Not necessarily. KSeF does not automatically stop an online store from taking orders. The real risk is an invoicing, accounting, or ecommerce integration that cannot create the required FA(3) invoice or complete the relevant KSeF 2.0 workflows. Check compatibility, permissions, submission, confirmations, and customer invoice delivery before relying on the connection.
What KSeF changes for an online store
KSeF, Poland’s National System of e-Invoices, is the system for issuing, receiving, and storing structured invoices. A structured invoice is XML aligned with the Ministry of Finance’s logical structure. From 1 February 2026, the applicable schema is FA(3), which replaced FA(2) and covers basic, corrective, advance, and settlement invoices. The Ministry’s structured-invoice guidance and its FA(3) logical structure define the format.

For a store, this is principally an invoicing and finance-system readiness issue—not evidence that the storefront, cart, or payment flow must stop. Official guidance describes invoice issuance and access; it does not establish that order acceptance or checkout depends on an immediate KSeF response. Nor do the reviewed official sources publish measured ecommerce failure, delay, downtime, or economic-impact rates. The risk areas below are practical implications of the documented technical workflows, not a reported failure statistic.

Receipt and issuance have different start dates. Receiving invoices through KSeF became mandatory on 1 February 2026. Issuance is phased according to taxpayer group and a small-sales exception. The Ministry’s scope guidance and its 26 March 2026 rollout notice set out the dates.

The March 2026 Ministry of Finance and National Revenue Administration notice also says penalties will not be imposed for KSeF errors committed during 2026. That is the notice’s stated treatment for 2026, not a permanent exemption from compliance.
Where can a store’s KSeF integration fail?
An integration can involve the store’s invoicing software or ERP, an ecommerce connector, the accountant’s system, and KSeF. A weak point in that chain can mean invoices need manual handling or do not complete the expected workflow. It does not, by itself, show that the store’s checkout is unavailable.

FA(3) invoice generation
Ask whether the current system creates valid FA(3) XML, not merely whether it supported an earlier KSeF format. Confirm that it handles the invoice types the business actually issues, including corrections or advance and settlement invoices where applicable. The Ministry’s FA(3) structure is the relevant technical reference.
Authentication and delegated access
The software needs an authorized way to connect to KSeF. Check how it authenticates users or systems, who grants access, and how the business manages permissions for staff, software, and an accounting office. The Ministry’s API documentation and technical portal describe authentication and integration scenarios; the system supports access for taxpayer-authorized people and entities.

Submission, identifiers, and receipt confirmations
Ask whether the connector supports the submission mode the store needs, such as interactive or batch submission, and what happens when a submission is rejected or delayed. It should make KSeF identifiers and official receipt confirmations (UPO) available to the people and systems that reconcile invoices. The technical portal documents these workflows, but its API resources do not certify any particular ecommerce plugin or vendor.
Invoice access for customers
A customer’s order confirmation or payment receipt is not the same thing as a structured VAT invoice and its KSeF status. KSeF guidance explains how invoice access works and describes transaction confirmation and QR-based two-step access in some cases. Ask your provider how it handles the applicable customer-facing process, including what the customer receives while an invoice is being processed or before a KSeF number is assigned. The Ministry’s invoice guidance explains issuance and receipt; the applicable handling depends on the workflow.

Accountant and back-office handoffs
If an accountant or accounting office needs to retrieve or process invoices, confirm that its access is authorized and that incoming and outgoing invoice workflows are covered. A storefront connector can generate an invoice yet still leave a gap in bookkeeping if the handoff or receipt process is not configured.
How should a store check readiness?
- Identify your deadline. Check whether the business falls into the 2024-sales group, the general 1 April 2026 group, or the exception beginning 1 January 2027. Receipt has been mandatory since 1 February 2026.
- Ask the software provider for explicit support details. Confirm KSeF 2.0 connectivity and FA(3) generation, and ask which invoice types and submission modes are supported.
- Walk through authorization. Verify how the business, staff, systems, and accounting office receive the access they need, and who manages that access.
- Test the full invoice lifecycle. In a provider-supported test or operational workflow, check submission, error handling, KSeF identifiers, UPO retrieval and retention, and the path into accounting.
- Check the customer journey separately. Confirm how the store distinguishes order and payment confirmations from invoices, and how it provides invoice access in the relevant KSeF scenario.
- Agree on exception handling. Ask what staff should do if invoice submission, confirmation, or retrieval does not complete as expected, and how unresolved cases are tracked.
These are questions for the relevant providers and finance team; the official API documentation does not establish that every business needs custom development. The Ministry says free tools are available, while software integrated with the API is another route. The Ministry’s KSeF tools information and technical portal describe those resources.

Should you use Ministry tools or integrated business software?
Both approaches are supported by the official materials. The practical choice depends on the store’s invoice volume and workflow, and on how closely invoicing must connect to its ecommerce, finance, and accounting systems. Official sources do not compare vendor performance or establish one approach as best for every store.

The Ministry’s API documentation provides OpenAPI-based endpoint documentation and integration scenarios; its technical portal also links .NET and Java client libraries. These are implementation resources, not proof that a named vendor or plugin is compatible.
What the official rollout does—and does not—show
In the Ministry’s announcement about the KSeF 2.0 API and FA(3), Deputy Finance Minister and head of the National Revenue Administration Marcin Łoboda said: “Od 1 lutego 2026 r. system stanie się obowiązkowy” (“The system will become mandatory from 1 February 2026,” translated). That date marked the first issuance group and mandatory receipt; it was not the start date for every taxpayer’s issuance obligation.

The official materials establish the rollout dates, invoice schema, and documented API workflows. They do not establish that all online stores will break, that checkout must fail when KSeF is unavailable, or how often stores encounter operational problems. Treat compatibility as something to verify against the store’s actual invoice and accounting flows, not as a forecast of universal disruption.
