To attach a file is to add it to an email or form submission so it goes along with your message. In most apps, select the paperclip or an “Attach” control, choose the file, and confirm its name appears before you send or submit.
What does it mean to attach a file?
An attachment is a file included with an email or webform submission. The recipient can usually open or download it separately from the message text. The exact control may be labeled “Attach,” “Add an attachment,” or “Add Attachments,” depending on the service.

How to attach a file to an email
Gmail on a computer
- Open Gmail and select Compose.
- In the message window, click the paperclip attachment control.
- Choose the file on your computer and click Open.
- Wait for the upload to finish, then check that the filename appears in the draft before sending. If the upload fails, use Gmail’s attachment help to troubleshoot.
Outlook
In Outlook, start or open a message and use its attach control to browse for a file. Depending on the Outlook version, you may also be able to drag a file into the message. When attaching a cloud file, Outlook may offer a sharing link or an attached copy; available choices depend on the edition and account locations. See Microsoft’s instructions for Outlook attachments and pictures and Outlook on the web.

Attachment copy or cloud link: what is the difference?
| Option | What the recipient gets | What to check |
|---|---|---|
| Attached copy | A separate file sent with the message. | Use this when the recipient should receive a copy they can open or download. |
| Cloud sharing link | A link to a file stored online, rather than a separate file copy. | Check that the recipient has permission to open it. Outlook’s available cloud options depend on the edition and account locations. |
Only choose between these options if your email app presents them. Microsoft describes both link and copy choices for cloud files in Outlook on the web.
Attachment or inline image?
An attached image is provided as a separate file for the recipient to open or download. An inline image is inserted into the message body so it appears alongside the text. Choose an attachment when the recipient needs the file itself; choose an inline image when it should be viewed in context in the email. Outlook supports both approaches, as described in Microsoft’s Outlook instructions.

Why an attachment may not send
- The upload is incomplete or failed: Wait for the upload to finish and verify that the filename appears in the draft or form before sending.
- The file is too large: Gmail’s current help page states a 25 MB attachment limit for personal accounts. If the total attachment size exceeds that limit, Gmail says it removes the attachment and adds it as a Google Drive link. Work and school account limits are set by the Workspace administrator, so 25 MB is not a universal Gmail limit. See Google’s Gmail attachment guidance.
- The file type is blocked: Gmail blocks executable attachments, including files ending in
.exe, for security reasons. Restrictions vary by service and account; consult the service’s own help if a different file is rejected.
For files too large to send as traditional attachments, Outlook may offer OneDrive sharing, depending on the Outlook edition and the cloud locations available to the account.
