Start with Windows 11’s optional diagnostic data, then audit app permissions, Activity history, Location, and finally your Microsoft-account activity. This order reduces the most avoidable sharing without breaking features you rely on. Open Settings > Privacy & security; Windows 10 uses Settings > Privacy, but Microsoft says Windows 10 support ended on October 14, 2025, so check your upgrade and support options if you still use it.
The best first pass: what to change, and in what order
Windows privacy controls operate at different layers. Some affect data sent to Microsoft, some govern whether an app can use a device capability, and others control activity stored locally or associated with your Microsoft account. Treating every switch as an all-or-nothing privacy button leads to surprises: a setting can reduce collection while required data still flows, or a permission change can disable a feature you need.

| Review | Primary scope | Privacy effect | Likely feature impact | Main limitation |
|---|---|---|---|---|
| Optional diagnostic data and tailored experiences | Windows device and Microsoft services | Reduces optional telemetry and personalization | Fewer tailored tips and recommendations | Required diagnostic data remains |
| App permissions | Capability-by-app (location, camera, microphone, contacts, calendar) | Blocks selected apps from using sensitive resources | The blocked app’s related feature may stop working | Desktop apps may not appear in the permission lists |
| Activity history | Local Windows activity storage | Stops new local activity records when disabled | Windows experiences that rely on that history may be less useful | Does not erase browser history |
| Location | Device, Windows services and apps | Restricts location access | Automatic time zone, Find my device and location features can be impaired | Emergency and cellular-location exceptions apply |
| Privacy dashboard | Microsoft-account-associated activity | Shows and clears some account data | Usually no immediate device feature change | It is not a complete record of every category of data |
1. How do I turn off diagnostic data in Windows 11?
Open Diagnostics & feedback
- Open Settings.
- Select Privacy & security.
- Choose Diagnostics & feedback.
- Under the diagnostic-data choices, turn off sending optional diagnostic data if you want the lower-sharing baseline.
- Turn off tailored experiences if you do not want Windows to use diagnostic information to personalize tips, recommendations or offers.
Microsoft distinguishes required from optional diagnostic data. Required data supports security, updates, troubleshooting and operation of Windows services. Turning off optional data therefore does not mean that Windows sends no diagnostic information; it removes the optional tier while required diagnostics continue.
Recommended Free Tools
Microsoft Support describes the purpose this way: “Microsoft uses diagnostic data to keep our products secure and up to date, troubleshoot problems, and make product improvements as described in more detail below.” That explanation is why the practical goal is to reduce optional sharing rather than promise a zero-data Windows installation.

What Diagnostic Data Viewer can and cannot show
If you want to inspect the information available on the device, install or open Diagnostic Data Viewer from the Diagnostics & feedback page. It displays data while the viewer is running; it is not a complete historical archive of everything Microsoft may have processed.
Deleting diagnostic data is not the same as stopping collection
The delete control removes diagnostic data held on the device according to Microsoft’s setting, but it does not turn off collection of required data. It also does not necessarily delete information already associated with your Microsoft account. Use the account-level privacy dashboard separately when you want to review or clear data Microsoft makes available there.
2. Which app permissions should you audit next?
Review the high-impact capabilities
From Settings > Privacy & security, open each capability that can reveal sensitive information. Start with:

- Camera: remove access from apps that never need video.
- Microphone: restrict background listening or recording to apps you trust and use for calls, meetings or audio.
- Contacts: allow only apps that genuinely need your address book.
- Calendar: limit access to scheduling or productivity apps that require it.
Change access by app, not by reflex
Open a capability, review the master switch and the individual app list, and disable only entries that do not have a clear use. A blanket shutdown can break video calls, voice input, navigation, device finding or calendar synchronization. If you are unsure, leave the capability enabled and remove access from the specific app first; test the app, then tighten further if nothing you use stops working.

Why a permission list may not show every program
Microsoft says these lists primarily govern Microsoft Store apps. Traditional desktop programs may not appear and can access system resources differently. For a desktop program, check its own settings for camera, microphone, location or contact access and read its privacy documentation. A missing entry in Windows’ list is not proof that the program has no access.
3. Does turning off Activity history stop Microsoft collecting my data?
What the Activity history switch actually controls
- Open Settings > Privacy & security > Activity history.
- Turn off the option that stores activity history locally if you do not use Windows features that depend on it.
- Review any available clearing control if you want to remove existing local activity records.
Activity history is primarily about activity Windows stores and uses on the device for features that resume or present recent work. Turning off local storage can reduce those on-device experiences. It is not a universal Microsoft-account collection switch.
Activity history is not browser history
Disabling Activity history does not erase your Microsoft Edge browsing history. Browser history is managed in the browser itself, with its own history, sync and deletion controls. If browser records are your concern, review those controls separately rather than assuming the Windows Activity history page covers them.

