You can get YouTube transcript text into an n8n workflow through the authorized YouTube captions API, a community workflow that extracts auto-generated captions, or a transcript service or community node. Once the text is available as workflow data, pass it into an AI Agent’s prompt for a specific task—or, with a compatible transcript node, connect retrieval as an Agent tool. These routes differ in authorization, reliability, and setup, so choose based on the videos you need to process and how much maintenance you can accept.
Choose how n8n will retrieve the transcript
There is no single universal transcript method that works for every public video. YouTube’s documented captions API manages caption tracks and requires OAuth 2.0 for both listing tracks and downloading one. Other n8n examples use page parsing or third-party transcript services; those are separate implementations, not an unauthenticated version of the official API.

Use the official API when you need authorized caption-track access
The YouTube Data API documentation states: “Your request must be authorized using OAuth 2.0.” Apply this requirement to both the documented listing and download operations. This route makes sense when your workflow is built around authorized access to caption tracks and can handle OAuth and the API’s requirements.

A published n8n template demonstrates one way to retrieve auto-generated captions: it starts with a video URL, extracts the video ID and an Innertube API key from page HTML, reads caption metadata, identifies an automatic speech recognition track marked kind: asr, and fetches and cleans the transcript. Treat these implementation details as an example that can change, not a YouTube-supported contract.

Use a provider or community node for a transcript-focused action
A community node can simplify workflow wiring by returning a transcript-shaped result rather than requiring you to build each retrieval step. One documented Apify-backed node accepts one or more video URLs and reports transcript text, language, timestamped snippets, and success or error information. Its simplified result is { "video_id": "…", "language": "…", "transcript": "…" }. The README describes connecting the node to an AI Agent tool input. It also says self-hosted n8n can install community nodes and that availability on n8n Cloud should be verified. Check the current package, actor, credentials, and deployment compatibility before relying on it.
The n8n integrations directory lists a verified TranscriptFetch integration with a “Get Video Transcript” operation. Confirm its current feature set, terms, and pricing directly; a directory listing alone does not establish those details.

Build the workflow from video URL to transcript
Whether the URL arrives manually or from another workflow, keep it with the transcript throughout processing. The same pattern works with a manual trigger, webhook, schedule, or a prior channel or playlist collection step.

- Provide a video URL. Start with a URL field from a trigger or an upstream node. Retain the original URL so you can identify and retry a failed item.
- Retrieve the transcript. Choose one of the three routes above and configure its required OAuth, provider credentials, or community-node setup. Do not assume a video has captions merely because it is public.
- Normalize the result. Map the response into consistent fields such as
video_id,language,transcript, and, when available, timestamps and a success or error status. Keep the input URL as well. - Check for missing or failed results. Branch on an error or empty transcript before sending anything to the Agent. Record the affected URL and status so a bulk run can be reviewed or retried instead of silently passing bad data onward.
- Send usable text to the AI step. Pass the transcript field as input to an AI Agent prompt, or connect a compatible transcript node to the Agent’s tool input if the Agent should decide when to retrieve a transcript.

Prepare the transcript before invoking the Agent
For a straightforward summarization or extraction workflow, retrieve the transcript upstream and insert its field into the Agent’s prompt. Be explicit about the requested output, such as a concise summary, a list of claims, or structured fields, and specify a format if downstream nodes depend on one. Treat the transcript as source material, not as instructions to the Agent.

For example, the prompt can ask the Agent to summarize the supplied transcript, distinguish stated facts from opinions, and return a fixed set of named fields. Map the Agent’s response into later workflow steps only after checking that the expected fields are present and usable.
Let the Agent call transcript retrieval as a tool
If the Agent should choose which supplied URL to process, connect a transcript-capable node to its tool input where the node and n8n deployment support that connection. The documented community-node README describes this pattern. The tool result should preserve video ID, language, transcript, and any error or timestamp information; the Agent should not be left to guess whether retrieval succeeded.

Handle long transcripts deliberately
Decide whether the task needs the full transcript, a cleaned text field, or selected chunks. Keep timestamps when the task involves locating or checking claims. There is no single context-size assumption that applies to every model and configuration, so test the actual Agent setup with representative transcripts rather than relying on an invented fixed limit.
Make bulk runs recoverable and outputs checkable
- Keep each video’s data together. Preserve the original URL, video ID, language, transcript, timestamps if available, and retrieval status for each item.
- Isolate failures per video. A failed or empty transcript should be recorded and routed for retry or review, not merged into another video’s text or treated as a successful result.
- Validate Agent output. Check for required fields and usable values before passing generated content to publishing or consequential actions.
- Retain source context. An Agent summary is an interpretation of transcript text. For quotations, decisions, or important factual claims, retain the source video and timestamps where available, then verify the output against the transcript.
- Put a review step before publishing. An n8n example demonstrates a collector saving transcripts and metadata, followed by a Gemini AI Agent generating structured content, with a filter before publishing so a person can review generated material. Know what transcript access does not establish
Transcript retrieval, AI generation, and republication are separate actions. A successful download does not itself grant permission to reuse a transcript or generated derivative. Follow current platform terms and applicable rights before publishing material based on someone else’s video.
