On a Windows work laptop, press Windows + Shift + S to select part of the screen. On a Mac, press Shift + Command + 4 and drag over the area. Choose the shortcut for your operating system, then decide whether you need the image copied for pasting or saved as a file. Before capturing or sharing work information, follow your employer’s policy.

Take a screenshot on a Windows work laptop

Windows offers a selection overlay, keyboard shortcuts that copy images to the clipboard, and Snipping Tool options for saving a capture. Microsoft’s instructions cover Windows 10 and Windows 11.

Capture a selected area, window, or the full screen

  1. Press Windows logo key + Shift + S.
  2. When the screen dims and the Snipping Tool overlay appears, choose a capture mode: rectangular snip, freeform snip, window snip, or full-screen snip.
  3. Make the selection or choose the window or screen. The capture opens in Snipping Tool, where you can annotate, crop, save, or share it.

See Microsoft’s Snipping Tool screenshot instructions.

Copy the full screen or active window

  • Press Print Screen (which may be labeled PrtSc, PrtScn, or PrntScrn) to copy the entire screen. Paste the image with Ctrl + V into an app that accepts images.
  • Click the window you want, then press Alt + Print Screen to copy just that active window. Paste it with Ctrl + V.

These shortcuts copy the image to the clipboard; they do not, by themselves, save a screenshot file. For the classic shortcuts, see Microsoft’s guide to copying window or screen contents.

Save the screenshot as a file

After taking a snip, open it in Snipping Tool and choose Save. Enter a file name and select a location. If you only need to place the image in another app, use the clipboard capture and paste it instead.

Surface keyboard differences

Surface shortcuts vary by device and keyboard. Microsoft documents Windows + PrtScn—or Windows + the Snipping key on keyboards that have one—as a shortcut that saves a screenshot in Pictures > Screenshots. On some listed Surface devices, Fn + Spacebar opens screen snip, while Fn + Alt + Spacebar copies the active window. Microsoft notes that pressing Power + Volume Up does not take a screenshot on Surface Laptop. Check the instructions for your exact model at Microsoft’s Surface screenshot and recording guide.

Take a screenshot on a Mac work laptop

Mac keyboard shortcuts can capture the whole screen, a selection, or a particular window. Apple says the Screenshot app, opened with Shift + Command + 5, is available in macOS Mojave 10.14 or later.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose the capture scope

  • Entire screen: Press Shift + Command + 3.
  • Selected area: Press Shift + Command + 4, drag the crosshair over the area, and release.
  • Window or menu: Press Shift + Command + 4, then press Space and click the target.

Choose where the screenshot goes

By default, a Mac saves screenshots to the desktop. Press Shift + Command + 5 to open Screenshot and adjust options such as the save location, timer, and whether to show the pointer. To copy a screenshot to the clipboard rather than save it, hold Control with the shortcut; for example, Control + Shift + Command + 3 copies the full screen. Apple notes that some apps may not allow screenshots of their windows. See Apple’s guides to taking a screenshot on Mac and using Screenshot for screenshots and recordings.

Clipboard or saved file: which should you use?

What you need Windows Mac
Copy an image to paste into another app Use Windows + Shift + S, Print Screen, or Alt + Print Screen, depending on the capture scope. Hold Control with the screenshot shortcut.
Save a screenshot file Open the snip in Snipping Tool and choose Save. Use a screenshot shortcut; the default location is the desktop. Change it in Screenshot options.

Clipboard captures need to be pasted into an app that accepts images. A saved file is already stored at a location you can choose or find, depending on the operating system and method.

If the shortcut does not work on a work laptop

  • Check the keyboard label. Print Screen may be abbreviated or placed on a shared key; consult the laptop’s markings or device help if you cannot find it.
  • Try the built-in capture tool. On Windows, use Windows + Shift + S; on a Mac, use the screenshot shortcuts above.
  • Account for app restrictions. Some Mac apps may not permit screenshots of their windows.
  • Ask your IT team if capture is blocked. A shortcut may be unavailable because of app behavior or employer management. Don’t try to bypass a restriction.
  • Check policy before capturing or sharing work content. Follow your employer’s rules, particularly if a screen shows customer, employee, or confidential information. The operating-system instructions explain how to capture; they do not establish what your employer permits.

Windows screen recording is a different feature

In supported current Windows configurations, Windows + Shift + R opens the Snipping Tool video-capture overlay. It records video rather than taking a still screenshot. Microsoft describes this alongside the screenshot features in its Snipping Tool guide.
