Its benefits come from better coordination and visibility. It does not, on its own, guarantee on-time delivery, lower costs, or better decisions. The sections below separate what these tools can do, the ten benefits teams commonly get from them, what survey data does and does not show, and the conditions that decide whether the benefits show up.
What project management software actually does
Most products in this category, sometimes called project management software, cover a common set of functions. Feature depth differs widely between products and between pricing tiers, so treat this list as the usual capability categories rather than a checklist every tool meets:
As an Amazon Associate I earn from qualifying purchases.
- Planning: breaking work into tasks, phases, or milestones and setting the sequence between them.
- Scheduling: calculating dates from durations and dependencies, and showing how a change in one task moves the rest.
- Updating and reporting: recording progress and producing summaries of where the project stands.
- Resource scheduling: assigning people or equipment to work and checking whether that work is realistic. This is the most variable category; basic tools may offer only assignment lists.
- Cost tracking: comparing estimates with actual spending, where the product supports it.
PMI’s 2000 paper on project management software draws the same line between basic planning and reporting on one side and advanced resource scheduling on the other. That distinction still helps when you compare tools today.

These are the ways a well-configured tool can help. Each one depends on the team actually entering and maintaining information.
#1 Best Overall
- Confidently track and manage large jobs with ease
- Project ruling provides instant organization for notes, plans & deadlines
- Premium-weight paper is perforated to detach easily
- Snag-resistant coil and extra-strong back are perfect for notes on the go
- Gray, navy or maroon cover, 7-1/4" x 9-1/2", 84 sheets
- A clearer project plan. Work organized into activities, stages, or milestones lets participants see the intended sequence in one place instead of reconstructing it from meeting notes.
- More visible schedules and dependencies. When dates and task relationships are displayed together, a slip in one task becomes easier to spot before it reaches the tasks that depend on it.
- Clearer ownership. Assigning each task an owner and due date makes responsibility visible and gives follow-up a concrete reference point.
- Shared progress visibility. Status updates recorded in the tool reduce reliance on scattered verbal updates, though only if people keep the statuses current.
- Earlier risk awareness. Recording risks and issues makes them visible for discussion. The software does not resolve them; someone still has to act.
- Resource coordination. Basic tools show who is assigned to what. More advanced systems can help plan resource use across several projects, which is where overallocation becomes easier to see.
- Cost and budget oversight. Where supported, estimates and actuals sit alongside the work they relate to. Accounting depth varies a great deal, and many teams still reconcile budgets in a finance system.
- More organized communication. Discussion and updates attached to specific tasks are easier to find later. Dedicated chat or video tools may still be needed for real-time conversation.
- More consistent processes and records. Templates and workflows make recurring steps repeatable, and a shared record survives staff changes better than individual inboxes.
- Better-informed discussion of tradeoffs. Combining status, schedule, cost, and risk data in one place gives a steering group a common basis for choosing between options. The judgment remains with the people making the decision.
What the adoption numbers show
Project Management Institute’s 2024 Pulse of the Profession report, available from PMI as a PDF, reports on its 2023 Annual Global Survey on Project Management (N=2,588). Respondents described how often they used each category of tool. These figures are self-reported frequency of use. They do not measure whether a team’s projects succeeded.
| Tool category (examples named by PMI) | Always or often | Sometimes | What the figure measures |
|---|---|---|---|
| Project management software (such as Microsoft Project or Asana) | 66% | 19% | Reported frequency of use, 2023 survey, published 2024 |
| Collaboration tools (such as Microsoft Teams, Slack, or Miro) | 81% | 10% | Reported frequency of use, same survey and sample |
The gap between the two rows matters for the benefits list. Many teams already rely on general collaboration tools, so the question for a project-management product is usually whether it adds structured planning and tracking on top of that communication, not whether teams communicate at all.

PMI’s 2025 M.O.R.E. research adds two figures that are often misread as software statistics. The first reports that 45% of projects that ultimately succeeded had once been at risk of failure, and PMI points to adaptability and communication as the factors behind recovery. The second, 7%, describes the share of project professionals leveraging the full benefits of the M.O.R.E. practices. Neither figure measures software adoption or software’s effect on outcomes.
What is not established
The evidence supports describing capabilities and reported usage. It does not support several common claims:

- Causation. PMI’s 2000 conference paper proposed that user satisfaction with project management software would be positively related to user productivity and project success. That is a proposition in a theoretical model, not a measured effect, and it is more than two decades old.
- Automatic productivity gains. No current study cited here establishes that installing a tool increases productivity.
- Eliminated delays. A schedule view can reveal a late dependency earlier, but it cannot remove the cause of the delay.
- Success as scope, schedule, and cost alone. PMI’s 2025 project-success discussion frames success around value: “Successful projects deliver value that is worth the effort and expense.” Software can support tracking toward that value, but the value depends on the work itself. (PMI project-success discussion)
Why the benefits depend on how the tool is used
PMI’s 2000 paper treats team characteristics, training, and the way software is used as relevant to results, alongside the software itself. In practice, the same product can help one team and frustrate another. Four conditions tend to decide which outcome you get:
- Project type. A stable construction schedule needs different structure than a fast-changing software release or a marketing campaign.
- Team habits. If updates are made only in weekly meetings, the tool shows last week’s picture.
- Configuration and integrations. Custom fields, workflows, and links to calendars or finance systems determine what the tool can show.
- Training and sustained use. Teams that were trained and keep using the tool after launch get the records and reports that make it useful.
How to choose a tool for these benefits
Choose by the work the team needs to support, not by the feature list. Compare candidates on:

- planning and scheduling depth;
- how task updates and reporting work;
- resource and cost management;
- risk and process support;
- communication and collaboration features;
- integration with tools the team already uses;
- complexity and training burden;
- compatibility with existing files and systems;
- price.
PMI’s 2000 paper notes that packages differ in features, complexity, compatibility, and price, and that remains the core of the selection problem. Feature sets, plan limits, and prices change over time, so confirm current details in each vendor’s own documentation before deciding.

A practical way to test fit is to run a small pilot on one live project for a defined period. Track whether the team updates the tool without prompting, whether the schedule view catches a real slip, and whether people still send status updates by other channels. If the answer to the last question is yes every week, the tool is not yet doing the job it was bought for.
Best Value
Project management software can make plans, ownership, and progress easier to see. Whether that improves delivery depends on the team, the project, and whether the information stays current.
