What to Include in a SaaS Owner Notification Email

A useful SaaS owner notice names the event and affected scope, explains impact, gives clear actions, and points to safe updates and support.

A SaaS owner notification should say what happened, which account or service is affected, what the impact is, what the owner should do, what the provider is doing, and where to get verified updates or help. Put the event and any required action first. Separate confirmed facts from estimates and open questions, and make the notice easy to verify without asking the recipient to trust an unexpected link.

What every SaaS owner notification should include

  1. A recognizable sender and specific subject. Use a stable sending identity and name the service and event plainly. For example: “Action needed: review the new administrator sign-in” or “Service update: reporting is unavailable.” Avoid vague or alarmist wording, and do not put confidential details in the subject.
  2. The affected account or scope. Identify the relevant workspace, tenant, organization, subscription, or account. State whether the notice concerns one owner account, a specific tenant or feature, or the service as a whole.
  3. What happened and when. Describe the event in plain language. Include the start, discovery, and resolution times when known; label estimates and say when a point is still being investigated. The FTC’s Health Breach Notification Rule guidance calls for dates when known in notices covered by that rule, but that legal content requirement is not a universal checklist for operational alerts: FTC guidance.
  4. Impact and information involved. Explain what the owner may notice, such as a feature being unavailable or a sign-in needing review. Identify affected functions or information only to the extent confirmed. For a breach notice, do not hide behind “some data” if the kinds of information involved can be identified. FTC and HHS guidance for their respective covered cases calls for describing information involved: FTC Health Breach Notification Rule and HHS HIPAA Breach Notification Rule.
  5. Owner actions, in order. Say whether action is required, what to do, any applicable deadline, and how to get help if a step fails. For an unfamiliar account event, tell the recipient how to report or dispute it. NIST’s account-event guidance calls for clear instructions and contact information when a recipient disputes a specified event: NIST SP 800-63B-4.
  6. The provider’s response. State what has been contained, what investigation or remediation is under way, and what support or protective steps are available. Do not describe an issue as resolved, or claim certainty, until that is established. FTC and HHS breach guidance address response and mitigation; the FTC also warns businesses not to mislead people or withhold key protective details: FTC Data Breach Response guide.
  7. Updates and a useful contact route. Give an appropriate place to follow updates and a current way to reach support. A service-wide outage may warrant a status dashboard; a tenant-only incident calls for direct communication with the affected owner. The UK NCSC describes tenant incidents and wider outages as distinct SaaS cases, with channels such as email, messaging, and status dashboards: NCSC SaaS guidance.
  8. A way to verify the notice safely. Tell recipients to open the familiar app or type the service’s known address themselves. Never ask for a password, one-time code, or sensitive account information in an email reply. If scammers are impersonating the business, FTC small-business guidance recommends sending customer notifications without hyperlinks: FTC cybersecurity guidance.
  9. Readable presentation. Use short sentences, plain headings, and bullets for actions. Clear, conspicuous, understandable wording is specifically addressed in the FTC’s guidance for notices covered by the Health Breach Notification Rule; it is also a practical standard for ordinary service alerts.

Choose the message type before writing

The same template should not blur an account alert, a tenant incident, a broad outage, and a legally required breach notice. Identify the scope and purpose first, then tailor the content and delivery.

Message type What to explain What to do with scope and delivery
Account-security event Which sign-in, authenticator, recovery, or account change occurred; when; whether access may be at risk; and how to secure or dispute the event. Send to stored notification addresses. NIST SP 800-63B-4 calls for independent notice of specified events, including authenticator binding and recovery, and clear dispute instructions for covered digital identity services. It is not a universal rule for every commercial SaaS product: NIST event guidance.
Tenant-specific incident The affected tenant, feature, or data; the owner’s relevant action; and the support route. Contact the affected tenancy owner directly. Do not suggest that all customers are affected when the issue is confined to one tenant. The NCSC says SaaS incident processes should account for problems limited to a customer tenancy: NCSC SaaS guidance.
Service-wide outage or degradation The affected service or feature, start time, current status, and any confirmed workaround. Provide the next update location and, if known, its expected time. The NCSC identifies wider outages as a distinct incident case and names email, instant messaging, and status dashboards as possible channels: NCSC SaaS guidance.
Regulated breach notice The required description of the event, affected information, protective steps, response, and contact details under the applicable regime. Treat it as a legal notice, not simply a product update. Confirm the applicable law, geography, recipient population, data type, timing, and contractual roles with the responsible privacy team or counsel. FTC Health Breach Notification Rule and HIPAA requirements have defined scopes; neither automatically applies to every SaaS business.

How to write a security alert that owners can act on

Lead with the specific account event and time, then state the practical risk and next step. For example, a notice about a new administrator sign-in should identify the affected workspace and sign-in time, say whether the provider has confirmed the event, and give a clear path to review or report it. Avoid putting a login link in an unexpected security email; direct the owner to open the known app or enter the familiar service address.

NIST SP 800-63B-4 addresses independent notification for specified subscriber events such as authenticator binding and recovery. It calls for at least two notification addresses per subscriber account and clear instructions, including contact information, when the recipient disputes an event. Those requirements are scoped to covered digital identity services, not every SaaS product: NIST SP 800-63B-4 event guidance.

How to notify SaaS customers about an outage

For a service-wide disruption, name the affected feature, describe what users can and cannot do, give the start time and known status, and mention a workaround only if it has been confirmed. Put evolving service-wide information on a reliable status channel and specify when or where the next update will appear. If only one tenant is affected, tell that tenant’s owner directly rather than implying a general outage.

When a SaaS email is a legal breach notice

Do not assume that an operational incident email satisfies a statutory notification duty. The applicable regime depends on the organization, data, people affected, geography, and contractual responsibilities; have the responsible privacy team or counsel verify the requirements.

FTC Health Breach Notification Rule

For entities covered by the FTC Health Breach Notification Rule, FTC guidance says an individual notice should describe what happened, dates if known, the information involved, response and mitigation steps, and how to contact the business. The guidance also addresses contact methods, electronic notice, and readability: FTC Health Breach Notification Rule guidance.

HIPAA Breach Notification Rule

For covered HIPAA entities, HHS says individual notice must be provided without unreasonable delay and no later than 60 days after discovery. The notice must include a brief description of the breach, types of information involved, protective steps, the entity’s investigation, mitigation and prevention work, and contact information. This deadline and content apply to HIPAA notices, not to SaaS notifications generally: HHS Breach Notification Rule.
