Windows 11 Search vs. Start Menu Search: What Each Finds

Start-menu typing and taskbar Search are two ways to reach Windows Search. Results can include apps, settings, indexed files, connected-account content and web results, but they vary by settings, account and Windows version.

Start-menu typing and the taskbar Search box are two entry points to Windows Search, not two search engines with separate, fixed catalogs. Both can surface apps, settings, files and web results. What appears depends on factors such as indexing, account connections, privacy settings and the Windows version. Use File Explorer when you want to limit a search to a particular folder or drive.

What Start-menu search and taskbar Search can find

To search from Start, open the Start menu and begin typing. To search from the taskbar, select Search and enter a query. Microsoft documents both as ways to find apps, settings and documents in Windows 11. The taskbar Search experience can also show web results, and file results may include items stored on the PC or in OneDrive, depending on your setup. Microsoft’s Windows search guidance describes these workflows.

The available Microsoft documentation does not define one universal catalog for Start and another for taskbar Search. Treat them as different ways to reach Windows Search; the exact layout and results can vary with settings and Windows release.

Where results can come from

Windows Search can combine results from several sources. Not every source is available on every PC or account.

  • Device: Installed apps and programs, settings, and local files.
  • Personal Microsoft account: Items from services such as OneDrive or Outlook, where available and connected.
  • Work or school account: Content from services such as OneDrive for Business, SharePoint and other Microsoft services, where available and configured by the organization.
  • Web: Results and suggestions powered by Bing, subject to settings and connectivity.

Microsoft describes these device, account and internet sources in its overview of essential services and connected experiences for Windows. Sign-in status, organizational configuration and privacy controls affect which connected results or suggestions appear. For web results and related privacy controls, see Windows Search and Privacy.

Why a local file may not appear

Finding local files depends partly on what Windows has indexed. An index helps Search find file names, paths, properties and, where enabled, text within files. Microsoft documents two main indexing modes:

Mode What it covers Practical trade-off
Classic Common user folders—Documents, Pictures, Music and the desktop—by default. You can add other locations. A narrower default scope; a file outside indexed locations may not appear in a Windows Search result.
Enhanced All user folders and files. A broader scope that may use more system resources.

These are indexing scopes, not separate catalogs for Start and taskbar Search. If a document is missing, its location, whether its contents are indexed and whether indexing has finished are relevant checks. Microsoft says initial indexing can take up to a couple of hours. See Search indexing in Windows for the documented modes and behavior.

When to use File Explorer instead

For a search limited to a known location, open that folder or drive in File Explorer and search there. A search started in a folder is scoped to that location; searching This PC covers more and may take longer. File Explorer Home can also show cloud and recommended content when the relevant settings apply, so use a specific folder or drive when you need a defined local scope. Microsoft explains these search options in its Windows file and app search guidance.

Why Search may look different on another PC

Results and presentation can vary with account sign-in, internet access, organization settings, indexing progress, privacy preferences and Windows updates. Search can also use app-launch history for personalization; Windows includes controls for recommendations and offers related to app activity. Microsoft describes those controls in Privacy settings for Recommendations & offers in Windows 11.

Version matters too. Microsoft’s September 22, 2026 notes for Windows 11 26H1 preview update KB5124006 (OS Build 28000.3086) describe clearer labels for result types, a control for showing web and Microsoft Store suggestions alongside local results, and automatic indexing of frequently used folders. Those are notes for that specific preview update, not confirmation that every Windows 11 PC has the changes. Check the version and update installed on your device before expecting the same interface. Microsoft’s KB5124006 preview notes describe the update-specific changes.
