Which Windows Settings Are Backed Up to a Work or School Account?

A work or school account may sync select Windows settings only when the organization permits it. That option is separate from the consumer-focused Windows Backup app.

Only some Windows settings may sync to a work or school account, and only if your organization allows it. Microsoft identifies the optional “Other Windows settings” preference as the organization-account setting-sync option. Its examples include printer and mouse options, File Explorer settings, and notification preferences. This is distinct from the consumer-focused Windows Backup app, which Microsoft says does not work with work or school accounts.

What can sync to an organization account?

If your organization permits it, the “Other Windows settings” option can sync some device settings for a work or school account. Microsoft’s examples are printer and mouse options, File Explorer settings, and notification preferences. The option is conditional: its availability depends on your organization’s policy.

Microsoft does not say that every Windows preference syncs this way, or that the full set of settings available to a personal Microsoft account is included. In particular, do not assume this means your installed apps, files, or complete Windows profile are backed up.

Windows Backup and organization-managed settings are different

Microsoft describes the Windows Backup app as focused on consumer devices and says work or school Microsoft accounts do not work with it. For a personal Microsoft account, Windows Backup lists categories including installed apps; accessibility; accounts, Wi-Fi networks and passwords; personalization; language preferences and dictionary; and other Windows settings. Its settings catalog describes backing up selected settings across Windows devices signed in with that Microsoft account.

The organization-account “Other Windows settings” option is a narrower, policy-dependent case—not a promise that a work account gets the consumer Windows Backup feature or all of its categories. Microsoft also says remembering installed apps is unavailable for work or school accounts.

How to check what is available on your device

  1. Open Settings > Accounts > Windows backup and review the preferences shown. Microsoft says the Windows Backup app can also display the current backup state.
  2. Check whether Other Windows settings appears. For a work or school account, this option is available only if your organization allows it.
  3. If it is missing or does not behave as expected, ask your IT administrator whether Enterprise State Roaming is configured and permitted for your account or device. Microsoft points to Enterprise State Roaming in Microsoft Entra ID for organization-managed settings synchronization.

What depends on your organization

Whether Enterprise State Roaming is configured, which settings the organization permits, and how organization-managed settings are handled are tenant-specific. Microsoft’s general support information does not establish the configuration or retention details for a particular employer. Your IT administrator is the right person to confirm what is enabled for your account.

Microsoft’s update overview also notes that, after a Windows security update released on or after January 25, 2024, the Windows Backup app does not appear on an Enterprise-managed device. That is deployment context; Microsoft’s current support guidance remains the reference for the feature’s present scope.
