Workplace Tech Friction: Where the Lost Time Goes—and How to Reduce It

Workplace tech friction includes slow systems, awkward workflows, access problems, and meeting failures. Learn how to identify its cumulative cost and reduce it without adding another layer of complexity.

Workplace tech friction is the effort employees spend working around slow, unreliable, fragmented, or poorly planned technology instead of completing their work. It includes more than outages: difficult access, manual tasks, approval delays, legacy integrations, excess platforms, and meeting-room failures all add effort. Its cost is cumulative, but there is no universal price tag: published dollar figures depend on survey responses and assumptions about interruption time, headcount, and labor cost.

What counts as workplace tech friction?

Tech friction—also called digital friction or digital employee experience friction—happens when the technology environment makes ordinary work harder than it needs to be. A system can be functioning and still create friction if it is slow, hard to access, disconnected from other tools, or surrounded by unnecessary steps.

  • Unreliable performance: slow network connections, sluggish applications, or underperforming devices.
  • Workflow obstacles: manual tasks that could be automated, cumbersome approvals, or repeated data entry.
  • Tool and access complexity: too many platforms, confusing access controls, or difficulty getting the right permissions.
  • Integration gaps: newer tools that do not work smoothly with legacy systems.
  • Shared-space failures: meeting-room technology that delays or disrupts collaboration.
  • Change-related effort: new systems introduced without enough employee input, explanation, or role-relevant training.

These problems often overlap. A new application may add another platform, require new permissions, and leave employees to bridge a gap with a manual workaround. The underlying issue is therefore not necessarily the device or application alone; it can involve process design, support, and unclear ownership across IT, HR, facilities, and business teams.

How much work time can friction consume?

Published figures illustrate the scale respondents report, but they are not interchangeable measures or universal causal estimates. Most come from surveys, and the studies use different populations and questions.

Source and population Reported finding How to interpret it
CDW, 2026; survey of more than 950 IT decision-makers 54% said introducing new tools feels slower or more difficult than it should. Respondents cited IT operations (43%), access controls (42%), legacy-system integration (41%), lack of automation for manual tasks (39%), and cumbersome approval processes (38%). These are reported sources of friction, not measured shares of lost work time. CDW’s April 9, 2026 release.
Ivanti, 2025; survey of more than 3,300 IT professionals and end users internationally Respondents reported an average of 3.6 monthly interruptions from technology problems and another 2.7 from mandatory security updates. Ivanti assumes at least 15 minutes to resolve each interruption and models 1.6 hours lost per employee monthly. Its scenario for 2,000 employees at a fully loaded labor cost of $100 per hour estimates $320,000 per month, or nearly $4 million annually. That is an illustrative model based on those assumptions, not a universally observed loss. Results were unweighted; country detail is available from Ivanti on request. Ivanti’s 2025 Digital Friction Report.
Logitech / The Harris Poll, 2026; 1,700 workplace-experience decision-makers at companies with 500 or more employees in 11 countries 71% said employees experience technology issues at least sometimes, and 30% said often or very often. When a meeting technical issue occurs, the median reported time lost per person was 12.2 minutes; 30% reported 16 or more minutes. The meeting figures are respondents’ reports, not a universal average for every meeting. The survey ran May 13–June 4, 2026 in Canada, France, Germany, India, Japan, the Philippines, Saudi Arabia, Singapore, the UAE, the UK, and the US. Logitech’s Workplace Equation research.
TeamViewer, 2025; global vendor survey 80% of workers said dysfunctional IT costs them valuable work time, averaging 1.3 days per month; 48% said digital friction delayed critical projects or operations. These are TeamViewer-published survey findings, not a general productivity benchmark. The summary page does not provide full methodology details. TeamViewer’s 2025 report.

For a company-level estimate, use local observations rather than transferring a survey’s headline figure. One simple scenario is: monthly interruption hours per employee × affected employees × fully loaded hourly labor cost. Define which interruptions count, how time is measured, and whether the estimate includes only time to restore service or also the time needed to regain focus. Label the result as an estimate, and avoid presenting it as money that would automatically be recovered by fixing one tool.

What are the wider effects on employees and organizations?

Lost focus and slower work

Every interruption can consume time to diagnose a problem, find a workaround, contact support, and return to the original task. CDW’s 2026 survey also found that 34% of IT decision-makers said friction increases security risk, while 33% said it slows innovation or prevents quick decisions. Among respondents who experienced friction tied to cybersecurity efforts, 56% reported reduced productivity and 53% higher operational costs. Those two results apply to that subgroup, not all organizations surveyed. CDW’s findings are respondents’ views, not proof that friction alone caused each outcome.

