Use AI safely by treating each tool as a business system with an owner, a defined purpose, controlled data, tested outputs, monitored operation and a documented off-switch. A practical small-business checklist has seven parts: govern, map the use case, protect data and privacy, measure quality and harm, manage operations, train people, and recheck legal and supplier obligations.

No single U.S. federal checklist applies to every small business. The controls you need depend on your location, industry, contracts, information handled and the consequences of an AI-assisted decision. The framework below gives a proportionate baseline, with stronger safeguards for hiring, credit, health, safety, legal, eligibility and other high-impact uses.

Start with this small-business AI checklist

Before an employee connects an AI service to company work, complete these actions:

What’s actually slowing this PC down?

  1. Name an accountable owner. Record who approves use, accepts residual risk and can suspend a system.
  2. Publish an AI-use policy. List approved tools and purposes, prohibited data and activities, required human review, disclosure expectations and reporting routes.
  3. Inventory every use. Capture the tool, vendor, users, data sources, connected systems, geography, retention, access rights, outputs and people affected.
  4. Classify impact. Distinguish low-impact drafting from decisions that can affect employment, money, health, safety, legal rights or customer eligibility.
  5. Check the supplier. Verify security, privacy, retention, deletion, training-use, subcontractors, breach notice, service availability and contract terms.
  6. Minimize and protect data. Keep personal, financial, confidential and proprietary information out of a tool until its permissions and protections are documented.
  7. Test before launch and after material changes. Include normal examples, edge cases, adversarial prompts, privacy-leakage checks and accessibility checks.
  8. Require human decisions for consequential outputs. Preserve the evidence a reviewer used and provide a way to challenge or correct an outcome.
  9. Monitor and respond. Define logs, alerts, incident ownership, communications, escalation, rollback, backup and recovery.
  10. Train and review. Teach staff approved use, prohibited inputs, verification, phishing and prompt-injection awareness, then revisit the inventory and policy on a set cadence.

This is a control system, not a one-time approval. A model update, new integration, changed contract or new use case can change the risk profile.

Why a small business needs a formal process

Small companies often adopt AI through individual subscriptions, browser extensions or features inside software they already use. That makes untracked “shadow AI” likely: customer details may be pasted into a public chatbot, or an AI feature may silently process data in a connected system. A written process makes responsibility visible and gives employees a safe alternative to guessing.

The scale of the small-business sector explains the exposure. The Cybersecurity and Infrastructure Security Agency reported in 2023 that the United States had more than 31.7 million small and medium-sized businesses, representing 41.7% of private-sector employees and nearly half of gross domestic product. CISA also notes that many smaller firms lack dedicated risk-management specialists. Your checklist therefore needs to be usable by an owner, operations lead or IT generalist, not dependent on a large compliance department.

NIST Special Publication 1314 (2024) is designed for small, under-resourced entities. It provides seven Risk Management Framework steps, foundational tasks, planning tables and organizational questions. NIST’s AI Risk Management Framework (AI RMF) Playbook (2023) groups practical actions under Govern, Map, Measure and Manage. The Playbook itself cautions: “The Playbook is neither a checklist nor set of steps to be followed in its entirety.” Use its actions to tailor this checklist to your risk, rather than claiming that a completed form guarantees safety.

1. Govern: assign ownership and set the rules

Name one accountable owner

Choose a person with authority to approve a use, require changes and stop it. The owner may be the founder, operations manager, privacy lead or IT provider, but “everyone” is not an accountable role. Record a backup owner and the route for urgent escalation.

Define risk tolerance

Write down what the business will not accept. Examples include sending customer financial information to an unapproved service, allowing an AI system to make a final employment decision, or permitting an integration to take irreversible action without confirmation. State which lower-risk errors can be corrected later and which require prevention before launch.

Approve an AI-use policy

Your policy should cover:

  • Approved tools, accounts and business purposes.
  • Prohibited inputs, such as unnecessary personal, payment, health, authentication or trade-secret data.
  • Activities requiring a named human reviewer.
  • Verification, record-keeping and disclosure requirements.
  • How employees report an unsafe output, suspected leak, biased result or unauthorized tool.
  • Who can approve exceptions and when the policy is reviewed.

Record legal and contractual duties

Keep a register of privacy, employment, consumer-protection, intellectual-property, accessibility and sector-specific requirements that apply to each use. Add customer, insurer, lender and partner contract restrictions. The Federal Trade Commission’s small-business guidance recommends establishing and monitoring a cybersecurity strategy, policy, expectations and supplier requirements; those expectations should extend to AI vendors and integrations.

