What’s actually slowing this PC down?

Choose construction accounting software by matching it to the way your company budgets, tracks costs, bills projects, runs payroll, and closes its books—not by relying on a generic “best” label. Start with job-costing depth and work-in-progress (WIP) visibility, then test billing, integrations, reporting, and the cost and effort of implementation against real jobs.
Start with the construction workflows you need to control
Construction accounting is project-based. A useful system should let you see how costs and, where supported, revenue relate to individual jobs—not just summarize spending across the company. Before comparing products, list your essential workflows and the people who use them: finance staff, project managers, supervisors, payroll, and owners.

- Job costing by the dimensions your estimates and reports use, such as job, phase, and cost code.
- Visibility into labor, materials, equipment, subcontract costs, and committed costs where relevant.
- WIP and under- or overbilling visibility during project delivery.
- Progress billing, change orders, and retainage if your contracts require them.
- Payroll, time capture, and compliance processes appropriate to your jurisdiction.
- Connections to project-management, accounting, and other operational systems.
- Reports and company-structure support that fit your decision-makers and growth plans.
These are evaluation criteria, not a universal feature checklist: a smaller contractor may need fewer entities and integrations than a growing firm with multiple companies and complex reporting.

Job-costing detail
Ask whether the software supports the same cost breakdowns used in your estimates and cost reports. Sage describes job costs that include labor, materials, equipment, and subcontract work; Procore describes coding expenses to projects and cost codes, including project, phase, and cost-code views. Sage also describes tracking actual and committed costs across projects and entities. These are vendor-described capabilities, so confirm the specific fields and workflows in a demonstration.

- Manage your payments and deposit transactions
- Check balances and generate reports to monitor your business finances
- Email and fax reports to your accountant
- Create and track quotes, invoices and more
- Connect to the app with secure web access
Trace a cost from where it originates to the job report: who assigns the job and cost code, when the information reaches the ledger, and how corrections are handled. If supervisors need to enter time or expenses from the field, test that capture process with the devices and connectivity your crews actually use.
Work-in-progress and contract visibility
Ask how the product builds WIP reports, records project costs and revenue during delivery, and surfaces underbilling or overbilling. Procore describes WIP as a way to track costs and revenues through a project’s lifecycle, including identifying a job that appears nearly complete by cost but remains underbilled. Sage describes automated WIP management and historical WIP data. Vendor descriptions do not establish that reports will match your accounting policies or close process; have the vendor work through a representative contract and period-end example with your team.

- Tax forms for 2022
- Includes tax tables for 2023
- Support for new 1099-NEC form
Test billing, changes, and retainage against your contracts
Map the full workflow rather than checking feature names on a product page. Procore identifies complex billing, change-order tracking, and retainage management as construction accounting concerns. Ask a vendor to demonstrate how an approved change order affects the budget and billing, and how customer or subcontractor retainage is tracked through release.
- Can the system represent your actual billing formats and contract terms?
- What approvals are required before a change order updates project records or billing?
- Can finance see retainage withheld and released for the relevant party and project?
- How are corrections reflected in job reporting and the accounting records?
Check payroll, time capture, and local compliance
Determine which labor data must flow into job costs and whether payroll is included or handled through an integration. Sage highlights payroll integration; Procore describes time capture tied to jobs and cost codes. Confirm what information transfers, how often it syncs, and which system is authoritative when records differ.

Compliance requirements vary by jurisdiction and contract. Procore gives prevailing-wage and apprentice-hour requirements as examples of construction compliance needs, but the available vendor material does not settle what your company must do locally. Confirm applicable requirements with a qualified adviser and ask vendors to demonstrate support for the specific processes you need.
Map integrations and ownership of data
Draw the path for timesheets, purchase orders, vendor bills, project budgets, and cost codes. For each record, identify where it is created, which system owns it, what syncs automatically, and how failed or duplicate transfers are reconciled. Ask whether an integration is native or depends on an add-on.

- Connect banking, credit cards, debt, investments & property
- Manage & grow your savings
- Create custom budgets & track spending
- Project different debt scenarios
Procore says its platform connects to more than 100 accounting systems and names Sage, Viewpoint, and QuickBooks. That is a vendor claim, not confirmation that a particular product, edition, region, or field is supported. Verify the exact integration with the vendors for the accounting product you plan to use, and test the records your workflows depend on.
Compare candidates by fit, not by a universal ranking
The vendor documentation supports these as candidates to investigate, not as an independent product ranking. Product packaging, integration coverage, and availability can vary; confirm current details for your region and intended configuration.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Match reporting and company structure to decision-makers
List the reports needed by owners, controllers, project managers, lenders, or sureties, then specify the job, cost, time, and entity dimensions each report must show. Sage describes customizable reporting, multi-entity support, and WIP data by job. Intuit describes profit and job-cost reports. Treat those as vendor descriptions and ask to see the reports populated with a representative project and your preferred close-period data.
Plan packaging matters: Intuit identifies QuickBooks Online Projects job costing on Plus and Advanced plans, but packaging and availability should be confirmed for your country and current plan. Do not assume a feature mentioned for one edition is included in another.
Budget for implementation and total ownership cost
Current prices, migration effort, implementation fees, training costs, and ongoing support quality are not established by the vendor materials cited here. Request a quote based on the factors that shape your deployment:
- Number of users, companies, and entities.
- Payroll requirements and integrations.
- Data conversion and historical records to migrate.
- Training, implementation assistance, and ongoing support.
- Additional systems or add-ons needed for field and project workflows.
Use a scripted demonstration with representative jobs and a close period before choosing. Include unusual cases—such as a change order, retainage release, or correction to a coded cost—if they occur in your business. This exposes workflow gaps more effectively than a feature checklist alone.
Quick Recap
A practical shortlisting sequence
- Write down required workflows. Identify cost dimensions, billing terms, WIP views, payroll needs, reports, entities, and integrations that are essential rather than merely desirable.
- Ask each vendor to demonstrate the same scenarios. Use your contract types and a representative job, including how costs enter the system and how project reporting changes through billing and close.
- Validate data flows with the integration vendors. Confirm supported products and fields, record ownership, sync timing, and exception handling.
- Check local and plan-specific requirements. Verify jurisdictional compliance with a qualified adviser and confirm regional product packaging directly with the vendor.
- Compare the full deployment proposal. Include licenses, implementation, conversion, training, integrations, and support in the decision—not just the software’s feature list.
