A converted file can look different because the target format or app reconstructs the document differently; it can also fail to open because of a compatibility, application, or file-specific problem. A layout change alone does not prove the file is damaged. Keep the original, work on a copy, and use the checks below to distinguish a conversion limitation from an opening failure.
Start by identifying the file and the failure
Before changing anything, note the original and converted file extensions, the apps and versions used to convert and open them, the operating system, and the exact error message. Those details determine which fixes apply; without them, there is no reliable one-size-fits-all diagnosis.

- Preserve the original. Make a separate copy of the converted file and use that copy for repair attempts. Keep the original conversion source unchanged.
- Check whether the problem is limited to one file. Try opening another document in the same app. If appropriate, test another Office app as well. Microsoft recommends these checks to help distinguish a document-specific problem from an application or operating-system issue; they are clues, not a definitive diagnosis. Microsoft’s Word troubleshooting guidance is specific to Word.
- Decide which kind of problem you have. If the file opens but its layout changed, follow the layout and compatibility guidance below. If a Word document will not open, use the Word-specific recovery steps. A blocked-file-type message in Word for Mac has its own narrower guidance.
Why conversion can change the appearance
PDF preserves a page’s appearance, not necessarily its editable structure
A PDF records where text, pictures, and vector graphics appear on a page, but it may not preserve how paragraphs, tables, and columns relate to one another. When Word opens a PDF, it has to infer editable objects such as headings, lists, and tables from that visual arrangement. A page dominated by charts or other graphics may turn into one image, so its text is not editable. Microsoft also identifies cell spacing in tables, page colors and borders, tracked changes, frames, footnotes spanning pages, endnotes, audio or video, active PDF elements, bookmarks, tags, comments, and some font effects as elements that may not convert well. Word creates a copy when opening a PDF for conversion, but retain your own source copy and inspect the result before editing or sharing it.

Office apps and formats do not handle every feature alike
Complex Microsoft Office documents can change when opened in another office application. LibreOffice lists tables, frames, multi-column layouts, revision marks, objects, some controls and form fields, hyperlinks and bookmarks, AutoShapes, and WordArt among features that may be handled differently or unsupported. These are examples of possible interoperability problems, not a claim that every such feature will fail in every file. More complex source layouts can mean more manual reformatting. Saving to an older Word format can also affect newer features. Word’s Compatibility Checker can identify features that are unsupported or behave differently in earlier versions; some changes may become permanent when you convert to the older format. Font substitution can alter layout
Fonts affect line breaks, spacing, and page flow. Microsoft documents a particular Office for Mac cross-platform issue in which an app may look for a font under a name saved on another platform, leading to substitution and rendering problems during file sharing or co-authoring. That guidance applies to specified Mac Office versions, not every document or platform. Check that the needed fonts are available and compare the app versions involved. Fix a Word document that will not open
The steps below are for Word documents that appear damaged, not a universal repair for every file type or error. Menu names can vary by Word version. Try them on a copy and preserve the original.

- Try opening in Draft mode without updating links. Microsoft includes this as an early Word troubleshooting step. Avoid changing the source file while testing.
- Insert the document’s contents into a new blank document. This may recover content when the original document container is the problem.
- Use Open and Repair. In Word, open the file picker, select the document, use the arrow beside the Open button, and choose Open and Repair if that option is available in your version.
- Try an alternate format on a copy. Microsoft’s procedure includes saving as Rich Text Format (RTF), then converting back to Word, or trying another format. Check the result because conversion can change layout or features.
- Use text recovery only as a last resort. Microsoft describes recovering text through Notepad, but warns that formatting is lost. Treat this as an attempt to salvage readable content, not to restore the original document structure.

If Word for Mac says the file type is blocked
A blocked-file-type message is a specific case, not the same as every failure to open. For the Word for Mac versions covered by its guidance, Microsoft suggests Recover Text, which may open the document with formatting changes, and checking backup versions if it still will not open. Follow Microsoft’s Word for Mac blocked-file guidance only if its described situation matches yours.

Check the converted or recovered copy before relying on it
Once a file opens, compare it with the original rather than assuming a successful opening means a faithful conversion. Inspect the parts most likely to change:

If the general steps do not fit the error, a specific fix cannot be determined from the file extension alone. The useful details to gather are the exact error text, file format, app and version, operating system, and whether other files open in that app.
