A bank-statement conversion can look neat and still put a transaction on the wrong date, reverse its sign, or place a description in the wrong column. The fix is to identify the PDF type, check how the converter reads dates and amounts, compare suspect rows with the original, and validate the finished file against the destination importer before importing.
Why a converted statement can be wrong even when it looks tidy
A PDF preserves how a page looks; it does not necessarily contain a clean transaction table. Conversion software has to identify text, infer its order and grouping, and assign it to fields. A plausible-looking spreadsheet is not proof that those steps were correct.

Errors commonly stem from scanned or unusable text, ambiguous dates, regional number conventions, unclear debit and credit signs, or a layout that the converter reconstructs incorrectly. These are distinct problems, so start by diagnosing the source rather than editing cells at random.

Check whether the PDF contains usable text
Try selecting and copying a transaction
Select a transaction description and amount in the PDF, copy them, and paste into a plain-text editor or spreadsheet. If the text cannot be selected, or pastes as garbled characters or in an unusable order, the PDF may be a scan or have text that the converter cannot use. Use OCR carefully for image-based pages
If the statement is a scan, use an OCR-capable workflow or ask the bank for a text-based statement or transaction export if available. MoneyThumb recommends a clean, crisp 300 dpi scan for its OCR process; that is its product guidance, not a guarantee that every value will be recognized correctly. Review any flagged or uncertain OCR rows against the page image.
Correct date errors by checking both the source and output formats
Do not assume the year is printed on every row
Some statements show a transaction’s month and day while giving the year only in the statement period. A converter may infer the year from another date on the page or assign it incorrectly. Compare the transaction with the statement period, paying particular attention to rows near the start or end of a year.

Distinguish day-month-year from month-day-year
A value such as 04/05 can mean April 5 or 4 May, depending on the source convention. Set the source date order to match the statement, then set the output date format to match the receiving system. These are separate choices: changing the exported display format cannot repair a date that was interpreted incorrectly at input. MoneyThumb documents date-format and year-inference settings in its conversion help. Xero also lists invalid dates among possible manual-import errors in its manual statement import guidance.
Verify amount formats and debit or credit direction
Check decimal and thousands separators
Number conventions vary. A comma may mark a decimal or separate thousands; a period may do the opposite. A trailing minus sign, such as 4,560-, may also be interpreted as text rather than a numeric negative value. Able2Extract’s Server User Guide discusses regional separators, currency symbols, and trailing-minus handling. Set the converter’s locale to the statement’s convention and confirm the destination expects the same numeric representation.

Check whether the statement uses separate debit and credit columns
Some statements show withdrawals and deposits in separate columns; others use one signed amount field. A parser may mistake which column is which or fail to carry a minus sign into the output. Compare each suspect amount with the printed statement and verify its direction, not just its digits or whether the exported cell is numeric. MoneyThumb warns users to check debit and credit signs when its software cannot identify distinct sections or determine which column is which in its PDF2CSV help.
Fix rows and columns that shifted during extraction
PDF text can be stored in an order that differs from its visual reading order. Research on PDF table extraction describes using text coordinates to reconstruct order and group words by column; the page’s visual layout alone does not guarantee that extracted text will form the correct rows. The paper by W. V. Lymantama and co-authors describes a dataset of 105 statement PDFs from six Indonesian banks, a study-specific dataset rather than a general measure of conversion accuracy. Compare suspect rows with the original page, especially where descriptions wrap onto multiple lines, a page breaks mid-table, or separate account sections appear close together. MoneyThumb’s help documents spacing and multiline-description options and suggests processing sections or pages separately when multiple account sections confuse extraction. Adjust those settings only when the output shows a corresponding grouping problem, then inspect the revised rows again.

- Preserve the original. Keep the statement unchanged and make corrections in a copy of the converted file.
- Diagnose the PDF. Test whether transaction text can be selected and copied. If not, use OCR or request a text-based statement or transaction export from the bank if available.
- Set the reading options. Check language, source date order, year inference, number locale, spacing, and whether the output should use separate debit and credit fields or signed amounts.
- Compare suspect rows side by side. Check the full date, amount, sign, description, and row placement against the PDF. Pay special attention to year boundaries, wrapped descriptions, and page breaks.
- Match the destination’s schema. Confirm that dates use the required date format, amounts are numeric, columns align consistently, and any account or currency conditions are met. Xero’s manual-import guidance gives Xero-specific requirements; for other accounting software, follow that product’s own documentation.
- Re-import only after review. A successful import shows that the file was accepted; it does not prove that extraction matched the statement.
Choose a conversion workflow that fits the statement
When deciding how to convert a statement, compare the capabilities that affect your particular source and destination:

- Destination compatibility: Does the output match the accounting importer’s required fields and formats?
- Privacy and retention: Do the service’s terms explain how uploaded financial documents are handled and retained?
The cited materials do not establish a universally best converter or a general error rate for bank-statement PDF conversion. Choose based on the statement’s format, the review controls you need, and the destination’s documented requirements.
