Use it as a prompt to make at least two protected copies of important data—and, crucially, test that you can restore them. A single external drive is useful, but it is not a complete plan if it stays connected, sits beside your computer, or has never been tested.
What is World Backup Day?
World Backup Day is an annual reminder to protect files against device failure, theft, ransomware and other causes of data loss. An Indiana government cybersecurity article says the observance began as World Backup Month in 2005, introduced by hard-drive maker Maxtor. In a March 31, 2025 notice, the U.S. Postal Service likewise pointed to hard-drive failure, ransomware and device theft as risks.

World Backup Day is most useful as an annual recovery check: identify the files you cannot afford to lose, make sure separate copies exist, and restore a few files to confirm the copies work.
What does the 3-2-1 backup rule mean?
The 3-2-1 rule is a simple way to reduce the chance that one failure destroys every copy:

- Three copies: Keep the working copy and two backups of important data.
- Two types of storage: Use at least two different storage media or systems rather than relying on one device.
- One copy offline or off-site: Keep at least one backup disconnected from your everyday devices or stored in a separate location.
Western Digital’s March 25, 2025 Global World Backup Day Survey describes this same pattern. The survey also reports that 87% of respondents actively back up their content; that is a vendor survey result, not a universal estimate of how many people back up data.
How should you back up a computer and phone?
1. List what must be recoverable
Start with irreplaceable photos and videos, personal and work documents, credentials or recovery information, project files, and business records. Consider where each item currently lives: a computer, phone, removable storage, or an online account. A backup plan only helps if it includes the data you need.

2. Make a local copy
For a straightforward personal setup, an external hard drive can hold a backup of files on a computer. CISA advises people whose data exists only on their device to back it up to an external hard drive or a properly vetted cloud service. Choose a backup method that can include the files you care about, then check that it is completing rather than assuming it is.
3. Add a separate copy
Pair the local drive with an off-site copy, such as a properly vetted cloud backup service, to reduce the risk that theft, fire or another local incident takes out both the device and its backup. Cloud storage and backup services differ in what they retain and how they restore files; check their security, account protections, version history, retention and recovery terms.

4. Protect the copies
Encrypt backups where supported and secure the accounts that control them. For a removable drive, disconnect it when a backup is not actively running and store it safely. CISA warns that ransomware can reach an attached external drive and delete or corrupt its backups. Where a system supports it, use versioning, delete protection, immutability or object lock so compromised credentials or malware cannot simply erase every retained copy.
5. Test a restore
Restore a small selection of files to a separate location and open them. Confirm that the files are intact and that you know how to retrieve them. Then schedule recurring backups and periodically practice a broader recovery, including the steps needed to regain access to the backup account or device.

Is an external hard drive enough?
An external drive is a useful local backup, but by itself it does not provide the separation of a 3-2-1 plan. It can be stolen or damaged along with the computer, and ransomware may affect it while it is connected. Disconnecting it between backup sessions helps reduce that exposure; a separate off-site or offline copy addresses risks a nearby drive cannot.

How do external drives, NAS and cloud backup differ?

There is no universally best option. A personal setup can combine a local external drive with a vetted cloud service; a NAS can add local capacity, but it still needs another separated copy. Evaluate total cost and how quickly you could recover, not just the initial storage capacity.

How do you know a backup will survive ransomware?
No storage choice alone guarantees recovery. Ransomware may reach connected devices and accessible backups, so keep at least one copy offline or otherwise protected from routine changes. Where available, use immutable storage or delete protection, and encrypt backup data. A joint FBI/CISA/ASD advisory calls for multiple copies in physically separate, segmented locations and says backup data should be encrypted and immutable.
CISA’s StopRansomware Guide recommends offline, encrypted backups and regular checks of their availability and integrity in a disaster-recovery scenario. In practical terms, test both that files can be opened and that you can carry out the recovery process when needed.
