A printer’s “online” or “available” status only shows that it is detected; it does not prove that a particular print job reached the printer or that the printer can complete it. The job may be paused or stuck in the computer’s queue, an app or driver may be failing, the connection may be intermittent, or the printer itself may be reporting an error. Check the printer and queue first, then narrow the cause by testing the connection and another app.
What “online” does—and does not—tell you
Printing passes through several separate stages: an app creates a job, the operating system queues it, the computer sends it over USB or a network, and the printer processes it. An online indicator does not confirm that each stage worked. A printer can be visible to the computer while a job is paused, blocked behind another job, sent through a stale setup, or prevented from printing by a printer-side warning.

Use the checks below to identify which stage is failing rather than resetting or reinstalling everything at once.
Check the printer for a physical warning
Look at the printer’s display or indicator lights before changing computer settings. Check for an error message, paper jam, open cover, or low paper, ink, or toner. Follow the printer’s manual or the manufacturer’s support instructions for the exact message or light pattern; status indicators and remedies differ by model.

Inspect the print queue
A blocked job can prevent later jobs from printing even when the printer is online. Check the queue on the computer that sent the document.
Windows 10 and Windows 11
- Open Settings > Bluetooth & devices > Printers & scanners (the exact labels can vary by Windows release).
- Select the intended printer and open its queue. Confirm that it is the printer you meant to use and, if needed, check that it is the default printer.
- In the queue window, open the Printer menu and make sure Pause Printing and Use Printer Offline are not selected. If either is selected, clear it.
- Review the listed jobs. Cancel a job that is stuck or blocking the queue, then try printing again.
Microsoft’s Windows offline-printer troubleshooting covers queue state, the default printer, connections, and physical checks. If the queue remains blocked after these steps, use Microsoft’s printer connection and printing guidance for driver and Print Spooler recovery. Clearing spooler files is a later step: it affects the local queue, so do not start there if a simpler queue check may solve the problem.

Mac
- When a job is active, open Print Center from the Dock and inspect its status and queue.
- If another job is blocking the queue, select and delete that job, then retry the document.
- If the printer uses USB, confirm the cable is connected and the printer is powered on.
Apple’s Mac printing troubleshooting also recommends testing from another application, such as TextEdit. If the test prints but one app does not, focus on that app rather than treating the printer as offline.

Verify the connection the job actually uses
USB
Check that the printer is powered on and the cable is firmly connected at both ends. If the cable or port seems suspect, reconnect it and try again; replace a cable only when there is a reason to suspect it is faulty, and confirm connector compatibility first.

Wi-Fi or another network connection
Check the printer’s own network status and make sure the printer and sending device are on the same network. A printer can remain listed on a computer even when its current connection is unreliable or the computer is targeting an old setup. HP’s offline-printer troubleshooting suggests checking the shared network and describes a power-cycle sequence: turn off and unplug the printer, restart the device and router, then power the printer back on and try again. A restart may help, but it is not a guaranteed fix.
Use the pattern of failures to narrow the cause
| What happens | Where to focus |
|---|---|
| Only one document or job will not print | Inspect that job’s queue status and whether it is blocking later jobs. |
| Only one app fails | Try another app. If that works, investigate the failing app’s print settings or behavior. |
| Only one computer cannot print | Check that computer’s queue, selected printer, driver, and setup. |
| Several devices cannot print | Check the printer’s own error status and network connection. |
| The printer reports an error or supply warning | Address the specific printer-side message using the exact model’s instructions. |
For model-specific paused or offline instructions, consult the manufacturer’s support page for the exact printer. Epson provides Windows guidance for an offline or paused status, and Brother provides printer-status guidance; menu names and steps can vary by model and operating-system version.

When to move on to drivers or diagnostics
If the printer has no visible error, the queue is clear, and the connection checks out, use current support instructions for your exact printer model and operating system. On Windows, Microsoft identifies driver and Print Spooler troubleshooting as later steps. For supported HP printers, the HP app’s Diagnose & Fix feature may help identify a device or connection issue. Avoid reinstalling drivers or clearing spooler files before checking the queue and printer status; those actions target different causes and may not address an app-specific failure.
