Without that operating structure, more customers and invoices can mean more missed warning signs and collections work that depends on individual memory.
Why overdue accounts become harder to manage as a wholesaler grows
Wholesale credit often means customers can place new orders while earlier invoices remain unpaid. As account count, invoice volume, and trade-credit exposure rise, a team needs to see not just which invoices are late, but how each customer’s total balance compares with its terms and credit limit.

Microsoft Learn describes monitoring customer balances and overdue payments as part of credit and collections management. It also identifies payment terms and credit limits as customer-data decisions that help govern the process. Microsoft’s stated rationale is: “When you manage the collection process carefully, it helps you get customers pay on time, increases the cash flow, and helps make the cash flow of the organization more predictable.” Microsoft Learn: Manage credit and collections
Build a process that turns receivables into owned work
A useful workflow makes account risk visible, gives every collection action an owner, and makes room for valid disputes. It should connect the rules for extending credit to the invoice and payment records staff use every day.

1. Set credit and payment rules
Define payment terms and credit limits for customer accounts, plus who can approve exceptions. Decide in advance what happens when a customer approaches a limit or has overdue invoices: for example, whether an order is reviewed, held, or released by an authorized person. Microsoft Dynamics 365 documentation describes credit limits, payment terms, balance monitoring, and rules that can place orders on hold. Microsoft Learn: Credit management overview
Rules are only useful if teams can apply them consistently. Document who can change a limit, what information an exception requires, and how the decision is recorded.

2. Make account status easy to see
Give the people handling credit and collections a customer-level view of balances and overdue invoices, supported by aging analysis. The aim is to prioritize work using the state of the whole account rather than relying on a stack of separate invoice emails. Sage Intacct describes customer aging and invoice analyses among its receivables capabilities. Sage Intacct: Accounts receivable
3. Assign a person and record the next action
Every collection case needs an owner, a record of contact, and a clear next step. A centralized activity history helps another team member pick up the account if its usual owner is away, and prevents the same customer from receiving conflicting messages. Sage Intacct describes assigned collection cases and centralized activity records. Sage Intacct: Accounts receivable

4. Use reminders consistently, with appropriate oversight
Set reminder timing and wording to suit customer groups and internal approval requirements. Automation can help make follow-up predictable, but it should not remove judgment: a key account, an active service issue, or a disputed delivery may call for a reviewed message rather than an automatic escalation. Product descriptions from Sage AR Automation and Sage Intacct describe configurable workflows and reminders; confirm how approval and account-specific rules work in any system you consider. Sage AR Automation
5. Separate genuine disputes from collection of the rest
A short shipment or damaged pallet can lead a customer to dispute one invoice while other invoices remain due. Track the disputed invoice or amount separately, assign someone to resolve it, and keep the undisputed balance on its normal collection schedule. Paidnice describes a wholesale workflow that can exclude a disputed invoice from a policy while the rest of the account continues on schedule. That is a vendor-described capability, not independent validation of its performance. Paidnice: Wholesale collections

What to look for in receivables software
Software can support a process, but no product is established as the best choice for every wholesaler. Start with your accounting or ERP system, customer-account structure, and the decisions your team needs to make; then verify capabilities against those needs.

Where financing and credit-risk services fit
Invoice finance or credit-risk monitoring may be relevant to some wholesalers, but these services address needs adjacent to collections rather than replacing a reliable follow-up process. Kema and Satago describe payment and reminder tools alongside financing or credit-risk services. Eligibility, availability by country, pricing, and suitability depend on the business and need direct verification. Kema Satago