Set a review cadence

Review the policy and inventory at a defined interval and whenever a vendor changes its model, terms, data practices or connected permissions. A material incident, new jurisdiction, new data category or expanded decision authority should trigger an earlier review.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Map each AI use case before approving it

Do not inventory only product names. Record each distinct workflow, because the same tool can be low risk for drafting and high risk when it recommends who receives credit or employment.

Record Questions to answer
Purpose and users What business problem is addressed, who operates it and who can approve or override its output?
Inputs and sources What files, messages, databases, prompts, sensors or third-party feeds enter the system? Who owns each source?
Outputs and actions What does the system produce, and can it send messages, change records, spend money or trigger another system?
People affected Which customers, applicants, employees, suppliers or members of the public could experience an error or disadvantage?
Vendor and geography Which supplier and sub-processors are involved, where is processing performed, and what jurisdiction governs the contract?
Retention and access How long are prompts, outputs, logs and backups kept? Which roles can view, export or delete them?
Change and retirement How will you learn about model or feature changes, and what happens when the tool is replaced or withdrawn?

Classify the impact

Label the use as low, moderate or high impact according to the harm an error could cause. A meeting-summary draft generally has a different profile from an automated hiring screen. Credit, insurance, health, safety, legal, housing, benefits and customer-eligibility decisions deserve the strongest review, documentation and human authority. If you cannot explain the impact and affected groups, pause approval until the map is complete.

3. Protect data and privacy

Minimize before you upload

Remove names, account numbers, exact addresses and other identifiers when they are not needed. Replace real records with synthetic or redacted examples for experimentation. Separate a tool that generates a draft from a system that stores the source data; the latter needs stronger access, retention and deletion controls.

  • [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by

Verify the supplier’s terms

Before sensitive data enters a service, document its stated purpose, permission model, retention period, deletion process, use for model training, security controls, breach-notification terms, subcontractors and applicable data-transfer rules. Confirm that the contract matches the business promise you make to customers and employees. If an answer is unclear, treat the data as not approved rather than assuming a favorable setting.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Control access and connected systems

  • Use business-managed accounts and multi-factor authentication where available.
  • Give each user and integration the least privilege needed for the task.
  • Separate experimentation from production data and production credentials.
  • Review browser extensions, plugins, API keys and shared workspaces for unnecessary access.
  • Log administrative changes, exports and high-impact actions.

Maintain a broader asset inventory

The FTC recommends regular updates and backups, and says the NIST Cybersecurity Framework (CSF) 2.0 is free, voluntary and flexible. Track AI alongside hardware, software, data and services so that a model cannot become an unowned dependency. Test that backups exclude neither the records needed to investigate an incident nor the controls needed to restore operations.

Check financial-sector obligations

Covered financial institutions must account for the FTC Safeguards Rule. Amendments made in 2021 added concrete safeguards, and breach-reporting requirements took effect in May 2024. Whether the Rule applies depends on the institution and activity; obtain qualified advice rather than assuming that a small size creates an exemption.

4. Measure accuracy, security and harmful impact

Test representative and difficult cases

Build a test set from real task patterns after removing unnecessary personal information. Include ordinary inputs, incomplete records, ambiguous requests, uncommon names and language varieties, accessibility needs, and cases where the correct response is “I don’t know” or “escalate.” Repeat tests after a material model, prompt, data or integration change.

Use a trustworthiness test matrix

Check Evidence to keep
Validity and reliability Accuracy criteria, representative examples, error rates or reviewer findings, and reproducibility checks.
Safety Unsafe-output tests, refusal behavior, escalation results and safeguards against harmful instructions.
Security and resilience Prompt-injection tests, unauthorized-action attempts, permission checks and behavior during service failure.
Privacy Leakage tests, redaction results, retention settings and deletion verification.
Fairness Comparisons for relevant groups, investigation of disparate errors and a remediation decision.
Transparency and explainability Plain-language limitations, source or confidence information where available, and the reviewer’s rationale.
Accessibility Checks that people using assistive technologies or different communication modes are not excluded.

These checks reflect the NIST AI RMF 1.0 trustworthiness characteristics: valid and reliable; safe; secure and resilient; accountable and transparent; explainable and interpretable; privacy-enhanced; and fair, with harmful bias managed.

Keep a human decision-maker

For consequential outputs, a person with appropriate authority must review the evidence, verify important facts, consider alternatives and be able to reject the recommendation. Record the input version, output, reviewer, decision, corrections and escalation. Do not describe a nominal click-through as meaningful human oversight if the reviewer lacks time, information or authority to disagree.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

5. Manage day-to-day operation and incidents

Define monitoring

Choose signals that match the use: error reports, unusual prompt volume, permission changes, failed safety tests, data-loss alerts, unexplained output shifts, customer complaints and supplier notices. Set thresholds that trigger investigation and name the person who receives each alert.

