What to Know Before Bringing a Console or Gaming PC to a Public Event

Public gaming events differ on what they supply and what attendees may bring. Check your ticket and current rules before packing hardware, cables, or power gear.

Before packing a console or gaming PC for a public gaming event, check the organizer’s current rules and your ticket details. Confirm what equipment is supplied, what you must bring, seat and power limits, network requirements, game readiness, and the venue’s loading and security procedures. There is no universal event checklist: some organizers provide Ethernet cables and power extensions, while others expect attendees to bring them.

Start with your ticket and the event’s rules

Find the current BYOC (bring your own computer) and tournament rules for the specific event you plan to attend. Check whether your ticket includes a BYOC seat, whether tournament entry requires separate sign-up or qualification, and whether the rules differ for PC, cross-platform, and console-only play.

Organizers’ requirements vary. TomorrowLAN’s 2026 rules say network and electrical equipment are provided. PC and cross-platform players must bring their own PC or console with games preinstalled, a monitor, and peripherals; console-only players should bring a controller. The event says some consoles and monitors are shared by the organization and participants willing to lend equipment, and advises players to check controller compatibility with tournament consoles.

Capital LAN’s 2026 FAQ asks BYOC attendees to bring a computer or console, monitor, cables, peripherals, and charging devices, while saying surge protectors and network cables are preinstalled at each seat. Lancaster University Gaming & Esports says attendees bring their PC or console, monitor, power and video cables, and peripherals; the event supplies power extensions, Ethernet cables, and switches. These differences are why you should not pack—or buy—equipment based on another event’s list.

Pack the setup your event actually requires

Core hardware and cables

  • Your PC, laptop, or console, if permitted by your ticket and the event format.
  • A monitor or TV only if you need to provide one; check the allowed size and desk dimensions first.
  • Power cables for each device and display, plus a display cable that matches your hardware. Lancaster specifically notes that it does not provide video cables.
  • The required input devices: keyboard, mouse, controller, mousepad, or other game-specific peripherals.
  • Headphones or a headset, and a microphone if your game or tournament requires voice chat. FortLAN does not allow speakers.
  • Charging devices and cables where needed; Capital LAN includes them in its attendee checklist.

Network and power gear

Ask whether the event supplies a network cable, switch, and power extension, and whether a wired connection is required. If you must bring Ethernet, confirm how long the cable needs to be. FortLAN asks attendees to bring a cable at least 25 feet long; Capital LAN says network cables are already installed at seats, while Lancaster supplies Ethernet cables and switches.

Power requirements also differ. EPIC.LAN requires active BYOC tournament participants to bring a minimum two-way surge-protected extension lead. FortLAN permits a power strip only for specified low-demand personal gaming equipment, prohibits daisy-chaining, and lists UPS devices and high-current appliances among items not to bring. EPIC.LAN also prohibits significant-power items such as mini-fridges, large fans, and space heaters. Follow your event’s rules rather than assuming another organizer’s policy applies.

Check space limits and prohibited equipment

Confirm your seat assignment, desk width, monitor limit, stand rules, outlet arrangements, and any restrictions on extensions or accessories before you travel. EPIC.LAN’s 2026 rules, last updated 2026-08-31, allocate three feet of shared desk width per participant, prohibit monitor desk clamps, and require use of the monitor’s original stand. FortLAN’s 2026 survival guide sets a 32-inch maximum monitor size. Lancaster University Gaming & Esports allows one monitor per person. These are event-specific limits, not general standards.

Read the power and hardware restrictions carefully. EPIC.LAN says equipment that violates its rules, affects other participants or power distribution, or threatens event safety may lead to sanctions. When a policy is unclear—especially for a UPS, extension strip, clamp mount, or other high-draw device—ask event staff before bringing it.

Prepare games, accounts, and devices before travel

Install and update the games, launchers, operating system, and peripheral software you plan to use. FortLAN advises attendees to update games, not rely on its Steam cache, and back up personal files. Lancaster warns that event bandwidth is shared and recommends downloading games in advance; an event network or cache is not a guarantee that a last-minute download will finish smoothly.

Before leaving, verify that you can sign in to the accounts you need, that you own or can access the games, and that two-factor authentication will work away from home. Confirm that your controller and headset are compatible with the tournament platform and that your audio setup supports required voice chat. These are useful checks, but event rules do not establish one universal account or platform policy.

Plan transport, check-in, and equipment security

Look up the venue’s loading entrance, check-in process, overnight rules, and any times when equipment cannot be moved. FortLAN directs attendees to designated loading and unloading access and restricts equipment removal during its stated overnight hardware curfew unless staff are consulted. Those instructions are specific to FortLAN; check the procedure for your own venue.

Use a carrying method suited to your hardware, keep valuable gear with you when practical, and know how to contact event staff. EPIC.LAN says participants are responsible for their personal hardware during the event and does not guarantee replacement or repair for damage caused by external parties. Labeling equipment and recording serial numbers or identifying marks are sensible personal precautions, though the reviewed event rules do not make them universal requirements.

Choose between bringing your own setup and using event equipment

A console can be easier to transport than a full tower setup, but it may still require a display, power and video cables, a controller, and a compatible game setup unless the event supplies them. A PC tournament may require a capable computer, monitor, peripherals, headset, and cables. A rental or shared setup can reduce what you carry, but only if the event offers it and the equipment suits your needs.

EPIC.LAN says rentals, where available, can include PCs, monitors, associated cables, and premium chairs; availability varies by event and may sell out. Confirm rental availability and what is included before relying on it.
