Work Time Calculator with Break Deduction by Clockify: How to Calculate Your Hours

To calculate your work time with Clockify’s calculator, enter your start time, end time, break length, and number of workdays, then read two results: Total work time, which includes the break, and Actual work time, which excludes it. The tool is arithmetic assistance only. It does not decide whether your break is paid, and that question depends on your employer’s policy and local law.

How to use the calculator, step by step

Clockify’s work-time calculator is a free page that works without registration, according to Clockify’s own description of the tool. The steps below follow the interface instructions on that page. Confirm the live layout before you rely on it, because labels and controls can change.

1. Choose a 12-hour or 24-hour display. This only changes how times are shown and entered.
2. Enter the start and end times. You can type a time without a colon. Clockify’s example is “945” for 9:45 a.m. The 24-hour dropdown moves in 30-minute steps, and a Now control fills in the current time.
3. Enter the break duration. For breaks longer than an hour, use hh:mm style entry. Clockify’s example is 90 minutes, entered as 130 (1 hour, 30 minutes).
4. Enter the number of workdays. The field accepts a three-digit number, up to 999 days. The page does not explain in detail how the multi-day figure is presented, so check the output labels when you use more than one day.
5. Press Calculate and read both totals. Each total appears as hours and minutes (hh:mm), as total minutes, and as decimal hours.
6. Save or share the result. The page offers Generate link, Print, and Export (CSV). Reset clears the inputs so you can start over.

The arithmetic behind the result

The calculation has two stages. First, the calculator finds the elapsed time between start and end. Second, it subtracts the break to produce working time. Clockify’s example is a shift from 9:00 a.m. to 4:30 p.m., which is 7 hours 30 minutes of elapsed time, or 450 minutes, or 7.5 decimal hours.

• Multiply the hours by 60.
• Add the leftover minutes.
• Divide the total minutes by 60.

Some common conversions, worked the same way:

Decimal hours are often easier to multiply by an hourly rate, while hh:mm is easier to read on a time card. Use whichever format your payroll process requires.

Reading the two totals

The two outputs answer different questions, and mixing them up is the most common error. Total work time is the full span from start to end, including the break you entered. Actual work time is that span minus the break. If you start at 9:00 a.m., finish at 4:30 p.m., and enter a 30-minute break, the total is 7:30 and the actual time is 7:00, or 7.0 decimal hours. That example is our own arithmetic to illustrate the subtraction. It is not a figure Clockify published.

Use Actual work time when you need the figure that excludes the break. Use Total work time when you want to check the span on the clock.

Is a lunch break part of work hours?

Clockify’s FAQ on its work-time calculator page answers this question in general terms: “In general, work time includes lunch breaks.” The same passage immediately adds that you should check company policy and local laws to determine whether breaks are paid or unpaid.

Read that as two separate points. The calculator treats the break as a deduction you enter, so it can show the time with and without it. Whether that break counts as paid time for you is a question for your employer’s written policy or local labour rules. The calculator cannot answer it.

If you need a quick total for a shift, the work-time calculator is enough. If you keep a weekly record, the time card calculator is the closer fit. If you want to track hours as you work, the timer is the better option. These are vendor-described capabilities. Clockify’s pages do not compare them against other products.

What the official pages do not establish

Several points remain outside what Clockify’s calculator pages establish:

• Whether any particular break is paid under your employer’s policy or your local law.
• Independent testing of the calculator’s accuracy. The calculator’s accuracy has not been independently validated in sources we reviewed.
• The publication date of the calculator page. The page does not state one, so confirm the current interface and wording on Clockify’s site.

Treat the numbers as an arithmetic aid. For payroll, check the result against your employer’s own records.
