Tracking business expenses helps you see where money is going, prepare useful financial statements, and support the figures you report on your tax return. You do not need paid software to begin: a paper log, spreadsheet, or electronic bookkeeping system can work if it clearly records income and expenses and keeps the supporting documents you need.

Why is it important to track business expenses?

Good records help you monitor how the business is doing, prepare financial statements, identify income sources, keep track of potentially deductible expenses, prepare tax returns, and support reported items. The IRS lists these as practical benefits of recordkeeping in its Recordkeeping guidance.

An income statement summarizes income and expenses over a period; a balance sheet shows assets, liabilities, and equity at a particular date. Both can help with business decisions as well as tax preparation. Organized expense records also make it easier to spot missing entries and explain a transaction later.

How do I keep track of expenses for my business?

1. Choose a system you can keep current

There is no single recordkeeping format the IRS requires for every business. Its Publication 583, Starting a Business and Keeping Records, says, “You can choose any recordkeeping system suited to your business that clearly shows your income and expenses.” A notebook or bookkeeping journal, paper expense log, spreadsheet, or accounting software may all be suitable.

#1 Best Overall

  • Income And Expense Log Book: This Income and Expense Record Book(8.5" x 10.5") is a necessary item for any small business owner or entrepreneur. It is an essential part of any business - helping you understand your overall earnings to determine if you are profitable.
  • Daily Tracking and Weekly Overview: let our log tell you if you are profitable today! There are two pages per week to help you you track your income and expenses. At the end of each day or week, you can note whether you made a profit or a loss for the day.
  • Clear P&L Statement For Your Business: This income and expense book makes it easy to see your expenses and how they fluctuate from time to time. This makes it easy for you to decide where you can cut back on expenses and assess your total annual net profit.
  • Main Features: Expense Review + Income Review + Weekly Pages + Summary of The Year + Twin-Wire Binding + Waterproof Cover + Rounded corner design + Thicker paper
  • Effective Organization: This budget book has a twin-wire binding and you can easily lay it flat at 180°. This effective design can help you work better and bring you great convenience in the process of using.

Choose based on how many transactions you handle, how easily you can update and review entries, how you will store receipts, what reports you need, where you need access, and what the system costs. Electronic records must be complete and accurate and accessible to the IRS. No particular software vendor is endorsed by the IRS.

2. Keep business activity distinct

As practical guidance, Publication 583 recommends opening a business checking account and keeping it separate from a personal checking account. A separate account can make activity easier to review and reconcile; this guidance should not be read as a statement that every business structure has the same legal banking requirements.

3. Record transactions promptly

Enter each expense from its source document, capturing the date, payee, amount, payment evidence, category or description, and business reason. The IRS says, “Generally, it is best to record transactions on a daily basis,” in its guidance on how to record business transactions. Daily entry can help you catch omissions while details are still easy to recall.

4. Keep supporting documents organized

Save receipts, invoices, paid bills, account statements, deposit slips, and canceled checks as applicable. The IRS gives organizing records by year and by income or expense type as an example. Keep documents in a way that lets you connect them to the corresponding entry, whether in labeled folders or an electronic filing system.

A bank or card statement can show payment details, but it may not identify what you bought or why it was for the business. Pair it with an invoice or receipt when needed so the records together explain the transaction.

5. Review and reconcile regularly

Compare entries in your log or bookkeeping system with bank and card activity. Investigate missing transactions, duplicate entries, and differences while the account activity and supporting documents are readily available. Set a regular schedule that fits your transaction volume; daily recording is the IRS’s general recommendation, while reconciliation can be done on a recurring schedule appropriate to the business.

What records should a small business keep?

For an expense, the records should establish who was paid, how much was paid, when it was incurred, how it was paid, and what item or service was received. The description should make the business purpose evident. Sometimes one document covers these details; other times, a receipt or invoice and a bank or card record must be kept together.

Keep records for as long as needed to prove the income or deductions reported on the return. The appropriate retention period depends on the specific action, expense, or event documented, so there is no one retention period that applies to every business receipt. The IRS specifies at least four years for employment tax records; that special rule should not be applied to all expense records. See the IRS recordkeeping guidance for retention details.

Does recording an expense make it tax-deductible?

No. For U.S. federal income tax, a business expense generally must be both ordinary and necessary to qualify: “ordinary” means common and accepted in the trade or business, and “necessary” means helpful and appropriate. A record helps substantiate what happened, but entering a payment in a log does not by itself establish that the cost is deductible. Tax treatment depends on the facts and applicable rules; check current IRS instructions or consult a tax professional for a specific expense.

This tax discussion is limited to U.S. federal guidance. State, local, and non-U.S. requirements may differ.
