Then test whether Windows receives sound from your microphone. If it does, check microphone permissions, Voice access listening state, and language setup before adjusting recognition settings.
First, check whether you mean Voice access or Windows Speech Recognition
Windows 11’s current voice-control feature is Voice access. Microsoft says it replaced legacy Windows Speech Recognition for Windows 11 version 22H2 and later in September 2024. WSR may still be relevant on older Windows versions, but its setup steps may not match a current Windows 11 installation. See Microsoft’s Windows voice-recognition overview.

For Voice access on Windows 11, open Settings > Accessibility > Speech. Make sure the troubleshooting steps you follow are for the feature you actually opened.
Test whether Windows is receiving microphone audio
Before changing speech settings, check whether the selected microphone works in Windows. Go to Settings > System > Sound and find Input. Select the microphone you intend to use, confirm it is connected and positioned correctly, then choose Start test. Speak normally, stop the test, and play the sample. You can adjust the input volume if the recording is too quiet. Microsoft’s instructions are in How to set up and test microphones in Windows.

- No microphone appears: Check its connection and whether Windows detects the audio device. If Windows still cannot detect it after basic troubleshooting, Microsoft recommends considering audio-driver update or reinstall steps.
- The recording is silent or extremely quiet: Recheck the selected input, connection, microphone position, and Input volume. Speech-recognition settings cannot compensate for a microphone that is not delivering usable audio.
- The recording is clear: The microphone is capturing sound in this test. Continue with permissions and Voice access state rather than assuming the hardware is faulty.
Make sure Windows is allowed to use the microphone
Open Settings > Privacy & security > Microphone. Check Microphone access, Let apps access your microphone, and Let desktop apps access your microphone, as applicable. A blocked permission can prevent an otherwise working microphone from reaching the feature. Microsoft notes that desktop apps do not appear in the per-app list for Microsoft Store apps; see Microsoft’s microphone troubleshooting guidance.
Use Voice access feedback to locate the failure
During Voice access setup, select the microphone you want to use. When using the feature, check its microphone control and confirm that it is listening—not in sleep or microphone-off state. Voice access displays a live transcription of what it hears, which helps distinguish a capture problem from a command problem. - No words appear: Return to the selected input, microphone permissions, listening state, and Windows microphone test. Voice access may not be receiving audio.
- Words appear, but the wrong words are transcribed: Check that Voice access is set up for the language and dialect you are speaking. If the language is correct, background noise may be affecting recognition.
- The words are right, but nothing happens: The microphone is being heard. Check whether the phrase is a supported Voice access command rather than ordinary dictation, and consult Microsoft’s command guidance for the relevant feature.
Check Voice access language and setup downloads
Voice access supports specific languages and dialect variants; a language being available as Windows’ display language does not necessarily mean it is the selected Voice access language. Initial setup downloads language files and requires an internet connection. If setup reports a download error, first confirm connectivity. If the error continues, Microsoft advises checking that Microsoft Store can reach its app catalog and download apps. See Microsoft’s Voice access setup troubleshooting.
WSR has a separate supported-language list, so do not assume that its language availability or setup instructions apply to Voice access. Microsoft lists WSR commands and language details on its Windows Speech Recognition commands page.

Improve recognition after microphone capture works
Reduce background noise
If the Windows test recording is audible and Voice access is listening, but transcription is unreliable in a noisy room, open Voice access’s Improve speech recognition settings. Microsoft provides Remove background noise only and Voice Isolation; Voice Isolation requires a brief one-time setup and is designed to focus on your voice amid noise or other speakers. Add difficult words to the Voice access vocabulary
For specific names or other words that Voice access repeatedly struggles to recognize, use its vocabulary option to add them. This can help with those words; it does not fix a muted microphone, blocked permission, incorrect language selection, or failed setup download.

When a different microphone is worth considering
Consider another microphone, including a USB microphone or headset mic, only if Windows’ input test indicates a hardware or usability problem—for example, the device is not detected, the recording remains too quiet after volume and positioning checks, or the audio is unsuitable. A new microphone will not resolve disabled privacy access, Voice access being off or asleep, an unsupported or incorrectly selected language, an incomplete language download, or a phrase that is not a valid command.
