Windows file errors often reflect rules about the entire file path, the service handling the file, whether an app has it open, and what access your account has. For OneDrive and SharePoint in particular, cloud naming and sync rules can add another layer. Start with the exact error message and identify whether the problem occurs in Windows, an application, or a cloud service; the five behaviors below explain common causes, not every Windows error.
1. The whole path counts, not just the filename
A file’s path includes its drive or other starting location, every folder name, separators, and the filename with its extension. A short filename can still fail if it sits deep inside nested folders.

Microsoft Support lists a 260-character default limit for Windows File Explorer and Office desktop apps. OneDrive and SharePoint have separate path limits: Microsoft lists 400 characters for a decoded cloud path and 520 characters for the OneDrive sync path. These limits apply in different contexts, so a file that works through one interface may fail through another. See Microsoft’s OneDrive and SharePoint restrictions.

Each application must opt in; Microsoft says File Explorer and Office desktop apps do not currently do so. If a local operation is blocked, shorten folder or file names or reduce folder nesting. If the local path prevents a rename, try the OneDrive or SharePoint web interface instead. For the distinction between Windows and application behavior, see Microsoft’s Windows file-path guidance.

2. A name that looks ordinary may be invalid for a cloud service
OneDrive and SharePoint restrict certain characters in names, including " * : < > ? / |. Microsoft also lists names such as CON, NUL, and desktop.ini as invalid in the relevant cloud-sync context. These examples describe OneDrive and SharePoint rules; they should not be treated as a universal list for every Windows file system or service.
Rules can also vary by organization or context. Microsoft notes that some organizations do not yet support # and % in OneDrive and SharePoint names. Check the rules for the service reporting the error, then rename the item using a permitted name. See Microsoft’s OneDrive and SharePoint restrictions and Microsoft’s guidance on invalid names and file types.

3. An open file can be temporarily unavailable
Microsoft Support says, “If an app is using a file that you have stored on OneDrive, it cannot be synced while the file is open.” A sync error such as “This file is in use by another application” can therefore be temporary, rather than evidence that the file is damaged.
- Save your work in the application using the file.
- Close that application, then allow OneDrive to try syncing again.
- If the error concerns replacing, moving, or renaming the file, first make sure no application is still using it.

4. Permissions determine whether an operation is allowed
A sync client needs permission to read and write a file. If OneDrive reports “This file can’t be synced because OneDrive doesn’t have permission to access the file,” check the file’s access settings rather than repeatedly retrying the sync.
- In File Explorer, right-click the affected file and select Properties.
- Open the Security tab and select your user account.
- Check whether the required Read and Write permissions are allowed.
Change permissions only for the intended user and file. If access remains blocked on a work- or school-managed device, an administrator may need to review organization policies. Microsoft’s troubleshooting steps are in its OneDrive sync guidance and OneDrive error-code guidance.

5. Cloud naming and sync state may not match the local error
A local file operation and a cloud upload are different events. When a same-named file already exists in the destination, an upload may offer a choice to replace it or keep both. In one documented upload case, a file without an extension can also conflict with a folder of the same name. A prompt such as “A file with this name already exists” signals a name collision; it does not tell you which version you want to keep.
Do not delete or overwrite either item until you have identified the intended version. Check OneDrive’s status and the exact error, then establish whether the failure is local or occurs during upload or sync. Microsoft also documents errors involving Files On-Demand, account or sign-in state, and sync progress, so a name change is not the right fix for every sync problem. See Microsoft’s file-name conflict guidance, OneDrive sync troubleshooting, and OneDrive error-code guidance.

How to narrow down the cause
Use the exact wording of the message to identify which rule is most likely involved. Before changing a file, check these details:
- Where it fails: File Explorer, a desktop app, OneDrive, SharePoint, or a browser upload.
- What is being handled: a local file or a cloud-synced item.
- How long the full path is: include folders as well as the name and extension.
- Whether the name is accepted: check the rules for the specific service.
- Whether it is in use or accessible: close the app using it and confirm the needed permissions.
- Whether a cloud conflict or sync issue is involved: check the service’s status before choosing to replace, keep, or rename an item.
These checks distinguish common path, naming, lock, permission, and sync problems. They do not explain every Windows error; the message and the application reporting it determine which troubleshooting path applies.