4. Should you disable Location?
Choose between per-app restrictions and a full shutdown
- Open Settings > Privacy & security > Location.
- If only a few apps need location, leave the location service on and turn off access for unnecessary apps.
- If you do not use location-based Windows features at all, turn off the device’s location service and check which functions you are giving up.
Restricting location can affect automatic time-zone changes, Find my device, maps, local search and other location-aware features. A targeted per-app change usually preserves more functionality than disabling the service globally.

Location has documented exceptions
Microsoft says that when an emergency call is made, Windows may still attempt to determine and share a precise location. On cellular-capable devices, cellular operators may also be able to access location. Do not describe the Location switch as a guarantee that no party can ever determine where the device is; it restricts Windows and app access under normal operating conditions.
5. What should you check in the Microsoft privacy dashboard?
Use it for account-level activity, not device permissions
The privacy dashboard is separate from the Windows Settings pages. Open Microsoft’s privacy dashboard while signed in to the relevant Microsoft account, inspect the categories that are available, and use each category’s clear or delete control where offered. This is the appropriate place to review some activity associated with the account rather than activity stored only on the PC.
Understand why the dashboard may look incomplete
- It does not present every kind of data Microsoft may hold or process.
- What you see depends on whether you use that account, which services are synchronized and which data category is involved.
- New activity can take time to appear.
Clearing an item in the dashboard does not replace the local reviews above. A device permission, Activity history record and account-associated activity are different data paths, so check each path separately.

Before you change anything
- List features you cannot afford to break, such as video meetings, voice dictation, navigation, automatic time zone or device finding.
- Make sure you know which Microsoft account is signed in, especially on a shared or work-managed PC.
- Expect page names to move as Windows updates. Microsoft says the older General privacy page is being replaced by Recommendations & offers in recent Windows 11 versions.
Run the review in this order
- Diagnostics & feedback: disable optional diagnostic data and tailored experiences if you prefer less optional sharing.
- Camera and microphone: remove access from apps that have no plausible need, then test calls and recording.
- Location: restrict individual apps first; disable the service only after checking the impact on time zone, Find my device and maps.
- Contacts and Calendar: keep access only for apps that use those data sets as a core feature.
- Activity history: turn off local storage if you do not use Windows experiences built on recent activity.
- Privacy dashboard: inspect and clear available Microsoft-account activity separately.
Windows 10: the equivalent path and an important support warning
On Windows 10, Microsoft’s instructions use Settings > Privacy rather than Windows 11’s Settings > Privacy & security. The underlying ideas—diagnostic data, app permissions, Activity history and location—are similar, but labels and available switches can differ by release.

Microsoft states that Windows 10 support ended on October 14, 2025. That is a support-status date, not a privacy statistic. If a PC still runs Windows 10, check its support and upgrade options rather than assuming it continues to receive ordinary free security fixes. Keep the privacy review, but treat the operating-system support decision as a separate priority.

Turning off a master switch and breaking a required feature
Return to the capability page, re-enable the master switch, and then disable only the individual apps that do not need access. This preserves the underlying Windows service while narrowing exposure.
Assuming optional diagnostics means no diagnostics
Re-read the required-versus-optional distinction on Diagnostics & feedback. Required diagnostic data remains enabled for core security, updates, troubleshooting and operation.

Believing desktop apps are covered because Store apps are listed
Check the desktop app’s own privacy settings and policy. Windows’ capability lists are not a universal inventory of every executable that can use a resource.
Expecting Location off to defeat every location signal
Remember Microsoft’s emergency-call behavior and the possibility of cellular-operator location access. The setting reduces normal Windows and app access; it is not an absolute invisibility guarantee.
The decision rule
Choose the least permissive setting that still supports a feature you actually use. For diagnostics, that usually means optional off and required on. For permissions, it means app-by-app access instead of a blanket shutdown. For Activity history, it means local storage off when its Windows experiences are not useful to you. For Location, it means per-app limits unless you need no location features at all. For account activity, it means checking the dashboard with realistic expectations about what it can display.
