Why Does Copilot Look Different Across Microsoft Apps?

Copilot’s controls and features vary by app, account, license, organization settings, and updates. Here’s how to tell why your Microsoft apps look different.

Copilot looks different across Microsoft apps because each app adapts it to a different task, and the account, license, organization settings, and software rollout affect which options appear. A missing button or changed icon does not necessarily mean Copilot is broken: first identify whether you are using a personal or work account, then check the license and the app-specific feature.

Why Copilot changes from app to app

“Copilot” can mean the Microsoft Copilot app, Copilot Chat, or Copilot features built into Microsoft 365 apps. They share a name, but they are not one identical interface. Microsoft describes Copilot Chat as appearing alongside some Microsoft 365 apps, where it can work with the task and content associated with that app. See Microsoft’s guide to how Copilot Chat works in Microsoft 365 apps.

That context changes what is useful to ask for, and therefore the prompts, controls, and information available can differ. Outlook may draw on inbox and calendar information; Word works with document content; Excel focuses on spreadsheet analysis; PowerPoint supports presentation tasks; and OneNote can work with notebook notes. The available context is not automatically the same in every app or Copilot surface.

What Copilot can do in each app

App Examples Microsoft documents What to keep in mind
Outlook Ask about inbox and calendar information, including meetings. Broader work context, such as chats and enterprise data, depends on the assigned Copilot add-on license.
Word Draft an introduction, identify likely reader questions, or summarize a document. What Copilot can use or access depends on the active experience and entitlement.
Excel Identify spreadsheet trends and create visualizations. Some features, including Agent Mode and advanced spreadsheet capabilities, require a Microsoft Copilot license.
PowerPoint Prepare for audience questions or generate an image for a presentation. Presentation-focused tasks produce different entry points and controls from document or spreadsheet work.
OneNote Summarize notes or create a prioritized to-do list from notebook content. Copilot works with notebook content rather than presenting the same task surface as other apps.

These are examples, not a promise that every feature is available to every account. Microsoft’s FAQ about Copilot in Microsoft 365 subscriptions describes these app-specific workflows.

Your account determines which Copilot experience is active

A personal Microsoft account and a work or school account are separate experiences. In supported versions, the profile area can show whether the active context is Personal or Work. Microsoft says the account signed in shapes the experience. Check the label beside your profile in the Microsoft Copilot app, described in Get started with the Microsoft Copilot app.

If the wrong account is active, switch to the account you intend to use and check again. Work and personal data do not merge when you switch accounts; Microsoft’s Copilot app update guidance for personal, work, and school accounts describes the distinction. Do not assume that a personal Copilot chat can see company files, or that a work Copilot surface has access to personal content.

Licenses and organization settings can hide features

For work or school accounts, the license assigned to you and your organization’s configuration determine which Copilot features and app entry points are available. Microsoft lists work-account labels such as Copilot Chat (Basic), M365 Copilot (Basic), and M365 Copilot (Premium); these indicate different access and entitlements. To find yours, follow Microsoft’s instructions in What Copilot license do I have. If a work feature you expect is missing, ask your Microsoft 365 administrator to confirm your assigned license and organization settings.

Personal subscription benefits also depend on who owns the subscription. Microsoft says the subscription owner can use Copilot within Microsoft 365 desktop apps; people sharing a Family or Premium subscription may have Chat access while desktop-app AI benefits remain limited to the owner. Check the account that owns the subscription and the active plan before comparing screens. Names, icons, and navigation can change with updates

Some differences are visual rather than functional. Microsoft says the Microsoft 365 Copilot app is now called the Microsoft Copilot app, and its update guidance describes changes to appearance, icons, and navigation. The transition can differ by account and device: some work or school users may see a name or icon change with few other differences, while personal users may be moved to an updated web experience or need to update the mobile app.

Because the rollout and available features can vary by region, device, and app version, an older screenshot or set of instructions may not match your screen. See Microsoft’s current Copilot app update guidance for the account type and device you use.

Check why your Copilot screen is different

  1. Check the active account. Open the profile area and note whether it is labeled Personal or Work. If it is the wrong context, switch accounts and inspect the app again.
  2. For work or school, check the Copilot license label. Use the Microsoft 365 home page and Microsoft’s license-identification instructions. If the capability is not covered or is disabled by organization settings, contact your administrator.
  3. For a personal account, verify the subscription owner. Confirm that you are signed in as the Microsoft 365 subscription owner if you expect Copilot inside desktop apps; sharing a subscription does not necessarily share those AI benefits.
  4. Compare the same kind of task in the same app. An Outlook inbox question and a Word document summary use different app context, so their panels and options are not a like-for-like comparison.
  5. Check for an app update or renamed experience. If the main difference is the icon, app name, or navigation, compare your app with Microsoft’s update guidance for your account type and device.

Can Copilot work across apps?

Some cross-app workflows are documented, but they do not make every Copilot panel or menu interchangeable. Microsoft gives examples of using a referenced file to start a Word document or PowerPoint presentation, and generating an image from a Word or PowerPoint Copilot chat panel. Those workflows show that content can move between certain tasks; they do not establish that every app shares the same context or capabilities. Availability still depends on the account, license, app, and organization settings.
