Check the printer and its connection first, then inspect the print queue and use a test page to locate where the failure occurs.
1. Check the printer and its connection
Start at the printer rather than changing settings on the computer. Confirm that it is powered on and showing a normal status. Check for paper, a jam, low ink or toner, an open cover, or another warning on its display or indicator lights. Reseat any connected cables and make sure the printer is ready to receive a job.

If it connects by Wi-Fi
Confirm that wireless is enabled on the printer and that the computer and printer are connected to the same network. This matters if your router broadcasts multiple network names or you use an access point. If the printer offers a wireless test or network-status report, use it to check its connection.
If it connects by USB
Check that the cable is firmly connected at both ends and try another USB port if one is available. Consider replacing the cable only if there is reason to suspect it is faulty; first confirm the connector type and requirements for your printer.

If Windows says the printer is offline
Microsoft’s offline troubleshooting guidance recommends restarting the printer: turn it off, unplug it for 30 seconds, then plug it in and turn it back on. This is a troubleshooting step, not a guaranteed fix.
2. Make sure the job is going to the right printer
When you print, check the printer selected in the app’s print dialog. A device can be installed while the app sends a job to a different printer, a duplicate entry, or a virtual printer. If you cannot find the job in the expected printer’s queue, check the selected destination in the app and send the job again.

3. Check for a paused or blocked print queue
Windows
For Windows 11, Microsoft recommends starting with the printer troubleshooter in Get Help. Then open the selected printer’s queue and check for pending jobs. If an old or failed job is blocking the queue, cancel the pending jobs and try printing again. If clearing the queue does not help, restart the Print Spooler service, which manages print jobs in Windows, then retry.

Menu names and locations vary by Windows version, so follow the instructions for your version rather than assuming every PC has identical screens.

Mac
Open Print Centre and check whether the printer or job is paused. Resume it if appropriate, or delete a job that is blocked by an error and try again. If the job is not shown there, confirm that the document was sent to the intended printer.
4. Use a test print to narrow down the cause
A test can help distinguish a printer or connection problem from an app or document problem. Microsoft recommends printing a test page to check whether the printer is working. Printer makers may also provide a built-in self-test or product check; follow the instructions for your model.

- The printer’s own self-test works, but a computer test page does not: Focus next on the connection between the computer and printer, the selected printer or queue, and the printer software. A self-test and an operating-system test page may use different print paths, so this result narrows the search rather than proving one specific cause.
- The operating-system test page prints, but one document or app does not: Try a different document or app. On a Mac, Apple specifically recommends testing from another app, such as TextEdit. If other apps print, investigate the original app’s print settings or the document.
- Neither test prints: Check the printer’s status and connection again, then continue to the software steps below.
5. Update or reinstall printer software if simpler checks fail
Check the printer maker’s official support information for current software or drivers for your exact model and operating system. Microsoft also recommends using a current printer driver. If updating does not resolve the problem, remove and add the printer again using the operating system’s printer setup workflow. On Windows, Microsoft’s sequence includes removing and reinstalling the printer, then restarting the PC.

Windows on ARM is a special case
Microsoft warns that some Windows on ARM PCs may have trouble when a printer is added or installed with the manufacturer’s installer. Use Windows’ add or install workflow unless the printer maker provides different guidance for your model.

When the printer appears on a Mac but still will not print
Apple advises checking that the printer software is current and compatible. If a USB printer appears in System Information’s hardware list but does not work, Apple’s guidance is: “If the printer’s name appears in the hardware list but the printer doesn’t work, review the printer’s documentation for further troubleshooting information.” Follow the documentation for the model rather than assuming that detection confirms the printer is ready to print.
6. Choose the next step based on what failed
- The printer reports a fault or its own check fails: Resolve the condition shown on the printer first, using its model-specific documentation.
- The printer’s own check succeeds but computer jobs fail: Concentrate on the computer-to-printer connection, selected printer, queue, app, and printer software.
- Only Wi-Fi printing fails: Verify the printer’s wireless status and that it shares a network with the computer.
- Only one app or document fails: Test another app or document before changing printer setup.
The exact menus, supported drivers, and reset steps depend on the printer model and operating-system version. Windows 10 support ended on October 14, 2025; Microsoft says it no longer provides free Windows Update software updates, technical assistance, or security fixes for Windows 10 after that date. That lifecycle change does not, by itself, explain why a particular printer has stopped printing.
