiple outcomes, invoice approval, exception escalation, and write-back validation. It includes an illustrative prompt for adding a review after a risk score is calculated; that is an example of workflow configuration, not evidence of measured performance. See UiPath’s human-in-the-loop task documentation.
Keep permissions, auditability, and posting controls intact
Human review is only meaningful when the workflow preserves accountability around it. In Business Central, Microsoft says the agent operates within configured permissions and uses a unique user identity, attributing its actions to that identity. Scope those permissions to the work it needs, and retain a record of both agent actions and human decisions. Microsoft also states that its Payables Agent does not post purchase invoices, and that task review is separate from the Business Central approval workflow. Microsoft’s FAQ explains these boundaries.

In practical terms, let the agent prepare and, where appropriate, finalize a reviewed draft; do not treat that step as approval or posting. Preserve your organization’s approval workflow and posting permissions for the people or controls authorized to perform them. This separation limits the consequences of an extraction or matching error and makes it clear which actor made each decision.
Build around the inputs and records the workflow depends on
Automation quality depends on the system’s supported inputs and the records it can match against. The documented Business Central Payables Agent processes PDF invoices arriving by email and skips emails with more than 10 attachments. Microsoft’s FAQ also lists volume and file-size or page limits; check the live documentation for the applicable limits before relying on a particular throughput or invoice size.

Keep vendor, item, purchase-order, and chart-of-accounts data current. Microsoft notes that these records affect the quality of suggestions and that limited transaction history can yield fewer account suggestions. If the source records are incomplete or stale, the agent may produce fewer useful matches or need more human guidance; do not interpret a lack of suggestions as evidence that an invoice is valid.

Choose a workflow by its controls, not by the word “agent”
The documented examples are not a neutral performance ranking. Microsoft’s workflow is tied to Business Central and email/PDF intake; Oracle documents configurable invoice controls and exception paths; UiPath describes task patterns for inserting human decisions into automations. Compare the specific capabilities that affect your controls and operations:
- Supported intake channels and invoice formats.
- Extraction, vendor identification, classification, and matching behavior.
- How uncertainty, warnings, and exceptions are surfaced to reviewers.
- Which exception cases can be resolved automatically, and where unsupported cases are routed.
- Whether the system prepares, finalizes, approves, or posts—and how those actions are separated.
- Permission boundaries, actor identity, and audit records.
- Dependencies on master data and historical transactions.
- Applicable language, geographic, volume, file-size, and page limits.
