A resume PDF can look polished and still lose information when an applicant tracking system (ATS) extracts its text. That does not mean most AI resume builders produce failing files: the available evidence does not establish how common failures are. It does show why a particular PDF may be misread—and how to check yours before submitting it.
What it means for a resume to parse
Parsing is the process of extracting resume information and placing it into fields such as contact details, employment history, and education. Roche describes parsing as a way to extract, store, and analyze resume information that may populate an application; Bullhorn describes extracting it into a candidate record. The parsed result is not the same thing as the resume’s appearance on screen. Roche’s candidate FAQ puts it plainly: “Resume parsing results can vary based on resume format and order of words.”

After uploading, check the fields the application populated. If a date, employer, heading, or contact detail is missing or misplaced, correct it in the portal when possible rather than assuming the file was read correctly. This checks field mapping; it does not establish how the employer searches or ranks candidates.
Why a polished PDF can be misread
The words may be images, not text
PDF is a container format, not a guarantee that its visible words are selectable text. A scan or photocopy can show legible words as a page image while providing no text for a parser to extract. Applicant Tracking Software’s support article, modified June 5, 2026, recommends downloading the PDF and trying to highlight and copy a line. If you cannot select text, the file may be image-only. If you can, that confirms selectable text is present—not that every ATS will read it correctly.

Layout can scramble or hide content
A text-based PDF can still present its content in an order a parser handles poorly. Roche warns about tables, text boxes, columns, logos, images and graphics, headers and footers, uncommon section headings, important words embedded in hyperlinks, and less common fonts. Some systems may read across columns rather than down one column; header or footer details may be dropped.
The underlying mismatch is between two jobs: a designed page presents information visually, while a parser must extract text and associate it with fields. If an export turns characters into images, places text in an unexpected order, or puts important details in structures the parser handles poorly, the extracted record may differ from the page a person sees. These documented failure modes do not show that most AI resume builders cause them.

PDF or DOCX: follow the employer’s instructions
Neither file extension is a universal guarantee. The cited sources describe different systems and use cases, not a controlled head-to-head test.

Roche’s advice is employer guidance, while Bullhorn’s format list describes Bullhorn. Follow the job portal’s stated requirement instead of treating either source as a rule for every ATS. DOCX can still have extraction or field-mapping errors.

Check the file before you submit it
- Use the requested format. If the employer specifies PDF or Word, follow that instruction. Do not infer a universal format rule from one employer or vendor.
- Test the final PDF’s text layer. Open the exported file and try selecting and copying your name, contact details, a section heading, and a work-history bullet. If you cannot select them, treat the file as a warning sign for image-only content.
- Check the reading order. Copy the text into a plain-text editor or inspect recovered text with a diagnostic tool. Confirm that your name, contact details, headings, dates, employers, and bullets appear in a sensible order—not just that the page looks right.
- Keep the structure conventional. Roche suggests a simple layout, familiar headings such as “Education,” “Work Experience,” and “Technical Skills,” ordinary bullets, and familiar fonts. Keep essential details in the document body rather than relying on headers, footers, or graphics.
- Review the portal’s fields. After upload, check what was actually populated and fix errors before submitting if the application allows it.
What a resume checker can—and cannot—tell you
A local PDF text-recovery check can help reveal whether text is recoverable and appears in a sensible order. For example, ATSPrep says its PDF X-Ray compares extracted content with source text. Its methodology, last updated July 26, 2026, describes its own checker—not an employer’s ATS—and says it does not emulate proprietary parsing, ranking, or workflow configurations for systems such as Workday, Greenhouse, Lever, Taleo, iCIMS, Ashby, and SmartRecruiters. ATSPrep characterizes its import as “best-effort.”
A good local result is therefore a diagnostic signal, not certification of compatibility. It cannot confirm an employer’s field mapping, search or ranking behavior, eligibility rules, recruiter preference, or hiring outcome.

Why ATS behavior can differ
Parser support depends on the product, release, and employer configuration. Bullhorn’s help page lists PDF, Microsoft Word (.doc and .docx), RTF, TXT, and HTML as supported formats. It says its updated parser supports image-based and scanned documents, while users who have not moved to that parser may need manual data entry. The same page says Bullhorn was upgrading core parsing technology for its ATS customers throughout Q1 and Q2 2026. That is a Bullhorn-specific rollout statement; it does not establish how another ATS—or every Bullhorn customer’s configuration—will behave.
For employers using other systems, do not assume that support for PDFs means every PDF layout will parse well. Nor does a parser’s ability to process a scanned file eliminate the value of a clear, text-based document and a check of the populated application fields.
