An approved restaurant payment can still fail after a tip is added. In some POS workflows, the card is authorized first, the guest adds a tip later, and the adjusted total is captured or settled afterward. The first approval therefore does not guarantee that the larger final amount will be funded.
Why a payment can be approved and then declined
Authorization, tip adjustment, capture, and settlement are separate stages. A payment may be approved for the pre-tip amount, then encounter a problem when the business submits the adjusted total. The reason may be insufficient remaining authorization, a processor or card-network rule, a missed adjustment window, or a delayed submission after a connectivity outage. Which rules apply depends on the processor, POS configuration, merchant category, card scheme, and region.

Authorization is not settlement
In Clover’s documented restaurant workflow, the card is authorized first, the customer adds a tip, and the adjusted total is captured later. Clover says the customer does not need to interact with the payment device again to make that adjustment. But the initial approval is not a promise that the larger total will be funded. Clover warns that funds are not guaranteed when the adjustment is greater than 20% of the authorization, subject to card-scheme rules. That is Clover’s warning—not a universal threshold to apply to every POS or payment arrangement. Clover’s tip-adjustment documentation
“Accepted” can describe different payment states
A screen or integration that says a payment was accepted may refer to an earlier step rather than final capture or settlement. Toast distinguishes Authorized, Captured, Backgrounded, and Declined states. A large tab can fail if the eventual amount exceeds the available authorization; a backgrounded payment can also decline later, after the guest has left. Toast’s payment-status guidance

Identify which stage failed
Before taking payment again, determine whether the problem occurred at initial authorization, after the tip adjustment, during capture or batch settlement, or when a delayed payment was submitted after an outage. These are related operational problems, but they are not interchangeable: a tip-adjustment decline is different from an offline authorization decline or a shortfall on a large tab.
- Check the POS status. Determine whether the transaction is Authorized, Captured, Backgrounded or Processing, or Declined. Do not treat a client-side acceptance message as confirmation of settlement.
- Compare the amounts. Preserve and inspect the original authorization and the final adjusted total. Check the difference against the available authorization and the processor’s response.
- Check timing and batch state. Find out whether the adjustment is still permitted and whether the check has already entered batch settlement. The deadline varies by provider.
- Follow the provider’s recovery path. Do not blindly retry or manually capture a payment that is still processing, particularly after an outage.
For software integrations, model authorization, tip entry or adjustment, capture, settlement, and decline recovery as distinct events or states. Retain both the original authorization amount and the final total, and reconcile against the processor’s response and the POS status. The documented workflows support status-aware handling; they do not establish a universal retry policy or API design.

Adjustment deadlines and limits vary by platform
Batch cutoffs, older-check adjustments, and amount limits are product-specific. These examples illustrate why a restaurant should verify its own POS and processor settings rather than assume a single industry rule.

| Bank of America Restaurant Solution | Tips must be adjusted before batch settlement, according to Bank of America Merchant Help. | Not stated in the cited material. |
| Toast | Same-business-day adjustments are documented before the overnight batch. Handle backgrounded payments after an outage carefully
When devices reconnect, Toast says offline authorizations are submitted automatically. Its guidance warns against manually triggering capture while those payments are still processing; some outage-related declines cannot be retried through Toast. Check the transaction status and use the provider’s stated recovery route before deciding whether another collection method is needed. Toast’s outage-recovery guidance

What to verify when choosing or configuring a POS
Restaurants and payment-system developers should compare the actual workflow and controls, not just whether a terminal can accept tips.
- Whether the system supports separate authorization and later tip adjustment and capture.
- Which payment states and processor response details are visible to staff and integrations.
- When tips must be adjusted relative to batch close, and how prior-day checks are handled.
- Whether amount caps, permissions, or escalation to support apply.
- How offline or backgrounded payments are submitted, and whether a declined payment can be retried.
Clover and Toast are documented examples, not an exhaustive platform recommendation. Confirm the rules with the restaurant’s acquirer, processor, card schemes, merchant category, and software configuration before setting adjustment limits or retry behavior. The cited vendor materials explain their own workflows; they are not a universal card-scheme rulebook. No industrywide rate for tip-adjustment declines is established in those materials.