TRALT Office Chair Ergonomic Desk Chair with Lumbar Support Black, 1
  • High-Resilience Molded Foam Seat – Won’t Flatten After 1 Year – Instead of budget foam that hardens and sags within months, the seat is built with high-density, high-resilience molded foam that bounces back day after day. It maintains its shape and cushioning far longer, preventing the “bottoming out” discomfort common at this price point
  • Adjustable Lumbar, Not a Fixed Afterthought – Unlike flimsy plastic supports that crack or lose tension, this chair features a durable lumbar mechanism that adjusts depth to match your spine’s natural curve. Genuinely relieves lower back pressure during long sitting sessions
  • Breathable Mesh Backrest – No Peeling, No Heat Buildup – Say goodbye to flaking faux leather. The high-tension mesh back promotes continuous airflow, keeping you cool in warm environments and eliminating the mess of peeling upholstery. Mesh holds up significantly better over time and looks professional years later
  • Anti-Sink BIFMA Certified Gas Cylinder – A common failure in budget chairs: the pneumatic cylinder loses pressure and slowly sinks during use. Our Class 3 BIFMA-certified gas lift is built to hold its height reliably, so your chair stays exactly where you set it—year after year. No more sudden drops or mid-work adjustments
  • Heavy-Duty Metal Core Base (330 lbs Capacity) – Thin plastic bases can crack under stress, especially near the cylinder hub. We use a reinforced nylon base with a metal core, providing the durability and peace of mind you need. Smooth-rolling, 360° silent casters glide across hardwood, tile, or carpet without scratching or catching

More complexity and spillover beyond the task

In a 2025 study by Hanover Research for Dayforce, 69% of workers, managers, and executives at companies with at least 100 employees said their organization uses too many technology platforms. Sixty-six percent at least slightly agreed that adopting new technologies at work often reduces efficiency instead of improving it. The survey included 6,178 people across Australia, Canada, Germany, New Zealand, the UK, and the US and ran April 14–May 1, 2025. Dayforce’s report captures respondents’ perceptions, not a measured effect for every technology rollout.

Ivanti’s 2025 report identifies slow network connections and poor application or device performance among reported problems. Nearly two in three office workers surveyed said negative experiences with tools and apps affect their mood at work. In UK research published by the Chartered Institute of Personnel and Development (CIPD) in 2020, 29% of employees said portable devices blur the boundary between work and home, and 30% said those devices make it difficult to switch off. These findings describe reported experiences; they do not mean every employee experiences the same effects. CIPD’s UK report.

Change can add work when employees are not prepared

Among UK employees in CIPD’s 2020 research whose technology use had changed, 50% felt they needed more skills and knowledge, while 40% felt their tasks had become more complex. Only 35% of employees and/or representatives said they had been consulted about introducing or implementing new technology. Among those not consulted, 20% were positive about the likely effect on job quality, compared with 70% of those who had been consulted. That difference is an association in the survey; it does not establish that consultation alone caused the more positive views.

How can organizations reduce friction without adding more of it?

Start with the employee task and the interruption, not a predetermined purchase. The evidence points to a practical sequence: locate recurring effort, simplify the process, assign ownership across teams, and check whether the change actually improves work.

  1. Map recurring friction. Ask employees where work slows down and combine their feedback with service-desk patterns, endpoint or application performance, access issues, and meeting-room incidents. Counting only major outages misses persistent small interruptions.
  2. Remove avoidable steps. Review duplicate platforms, manual handoffs, repeated data entry, and approval steps. Preserve controls that serve a clear security or governance purpose; redesign unnecessary effort rather than bypassing safeguards.
  3. Plan shared spaces jointly. Involve IT and AV before workplace or meeting-space plans are finalized. Coordinate IT, facilities, and workplace-experience teams so rooms have consistent setups and a clear support path.
  4. Involve and prepare affected employees. Consult people who will use the technology, explain what is changing and why, clarify boundaries, and provide training matched to their roles and tasks.
  5. Choose automation or support carefully. Automation, AI, self-service, and proactive support may help with recurring tasks, but a new layer of technology can also add setup, access, and training work. Judge it by whether employees complete the task with less effort and fewer interruptions.
  6. Measure after implementation. Compare the same indicators before and after the change, and adjust when the intended improvement does not appear.

How should leaders compare possible fixes?

No single remedy fits every friction point. Use these decision questions to compare a workflow change, integration, training effort, support improvement, or new tool. They are practical evaluation criteria, not a published ranking of interventions.

Decision area Question to ask
Employee effort Does the change reduce steps, waiting, interruptions, and workarounds for the people doing the task?
Reliability and completion Can employees finish the task or start the meeting reliably, and can the result be observed?
Security and access Does the fix preserve appropriate controls and reduce incentives for risky workarounds?
Support burden Will the change reduce repeat support requests, or create new setup and troubleshooting work?
Implementation and learning What integration, change-management, and role-specific training effort will be required?
Ownership Which teams are responsible for the whole workflow and employee experience, including handoffs?
Measurement Are baseline and follow-up measures available for interruption frequency, delays, task completion, support demand, and employee feedback?

What should leaders track over time?

Choose a small set of measures tied to the friction being addressed. A useful picture combines operational signals with employee experience; no single incident count or survey score explains the full cost.

Logitech and The Harris Poll’s 2026 study found that 94% of surveyed workplace-experience decision-makers said workplace-experience failures had created at least one business cost, with 51% citing productivity loss. Yet only 24% said IT/AV is involved before space planning begins, and 32% said their organization makes ongoing adjustments based on insight. These findings suggest that gathering evidence is not enough unless someone has the remit to act on it. The survey covered decision-makers at companies with 500 or more employees in 11 countries.
