Do not paste sensitive work information into an AI service until you have confirmed that the exact tool, account and data category are approved. An instruction from a manager may identify a business task, but it does not automatically authorize every AI service or every type of company information.
Check the current employer policy, ask the designated privacy or security contact when anything is unclear, minimize the information you submit and review every AI output before it becomes work product. The correct answer depends on your employer, jurisdiction, account configuration and data classification.

Start with a pause, not a prompt
When a manager says, “Use an AI tool to summarize these customer records,” the safest first step is to pause before copying anything. Identify four facts: the exact AI service, the account or workspace you would use, the classification of the information and the approved business purpose. If any of those facts is unknown, ask for a clear answer before submitting data.

A public consumer service and an employer-managed workspace may have different controls, contracts and retention settings. An organization may approve one account for confidential information while prohibiting the same information in a public service. A paid subscription, a company logo or a sign-in screen does not by itself prove that a tool is approved for your task.

There is no universal workplace rule that makes an employer’s request sufficient authorization. Policies, contracts, sector requirements and local law vary. Treat the request as the beginning of a documented decision, not as permission to bypass the policy.
What to verify before entering any sensitive data
1. The specific service and account
Record the product name, web address or application, account type and workspace. Ask whether you must use an employer-managed login, a particular tenant or an approved internal deployment. Do not switch to a personal account because it is faster, and do not assume that two interfaces from the same vendor have identical data-handling terms.
2. The information classification
Find the employer’s classification for the material: public, internal, confidential, personal, regulated, proprietary or another category used by your organization. “Sensitive” is not a precise classification. Customer contact details, employee records, financial information, intellectual property and protected information can each trigger different controls.

3. The approved purpose
Approval may cover drafting a low-risk internal outline but not making an eligibility, employment or credit decision. Confirm that the intended use case—not merely the tool—is allowed. Ask whether an authorized reviewer must approve the prompt, the output or the final decision.
4. Data-handling conditions
Obtain the employer’s documented answers about prompt and output retention, who can access them, whether they are used for model improvement or training, how deletion works and which contractual safeguards apply. These settings can differ by account and can change, so rely on the current employer documentation rather than a general claim about a vendor.

5. Security and access controls
Check whether organizational sign-in, multifactor authentication, role-based access, approved devices or network restrictions are required. Also ask how a suspected disclosure is reported and who owns the response. Security measures should match the risks of the particular processing activity; the UK Information Commissioner’s Office describes this as having no “one-size-fits-all” approach.
Questions to send to your manager or policy owner
A short, specific message produces a safer answer than a general question such as “Can I use AI?” Ask the following:
PC Slower Than It Used to Be?
A free scan shows the junk files, broken settings and background clutter dragging Windows down - then fixes them in one click.Free scan · Windows 10 & 11Outdated Drivers Are Slowing You Down
One free scan finds every outdated or missing driver and matches the right update for your exact hardware.Free scan · exact hardware match- Which AI service and account are approved for this task? Must I use an employer-managed workspace rather than a public consumer service?
- What classification applies to this information, and is that category permitted in this service?
- Does the approval cover this exact use case, or only public or lower-risk information?
- Which login, workspace, access restrictions and device requirements apply?
- What do the employer’s current terms and settings say about retention, access, model improvement or training, and deletion of prompts and outputs?
- Is there an approved way to minimize or de-identify the information, and who can authorize that method?
- Who should review the output before it is shared or used for a consequential decision?
- What is the incident process if information has already been entered into an unapproved service?
Request a link to the current internal policy or a written instruction in the approved ticketing or messaging system. Written confirmation reduces the chance that a verbal instruction is later misunderstood.
Minimize data before you write a prompt
If the use is approved, submit the least information needed to complete it. Remove fields that do not affect the task, shorten date ranges, use aggregate figures where possible and work from a redacted extract instead of a complete file. Keep the original records in the employer’s approved system.
Do not assume that deleting names makes information safe. A combination of job title, location, dates, rare events or account numbers can identify a person. The official materials do not provide a universal de-identification test, so use the employer’s approved method and obtain authorization from the privacy or security owner.

