Meeting owners and participants must decide what may be captured, review what the AI produces, control who receives it, and follow the rules for keeping or deleting it. Exactly which tasks the software performs depends on how it works.
What an AI meeting assistant actually does
“AI note taker” describes several different workflows, not one standard feature. Some tools process meeting audio into a transcript and then use that text to produce notes. Microsoft describes Teams transcription as converting spoken audio into text, while its intelligent recap depends on transcript availability and licensing. Notion says its meeting-notes feature sends audio to named subprocessors for real-time transcription and generates insights such as summaries and action items.

Other modes can produce notes without making a transcript. Microsoft documents a Copilot mode that uses meeting audio and contextual signals to generate live notes without creating a transcript. That distinction matters: “no transcript” does not necessarily mean no meeting data is processed or retained. Microsoft says prompts and responses from this mode may remain subject to organizational retention policies in Purview.
Before treating an assistant as a note-taking bot, establish what it captures and what it creates. A meeting record might include audio, a transcript, a summary, action items, or prompts and responses. Each can have different access, storage, deletion, and retention rules.

Which work moves to the assistant—and which stays with people
Automation can reduce the effort of turning a conversation into written notes. It does not decide whether the conversation should be captured, whether the resulting notes are accurate enough to use, or who should see them. Those choices remain with the people and organization responsible for the meeting.
- Before the meeting: The owner decides whether an assistant is appropriate, informs participants, and sets boundaries for sensitive topics and distribution.
- During the meeting: Participants generate the conversation, decide what is suitable to discuss with an assistant present, and respond to the tool’s visible recording or note-taking indicators.
- After the meeting: A responsible person checks the summary and action items, corrects errors, chooses recipients, and handles retention or deletion under applicable policies.
This is a redistribution of work, not proof that the work has disappeared. A tool may draft the record; people remain accountable for how the record is created and used.

Consent and privacy are configuration questions
Platform controls differ, and their existence does not establish legal compliance. Google Meet says participants are notified when notes are being taken and see a pencil icon; administrators can configure whether explicit consent is required for note-taking, recording, or transcription. Microsoft Teams can require participant agreement. When that policy is enabled, a person who declines gets a view-only experience, and consent data can be included in reporting or audit logs.

Harvard University Information Technology recommends informing participants and proceeding only after consent before recording or transcription begins. It also advises against using AI assistants for sensitive discussions, including patient information, employment actions, personally identifiable records, sensitive research, donor strategy, or privileged legal advice. These are institutional guidelines, not a statement of recording law for every location or organization.

Harvard’s guidance also warns that distributing AI-generated transcripts and summaries could affect how openly people participate: “Creating and distributing AI-generated transcripts and summaries could stifle open conversation and discourage some meeting attendees from fully participating, akin to the video or audio recording of a meeting.” This is a risk to assess for a particular meeting, not a measured universal effect.
Why an AI summary is not an official record by itself
A fluent summary can still be wrong or incomplete. Harvard University Information Technology cautions that AI-generated summaries may contain inaccuracies, omit nuance or context, or mishandle sarcasm and irony. A summary should therefore be reviewed and corrected before it is shared or relied on, especially when decisions, responsibilities, or sensitive matters are involved.

Review should include more than spelling. Check whether decisions and action items reflect what participants agreed, whether owners and deadlines are accurate, and whether the summary leaves out a qualification that changes the meaning. If the record needs to be authoritative, the organization should define who approves it and which version counts as the official record.

How to assess an assistant before a meeting
Ask specific questions about the complete workflow rather than relying on a broad label such as “AI notes” or “no recording.” Product behavior and controls can change, so check current documentation and organizational settings.

- What is captured: audio, transcript, summary, action items, prompts, or responses?
- Does audio leave the device, and which processors handle it?
- Is a transcript created, including in modes described as not recording or not transcribing?
- Who can access the notes, and how are they shared?
- What consent behavior do participants see, and can an administrator require agreement?
- How can notes be corrected, audited, deleted, or retained?
- Which organizational records schedules or legal holds may affect deletion?
Vendor descriptions can help answer these questions, but they do not independently prove how a particular deployment is configured. Local processing alone is not a guarantee of safety; consider the full data flow, access controls, and retention rules.
Who can start or stop note-taking?
That depends on the product, meeting configuration, and organization policy. Identify who has permission to start or stop the feature, what participants are told when it begins, and what happens if someone declines. Where consent is required, do not treat a visible notice or an enabled setting as a substitute for following the applicable process.
What to do with the notes afterward
Limit distribution to people who need the record, correct it before sharing, and delete transcripts and summaries when they are no longer needed—subject to the organization’s records schedule and any litigation hold. Deletion in an application may not override those obligations. Agreeing in advance on an owner, recipients, and retention period helps prevent a draft generated for convenience from quietly becoming an uncontrolled record.