Prepare an incident playbook

  1. Contain: pause the workflow, revoke a token, disable an integration or restrict access.
  2. Preserve: retain relevant prompts, outputs, logs, settings, contracts and reviewer notes without spreading sensitive data.
  3. Assess: determine what information, people, decisions and systems were affected.
  4. Notify: inform the owner, customers, suppliers, insurers or regulators when required by law or contract.
  5. Recover: restore from a known-good configuration, correct records and provide a human remedy.
  6. Improve: document the cause, update tests and policy, and decide whether to resume, redesign or retire the use.

The FTC CSF lifecycle is Govern, Identify, Protect, Detect, Respond and Recover. Apply the same cycle to AI rather than treating a model as exempt from ordinary cybersecurity operations.

Plan suspension and retirement

Define who can stop the system immediately, what manual process replaces it, how queued actions are cancelled and how data is returned or deleted. When retiring a tool, remove credentials and integrations, preserve records needed for legal or operational reasons, verify deletion commitments and update the inventory.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Train every person who touches the system

Training should be role-specific and repeated when tools or threats change. At minimum, show staff:

  • Which accounts and tools are approved and what each is for.
  • Which personal, financial, confidential, proprietary and regulated data must not be entered.
  • How to verify facts, citations, calculations, code and generated communications before use.
  • How to recognize prompt injection, phishing, malicious files and instructions that try to bypass policy.
  • When to disclose AI assistance to a customer, colleague or decision subject.
  • How to escalate an unsafe, biased, leaked or inexplicable result.
  • How to report an unapproved tool without fear of punishment for raising a concern.

NIST’s AI RMF Playbook explicitly includes AI actor training, while SP 1314 supplies organizational questions and foundational tasks for small teams. Keep attendance, exercises and policy acknowledgments as evidence that training occurred.

Choosing a control approach that fits your business

There is no universally correct framework. Compare the available approach against your actual exposure and capacity:

Decision factor Questions for the owner When stronger controls are justified
Ownership and documentation Can one person approve, review and evidence each use? Multiple teams, regulated work or decisions affecting rights require formal records and separation of duties.
Data sensitivity Does the workflow handle personal, financial, health, confidential or proprietary information? Use stricter minimization, access, retention, deletion and contractual controls.
Decision impact Can an output change employment, credit, health, safety, legal position or eligibility? Require documented human review, explanations, appeal or correction routes and deeper testing.
Supplier transparency Can the vendor explain processing, subcontractors, changes and incidents? Unclear terms or weak notice justify limiting data, choosing another supplier or not deploying.
Testing and monitoring Can you test realistic edge cases and detect drift or misuse? High-impact use needs repeatable tests, thresholds, logs and review after changes.
Incident and recovery Can you pause the tool and continue manually? Irreversible actions or customer-facing automation need tested rollback and recovery.
Cost and capacity Can staff maintain the controls over time? If not, narrow the use, add qualified help or choose a simpler system.

NIST AI RMF is a flexible, voluntary AI framework. FTC CSF guidance supplies a broader cybersecurity lifecycle. The FTC Safeguards Rule adds mandatory controls for covered financial institutions. These instruments can complement one another; none removes the need to determine which laws and contracts apply to your business.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Put the checklist into practice

Create one living register

Use a spreadsheet or ticket system with one row per workflow. Include owner, purpose, impact class, users, inputs, outputs, affected people, vendor, geography, retention, permissions, contract status, test date, review evidence, incident contact, next review and retirement condition. Link to the approved policy and the current version of prompts or configuration where those are material to behavior.

Stage approval by risk

  1. Discover: collect employee declarations, software inventories and vendor feature lists to find existing use.
  2. Screen: reject prohibited data or activities and classify the remaining workflows by impact.
  3. Design: minimize data, set permissions, select human checkpoints and write the incident path.
  4. Test: run representative, edge, security, privacy, fairness and accessibility checks; record failures and fixes.
  5. Approve: obtain the owner’s sign-off, confirm contracts and publish the user instructions.
  6. Operate: monitor signals, review complaints and vendor notices, and maintain backups and a manual fallback.
  7. Reassess: repeat the review after material changes, incidents, new data, new jurisdictions or expanded decision authority.

Know when to obtain specialist advice

Seek qualified local advice for privacy, employment, consumer protection, intellectual property, accessibility and sector rules. A checklist can organize questions and evidence, but it cannot determine legal applicability for every jurisdiction or business model.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
