When to Ask a Client for DNS Access: Kickoff, Not Launch Week

Move the DNS conversation to kickoff: confirm registrar ownership, DNS host, approvers, dependent records and the launch-day operator, without ever asking for passwords.

Ask for DNS access at kickoff or onboarding, as soon as you know the project will touch DNS. Then, well before the change window, confirm the access route, the approver, the records other services depend on, and the person who will make the change on launch day. Waiting until launch week leaves no time to find out that the registrar login belongs to a former employee, or that the domain’s DNS is hosted somewhere nobody expected.

This is a process recommendation, not a promise. Early requests do not guarantee an on-time launch, and no published figure measures how often late DNS access delays launches. The practices below come from agency onboarding templates and handoff checklists, with NIST’s DNS guidance as background.

Why DNS access is a different kind of blocker

NIST’s Secure Domain Name System (DNS) Deployment Guide (SP 800-81) describes DNS as the system that maps domain names to IP addresses. For a launch, the practical point is that several separate parties can sit behind that mapping, and the client may not know who they are.

  • Registrar account: where the domain is registered and renewed. Someone owns it, and that person may no longer be at the company.
  • Authoritative DNS host: where the records live. This is not necessarily the registrar, so do not assume the two are the same account or organization.
  • Dependent services: email, CRM, verification and other systems that rely on records you might be asked to touch.
  • Approvers and operators: the people who can say yes, and the people who can actually make the change.

Each of these is a question that takes a client days to answer if it needs to be passed to an IT contractor, a previous agency or a finance department. A request sent in launch week turns each into an emergency. Sent at kickoff, it becomes an ordinary task.

What to ask for: an access action, not a secret

Ask the client to take an action, not to hand over credentials. Two routes are reasonable:

  • The client invites a named agency user with the minimum access needed, where the provider supports individual invitations.
  • The client’s administrator makes the approved record changes themselves.

Do not ask for passwords, API keys, recovery codes or private tokens in ordinary email, chat, spreadsheets or project comments. Those channels are searchable, forwarded and retained. A request you can adapt

This wording is a synthesis of the approach in Shipperly’s template, not a quotation. Adjust it to your own process and relationship:

To keep launch preparation moving, can you confirm who owns the registrar account for [domain], where its DNS is hosted, and who can approve DNS changes? Please tell us whether you prefer to invite [named agency user] with the minimum access needed or have your administrator make the approved changes. We also need to know whether email, CRM, verification, or other services depend on the current DNS records. Before the launch window, let’s confirm the person making the change, a backup contact, and the rollback owner. Please don’t send passwords or recovery codes in this project thread.

Choosing an access path

The realistic options are a provider-supported delegated invitation, the client’s administrator making the change, or a provider-supported API or connected-account integration. Shipperly’s template directly supports the first two. Whether a given registrar or DNS host offers delegated roles, audit logs or an API varies by provider and account type, so check the actual account workflow before telling a client which button or role to use.

Compare the options on these points:

Question What to check
Ownership Does the client keep ownership of the domain and the account? Ownership and access are separate; a client can authorize scoped work without giving up either.
Least privilege Can the invited user be limited to DNS, or does the role grant broader registrar powers such as transfers?
Accountability Who approves each change, and can you show who made it?
Provider support and auditability Does the provider actually offer the role, and does it log changes? Confirm with the provider, not by assumption.
Launch-window availability If the client’s administrator makes the change, are they available at the agreed date, time and time zone?
Afterward How will temporary access be reviewed or removed?

Not every site requires agency access to the registrar. Often the agency only needs to change a few records at the DNS host, and sometimes it needs nothing at all if the client’s administrator handles it.

A process by project stage

At kickoff or onboarding

  • List the production domain and any related domains used for redirects, landing pages, email or campaigns.
  • Identify the registrar, account owner, DNS provider, nameservers, website host, email provider and technical contact.
  • Ask whether the agency will get a scoped invitation or the client will make the changes.
  • Find out who approves changes and who controls multi-factor authentication and account recovery.
  • Put the DNS task and its owner in the project plan with enough lead time to resolve account or provider questions.

Before approving a DNS change

  • Capture the current nameservers and the relevant records. Include web records (A, AAAA, CNAME), email routing (MX), and TXT entries for SPF, DKIM, DMARC and domain verification, plus any certificate-related entries.
  • Identify which client services depend on those records. Website routing and email configuration can rely on different records, and changing nameservers without recreating the email ones can break mail.
  • Confirm the final values with the technical owner and get client approval.
  • Name the launch-window operator, a backup contact and the rollback owner, with date, time and time zone.
  • Write down the starting state, planned change, approval and rollback path, including TTLs where relevant and any unresolved risks. Keep the record in an approved internal location, not a public-facing note.

CertPilot’s client domain handover checklist covers the same ground: email records, ownership, approval and rollback. Neither it nor the other guides supports a specific propagation time or a guaranteed rollback outcome, so do not promise the client either. Provider behavior and caching differ.

After launch and at handoff

  • Report what changed, what remains unresolved, who owns the registrar and DNS accounts, and who receives renewal notices.
  • Confirm the client’s access and ownership expectations, and remove or review temporary agency access under the agreed process.
  • Record who is responsible for DNS, email, SSL and renewals, so future maintenance does not start from scratch.

What to do when the client cannot answer

Early asking is valuable because the answer is often “we don’t know.” If nobody can name the registrar, the useful next step is to ask the client to find the renewal invoices or notices, or to check who administers their email and Google or Microsoft accounts. The person who set up the domain usually appears there. If the DNS host is unclear, the nameservers currently in use identify the provider, which is why capturing them at kickoff matters. Starting this search weeks ahead means a slow answer costs a few days of schedule instead of the launch date.

A note on the evidence

The agency templates and checklists behind this advice are practical vendor guidance, not comparative studies, and Domain Collective’s agency material is product positioning. They show a sound operational pattern: ask early, keep ownership with the client, avoid sharing secrets, inventory dependencies and document the change. They do not prove that this workflow prevents launch failures.