Separate transformation from disclosure. For example, an approved internal script may classify records inside the employer’s environment without sending them to an external service. If no approved minimization method exists, stop and ask for one rather than inventing your own threshold.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsCompare AI options using documented facts
When an employer offers several tools or account types, compare them on the same questions. Do not infer compliance from a product tier or from marketing language.
| Decision area | What to verify | Why it matters |
|---|---|---|
| Approval and scope | Whether the exact account, service and use case are approved by the employer | A tool can be allowed for public material but prohibited for confidential or regulated data. |
| Permitted data | Which personal, confidential, proprietary or regulated classifications may be submitted | “Sensitive” covers different categories with different restrictions. |
| Data handling | Retention period, access, model-improvement or training use, deletion and contractual safeguards | Prompts and outputs can create additional copies of work information. |
| Security controls | Organizational login, access limits, approved devices and incident-handling steps | Controls reduce the chance and impact of unauthorized access. |
| Output governance | Human review, accuracy checks, disclosure rules and limits on consequential use | An output can be wrong, incomplete, outdated or unsuitable even when the prompt was authorized. |
If a cell cannot be answered from your employer’s current documentation, mark it as “not stated” and ask the policy owner. Do not fill the gap with an assumption about the vendor.
Review every AI output before relying on it
Authorization to use a tool does not make its answer correct. Check the result against the original approved records and any authoritative source before it is sent, stored or used in a decision.
- Accuracy: Are names, dates, numbers, quotations and calculations correct?
- Completeness: Did the system omit exceptions, attachments, minority views or required fields?
- Currency: Does the answer reflect the latest policy, contract, product state or case status?
- Confidentiality: Does the draft expose information to people who are not authorized to receive it?
- Suitability: Is the tone, legal position and recommendation appropriate for the audience and purpose?
- Traceability: Can a reviewer identify the source records and explain how the conclusion was reached?
AI-generated citations or source names may be incorrect or nonexistent. Verify them independently. Keep a human accountable for the final work product, especially where the result affects employment, access, benefits, customers, safety or another consequential matter.

What public-sector policies illustrate
British Columbia Public Service
The Province of British Columbia policy, last updated May 9, 2025, applies to BC Public Service employees. It permits confidential information in generative AI tools available under the Public Service’s Microsoft agreement, such as Copilot Chat, when employees sign in with their IDIR. It prohibits putting confidential information, including personal information, into publicly available generative AI tools such as ChatGPT.
The same policy requires employees to review outputs for factual accuracy, completeness and currency. It warns that sources supplied by AI may not be real or correct and points to copyright and intellectual-property considerations. Its rule is specific to that employer and must not be treated as a universal workplace standard.
Indiana state employee guidance
Indiana guidance tells state employees to use approved AI tools for official business, consult the agency privacy officer about confidentiality or policy questions and obtain proper approval before entering sensitive, protected or confidential data. Its examples include customer information, employee records, intellectual property and financial data. It also directs employees to verify outputs and avoid over-reliance on them.
Indiana’s instructions are guidance for that public-sector setting. A private employer, another state or another country may define approval, reporting and permitted data differently.

UK data-protection context
The UK Information Commissioner’s Office says appropriate security measures depend on the risks of the specific processing and that AI processing of personal data requires careful assessment and management. Its guidance emphasizes accountability, governance and data protection by design and default.

ICO worker-monitoring guidance also says employers should explain the purpose of monitoring and choose the least intrusive means that achieves it. It cautions employers not to assume that purchased third-party software complies with data-protection law. These points support asking how prompts, outputs and work activity are handled; they do not determine whether a particular deployment is lawful or correctly configured.
If authorization is unclear, stop and escalate
Do not enter the sensitive material while waiting for an answer. Tell your manager that you need the current policy and the designated privacy, security, IT or legal contact for this data category. Ask for a decision tied to the exact service, account, information and purpose.
If the business deadline is immediate, offer a lower-risk alternative: use public or synthetic examples, create a manual outline, or perform the transformation inside an already approved employer system. Do not quietly substitute a personal account or remove identifiers without authorization.

Follow the employer’s incident-reporting or data-loss process promptly. Give the security or privacy contact accurate details: the service and account, the time, the information and fields submitted, the recipients or workspace, and any files or outputs created. Preserve relevant records according to the employer’s instructions.
Do not promise that deleting a prompt reverses exposure. Deletion, retention and access depend on the service and the employer’s terms. Do not attempt to conceal the event, continue using the account or contact affected people unless the authorized response team directs you to do so.
A message you can copy to request approval
Use a message such as:
I have been asked to use AI for [task]. Before I submit anything, please confirm the approved service and account, the classification allowed for this data, required login or workspace controls, retention and access settings, and who must review the output. If this information is not approved, please identify the approved alternative or minimization method. If any data has already been sent, please direct me to the incident process.
Replace the bracketed task with a plain description and attach only information that the current policy allows you to share.
Final decision checklist
- The exact AI service and employer-managed account are identified.
- The data classification and approved purpose are documented.
- Retention, access, training or model-improvement use and deletion are understood.
- Required authentication and workspace controls are in place.
- Only the minimum necessary information is included.
- Any de-identification method is employer-approved.
- A named person is responsible for checking the output.
- An incident route is known before work begins.
If any item remains unanswered, keep the sensitive information out of the prompt and obtain direction from the policy, privacy, security, IT or legal owner.
