A point-of-sale (POS) system can reduce repeated administrative work when checkout, sales records, inventory, and customer information flow through connected tools. The most useful features depend on your business: a retailer may prioritize stock synchronization and purchase orders, while a restaurant may need kitchen order routing and menu updates. These features can support more efficient workflows, but no feature guarantees a specific time saving or business result.

What a POS system does

A POS system combines software and hardware for accepting payments and managing business records. A typical setup may include a touchscreen device and payment processing, with optional peripherals such as a barcode scanner, receipt printer, or cash drawer. The exact equipment and supported payment methods depend on the provider and configuration. Square describes its POS as combining payments, sales, inventory, reporting, and customer data, while Shopify describes support for major card and digital-wallet payments.

Efficiency comes from reducing the need to enter or reconcile the same information in separate places. When a sale updates the relevant records in the POS, staff may spend less time maintaining duplicate checkout, stock, or customer records. That is a workflow benefit, not a measured or guaranteed reduction in labor.

Which POS features can reduce repeated work?

Connected checkout and payment records

A unified checkout can record transactions alongside the rest of the business’s sales information. This may reduce separate bookkeeping steps compared with a workflow in which staff must manually transfer payment and sales details between tools. Check whether the payment methods your customers use are supported and whether the transaction records reach the reports you rely on.

  • Serve customers faster — Run smoothly through busy shifts, complex menus, and big orders with high-speed processing, memory, and responsive touchscreen displays.

  • Handle real-world demands — Resist everyday spills, dust, and wear with a durable, IP54-rated design.
  • Stay reliable through every rush — Maintain strong connectivity and consistent performance through your busiest hours.

Sales-linked inventory and replenishment

When sales update stock records, staff can use the POS to see what is on hand and identify items that may need replenishment. For a retailer, useful capabilities can include inventory history, bulk stock management, purchase orders, vendor profiles, barcode labels, and scanning to add catalog items. Square’s retail POS materials describe these inventory workflows; the availability of particular features can depend on the selected plan or activation.

Match the system’s inventory depth to how you actually replenish stock. A basic item count may be enough for a small catalog, while a business managing many products, suppliers, or locations may need purchasing workflows and a history of stock changes.

  • Process chip cards in just two seconds.
  • Get your money as soon as the next business day.
  • Use it cordlessly with the built-in battery, designed to last all day.

Online and in-store synchronization

Retailers selling both in person and online can reduce duplicate updates when product, stock, sales, and customer information stays connected across channels. Shopify describes a common back office for in-store sales, pickup, and shipping. But integration quality matters: Shopify’s guidance notes that third-party connections can refresh slowly or lack compatible features, which can leave records out of sync and create extra work. Review Shopify’s guidance on POS integrations and verify refresh timing, compatibility, and which system owns each record before relying on the connection.

Reports and customer information

Sales and customer records in one place can make it easier to review activity and answer practical questions, such as which products are selling or what customer information is available for follow-up. Reports are decision-support tools: vendor feature descriptions do not prove that using them will increase revenue or productivity. Before choosing a POS, check that its reports expose the measures you need, at the level of detail and time period that fits your decisions.

Restaurant orders, kitchen routing, and staff workflows

Restaurants may need a different set of connected workflows: handling dine-in, takeout, delivery, and online orders; sending orders to kitchen staff; and coordinating menu updates, inventory, scheduling, or payroll. Toast describes these capabilities, along with delivery integrations and backup cellular service, for its own restaurant POS offering. Treat these as claims about that product, not features guaranteed across all restaurant POS systems. Confirm that the system supports your service model and that the workflows you need are included in your configuration.

How to compare POS features for your business

Start with the work your staff repeats, then check whether the POS handles it directly or depends on an integration. Ask providers to demonstrate the actual workflow using your business’s channels, products, and equipment.

  • Inventory depth: Decide whether simple item counts suffice or whether you need inventory history, purchase orders, vendor records, barcode workflows, or synchronization across channels and locations.
  • Integration behavior: Distinguish native connections from third-party or API-based links. Ask how frequently data refreshes, which features are compatible, and where the authoritative record lives.
  • Reports and customer records: Check whether reports answer your real operating questions and whether the system records the customer details you need.
  • Staff and order handling: For restaurants, verify kitchen routing, table service, delivery support, scheduling, or payroll if relevant to your workflow.
  • Hardware, payments, and plan: Confirm compatibility for the terminal, scanner, printer, drawer, and payment methods you expect to use. Verify whether required features are included in your region and plan.

For accessories such as a USB barcode scanner, receipt printer, or cash drawer, verify the specific model and connection type against the POS provider’s compatibility information before buying; an accessory category being supported does not establish that every device will work.

What POS efficiency claims can—and cannot—tell you

Provider materials explain intended features and workflows, but they are not independent comparisons of performance. The official materials cited here do not establish a general number of hours saved, faster checkout, reduced labor, or higher revenue from adopting a POS feature. Treat efficiency as a possible result of fit: the system must support the way your business operates, and its integrations and hardware must work reliably in your environment.
