PDF edits can change a font because the original typeface may be unavailable, and they can disrupt a layout because PDF text sits in separate, fixed-position boxes rather than flowing like text in a word processor. Check which of those problems you have before changing formatting. If the page is a scan, confirm OCR has recognized the text correctly before editing.
Why PDF edits change fonts and layout
Font substitution changes the appearance
An editor may need the font used by the original text to reproduce its appearance. Adobe says that Acrobat can substitute a fallback when an edited font is unavailable on the computer, making the replacement look different from the surrounding text. Its documentation gives Minion Pro as an example fallback for Roman-script fonts. In Acrobat, whether existing text can be edited also depends on font availability: Adobe says text can be edited when its font is installed; if the font is not installed but is embedded in the PDF, editing is more limited; if it is neither installed nor embedded, the text cannot be edited. This describes Acrobat’s behavior, not every PDF editor. (Adobe Acrobat: edit or format text in PDFs)

PDF text boxes do not behave like a word-processing document
In Acrobat, text reflows within the paragraph’s own box, but separate boxes remain independent. Adding words to one box does not automatically push nearby text down or continue the paragraph onto another page. A longer replacement can wrap onto another line, crowd nearby content, or overlap another element. (Adobe Acrobat: edit or format text in PDFs)
A scanned page may need OCR
A scanned PDF may contain a page image rather than selectable text. Acrobat automatically applies optical character recognition (OCR) when its Edit workflow encounters a scanned document, but recognition can be imperfect, especially when a scan is blurry or low-resolution. Errors in the recognized text can make edits seem unpredictable. (Adobe Acrobat: edit scanned PDFs)

Diagnose the problem before changing the page
- Try selecting the words. If the text cannot be selected as text, the page may be a scan or image. In Acrobat, the Edit workflow applies OCR to scanned documents; review the recognized text before making corrections.
- Check the changed text’s font. If the replacement looks wider, narrower, or stylistically different, check the active font and whether the original font is available. A fallback or different nearby text attributes may be responsible.
- Look at the text box and its neighbors. If the text wraps, crowds another block, or overlaps content, the edited paragraph may have outgrown its own box. Nearby boxes will not necessarily move to make room.
- Check for complex page elements. Tables, graphs, and images may combine positioned text with graphics. Adobe advises minimizing edits to those elements.
How to fix a font mismatch in Acrobat
- Confirm the intended font is installed and licensed. If the original font is available, select it for the changed text where appropriate. Acrobat’s ability to edit existing text depends on font availability and, in some cases, whether the font is embedded in the PDF. (Adobe Acrobat: edit or format text in PDFs)
- Choose a fallback font if needed. In Acrobat, open Preferences > Content Editing on Windows, or Acrobat > Preferences > Content Editing on macOS, then set the editing fallback font. The best fallback is one that preserves a similar appearance and fits the space; it cannot guarantee an exact match. (Adobe Acrobat: set default fonts on desktop)
- Adjust only the affected text. Select the edited words and make targeted changes to the font or size. Acrobat’s text-formatting controls also include line spacing, paragraph spacing, character spacing, and horizontal scaling, which can help fit a short correction without reformatting the whole page. (Adobe Acrobat: format text in PDFs)
- Save, reopen, and inspect the page. Check that the edited characters match the intended style and that the saved PDF still displays as expected.
How to fix wrapping, crowding, or overlap
- Make the replacement more concise. A shorter correction is often less likely to outgrow the original text box.
- Resize the affected box if the editor allows it. Widen or adjust that box, then inspect nearby text and graphics. Do not expect adjacent boxes to move automatically. (Adobe Acrobat: edit or format text in PDFs)
- Use spacing or scaling controls sparingly. Adjust line spacing, character spacing, or horizontal scaling only as much as needed to fit the text; broad changes can make the corrected passage look unlike the rest of the page. (Adobe Acrobat: format text in PDFs)
- Undo and try a smaller edit if the page deteriorates. Restore the original state, make a shorter change, or use the source document if the change requires restructuring the page.
- Review the whole page after saving. Check the corrected area and surrounding content for new line breaks, overlaps, or displaced-looking elements.
How to edit a scanned PDF more safely
- Keep a backup copy before editing. Adobe recommends saving a backup of a scanned PDF.
- Use Acrobat’s Edit workflow to apply OCR, then check the recognized text. Correct recognition errors before relying on the text for further edits.
- Improve the scan if recognition is poor. Adobe recommends improving a blurry or low-resolution scan rather than trusting inaccurate OCR.
- Minimize edits to tables, graphs, and images. Adobe cautions that these complex elements are better left largely untouched during scanned-PDF editing. (Adobe Acrobat: edit scanned PDFs)
When to edit the PDF and when to return to the source file
Direct PDF editing is a practical choice for a few short corrections when the relevant text is editable, the font situation is manageable, and the page layout is simple. For a substantial rewrite or redesign, use the original editable file if you have it, then export a new PDF. PDF text boxes are independent, so rebuilding a larger passage or rearranging complex elements directly in the PDF can require more manual layout work. This is a practical implication of the box-based editing behavior, not a requirement imposed by Acrobat.
Before deciding, consider how much text will change, whether the original font is available, whether OCR is accurate enough, how complex the page’s graphics or tables are, and how precisely the page layout must be controlled.
