Start with the relevant Message center notice, identify the affected workload and tenant scope, then inspect the specific service settings and policies the notice names. Prioritize changes that affect access, user workflows, defaults, customizations, data handling, or compliance, and verify the result after rollout.
Start with the Message center notice
In the Microsoft 365 admin center, open Message center and read the full post for the change. Microsoft uses it as the primary administrative source for service announcements and feature changes. Capture what is changing and why, the rollout schedule, affected users and platforms, recommended actions, and any compliance considerations.

Turn each material notice into a short review record before changing settings:
- Scope and timing: Record the affected service, client, platform, user groups or roles, rollout dates, and rollout phase.
- Behavior and defaults: Note whether feature behavior, default settings, user self-management, or interactions with existing policies will change.
- Security and compliance: Check whether data storage or processing, access, communications, identity controls, retention, DLP, eDiscovery, or other Microsoft Purview capabilities may be affected. Follow the service documentation named in the notice to verify the relevant controls.
- Tenant configuration: List the specific settings or policies named in the notice and locate them in the affected workload’s admin center. Do not assume a similarly named control exists in another service.
- User operations: Consider effects on workflows, sharing, inboxes, meetings, delegations, customizations, capacity, support procedures, training, or URLs.
- Ownership and follow-up: Assign an owner, record the decision and actions, notify affected users or support staff, and define how you will confirm expected behavior after rollout.
This is a practical review method, not a Microsoft-prescribed inventory of settings. The exact controls depend on the change, workload, licensing, and tenant configuration.

Decide how deeply to review the change
Not every service update warrants the same amount of review. Use the change’s impact and urgency to decide whether a quick check is enough or whether service owners and security, compliance, support, and business teams need to be involved.
| Review factor | Why it matters |
|---|---|
| User impact | A change to daily workflows, meetings, sharing, inboxes, or user self-management may require communication, training, or support preparation. |
| Security and compliance impact | Changes that affect access, identity, communications, retention, DLP, eDiscovery, or other Purview controls may need specialist review. |
| Data and access impact | Changes to where data is stored or processed, or who can reach it, call for governance and access checks. |
| Configuration and customization impact | New defaults, policy interactions, customizations, capacity, branding, or URLs can affect tenant configuration or existing procedures. |
| Rollout urgency | Dates, phases, and any required administrator action determine how quickly owners must assess, communicate, and prepare. |
Give closer attention to changes involving several of these factors. The point is to focus review effort where a change could alter security, user experience, or operations—not to treat every routine update as high risk.

Inspect the affected workload’s controls
Once the notice identifies the service, go to that workload’s admin center and review the controls or policies the notice specifically mentions. Microsoft provides separate administration surfaces for services including Exchange, Teams, SharePoint, Viva Engage, and Microsoft Entra; the relevant center and available settings depend on the organization’s plan, region, workload, and tenant configuration. Microsoft’s admin center overview lists the service administration centers.

Do not make a speculative change just because a feature is changing. Compare the notice with current tenant policy, identify any conflict or new default, and confirm which setting actually governs the affected behavior. When data handling, retention, DLP, eDiscovery, or another Purview capability may be involved, validate that specific control using the documentation linked from the notice.

Use release options to prepare, not to predict an exact date
Microsoft describes Standard release as the default broad release approach. Targeted release can expose selected users or the organization to some changes earlier, giving administrators an opportunity to evaluate and prepare. It is an exposure option, not a precise schedule: Microsoft cautions that large or complex updates can take longer and that exact timing is not guaranteed.
Use earlier exposure where it helps assess a material change with representative users, test relevant workflows, and prepare support or communications. Continue to use the Message center notice for the change’s details and timing; release selection alone does not establish when a particular tenant will receive a feature.

Prepare, support, and validate the rollout
Microsoft’s change-management guidance frames administration in three phases: prepare before the change, assess impact and support users during it, then review outcomes and feedback afterward. Apply those phases to the change record:
- Before rollout: Have the service owner confirm the relevant settings and policy interactions. Bring in security, compliance, support, and affected business teams when the impact warrants it. Plan user communications and any training or support updates.
- During rollout: Track the notice’s rollout phase, watch for the expected behavior, and route user issues to the responsible owner. Make only the configuration changes supported by the notice and the service’s documentation.
- After rollout: Confirm the feature behaves as expected for affected users, check that relevant policies and workflows still work, and review support feedback. Record any follow-up action.
Microsoft says in its Message center guidance that “Major updates are communicated at least 30 days in advance when an action is required.” Treat this as Microsoft’s stated communication practice, not a guarantee that every change will have a notice or that a particular tenant will receive a change on a specific date.
