To add page numbers without replacing an existing header, open the header or footer, click where the number should go, then select Insert > Page Number > Current Position and choose a style. This adds the number at the cursor rather than applying a new overall header layout.
Insert a page number into your existing header or footer
-
Double-click inside the existing header or footer to edit it. You can also use Insert > Header or Insert > Footer, then choose Edit Header or Edit Footer.

Click where the page number should appear. To keep the existing layout, choose Insert > Page Number > Current Position, then select a style. The general Insert > Page Number choices let you choose a location and style; Current Position is the option for placing a number at the cursor in an existing header or footer. Microsoft’s instructions for adding numbers to an existing header or footer describe this method.

If the number needs to sit farther across the line, use Tab to move it or adjust its font from the Home tab. If it is present but hidden, check whether a graphic or another header element is covering it.
-
Select Close Header and Footer or press Esc to return to the document. Reopen the area to make further adjustments.
Choose whether the first page shows a number
Leave the first page unnumbered
Edit the header or footer and select Different First Page. Word gives the first page a separate header and footer, so its content can differ from the rest. This setting applies to the first page of a section, not only the first page of the entire document. If you turn it on and see an unexpected change, inspect that separate first-page header or footer. Microsoft explains the Different First Page setting.

Make the second page display 1
If the first page should count internally but the second page should display 1, open Page Number > Format Page Numbers and set Start at to 0. This is a numbering-origin choice; it is separate from making the first page’s header or footer distinct. Microsoft documents this setting in its page-number formatting guidance.
Use different numbering in different sections
For front matter and main text that need different numbering formats or starting values, create a section break rather than a page break. Place the cursor where the new section should begin and choose Layout > Breaks > Next Page. Then edit the new section’s header or footer and set its numbering through Page Number > Format Page Numbers. You can select a format such as Roman numerals or specify a section’s starting number. Microsoft’s section-break guidance covers the distinction.

By default, the new section’s header or footer may continue from the previous section. In the relevant header or footer, turn off Link to Previous before making a change that should affect only the new section. Header and footer links are separate: unlink the header if the number is in the header, or the footer if it is in the footer. To inspect section breaks, select Home > Show/Hide (¶) to display formatting marks. Microsoft’s Link to Previous guidance explains how the links work.
Handle odd and even page headers
If the document uses separate odd- and even-page headers or footers, enable Different Odd & Even Pages and insert the number in each page type where it should appear. The odd and even areas are distinct, so adding a number to one does not ensure it appears in the other. Microsoft’s instructions for different odd and even pages describe the setting.

Add “Page X of Y” at the cursor
To show both the current page and the document’s page count, click the desired spot in the existing header or footer and choose Insert > Page Number > Current Position, then select a Page X of Y style. Microsoft’s Page X of Y instructions give the corresponding steps.

Fix common numbering surprises
-
The number appears only on the first page of a section: check whether Different First Page is enabled, which gives that page a separate header or footer.
-
Link to Previous is unavailable: confirm that the document contains a section break; a page break alone does not create a separate section.
-
Changing one section changes another: check that you unlinked the correct header or footer. Their links are independent.
-
The number seems missing: inspect for overlapping graphics or other header elements, and check each odd/even header type if the document uses separate layouts.
