If an invoice is missing or wrong in India’s GST Invoice Management System (IMS), first compare the supplier’s tax invoice with your purchase register, the IMS record and the relevant GSTR-2B. If the supplier’s filing is absent or incorrect, ask the supplier to amend or report it; you cannot insert or edit that supplier document in read-only GSTR-2B. If the record is visible in IMS, accept, reject or keep it pending according to its ownership, accuracy and readiness for the period. Recompute GSTR-2B when required, and make the separate input-tax-credit (ITC) eligibility decision before filing GSTR-3B.
“IMS” can also mean SAP’s India consistency checks rather than the GST Portal workflow. The two problems look similar but require different fixes, so identify the system first.

First identify which IMS is involved
India GST Invoice Management System
The GST Portal’s IMS is a recipient-facing workspace for supplier-reported invoices and related documents. Supplier data flows into the recipient’s IMS and then contributes to the relevant GSTR-2B statement according to the portal’s cut-offs and the recipient’s actions. GSTR-2B itself is a static, read-only statement: it is not an editable purchase register and it is not a place where a buyer can create a missing supplier invoice.
SAP India consistency checks
SAP uses “consistency checks for India” for a different problem: an SAP source document and an electronic document held by the tax authority may disagree or one representation may be absent. SAP S/4HANA 2025 FPS01 documentation (February 2026) describes checks of cross-system existence, status and content. In that situation, changing a recipient’s GST IMS action will not repair a transmission, integration or authority-side document problem.
#1 Best Overall
- Two-Part Carbonless Invoice Book: Each invoice book has 50 sets of invoices, each with a white/light yellow section, with the yellow section retained in the invoice book to maintain detailed records.
- Consecutively Numbered: Enlarged red 6-digit numbers in the upper right corner of each invoice receipt book help you quickly navigate through your orders.
- Wraparound Divider Flap: A thick folded cardboard divider is integrated into the back of each invoice book for use between each two-part sales order to prevent the written content from rubbing off on subsequent copies of the invoice, resulting in wasted invoices.
- 2 Packs/50 Sets (100 Sets Total): Each invoice book provides 50 sequentially numbered carbonless sets of 2 invoice books for long-term use.
- Customizable Space: Each invoice book for small business has space at the top to add a company seal or sticker.
Locate the mismatch before changing anything
Use the same invoice and tax period in every comparison. A mismatch can be caused by your books, the supplier’s filing, the portal’s processing window or an ERP-to-authority synchronization issue.
| Where the problem appears | Typical sign | First owner of the fix |
|---|---|---|
| Your purchase register only | The invoice is in your books, but there is no corresponding supplier record in IMS or GSTR-2B. | Confirm the supplier actually filed or reported the document; then contact the supplier. |
| Supplier invoice and IMS disagree | Invoice number, date, GSTIN, taxable value or tax amount differs. | Supplier must amend its reported document; the buyer cannot edit the supplier’s GSTR-2B data. |
| IMS action is wrong | A valid record was rejected, an unrelated record was accepted, or a document was left pending unintentionally. | Review whether the system still permits an action for that period and document type. |
| SAP and authority records disagree | An electronic invoice exists in SAP but not at the authority, or status/content differs. | Investigate creation, transmission, acknowledgement and SAP configuration using the consistency-check result. |
Reconcile the invoice step by step
- Collect the source documents. Keep the supplier’s tax invoice, credit or debit notes, purchase-order or receipt evidence where relevant, and a copy or export of the IMS or GSTR-2B record that appears wrong.
- Match the parties. Compare the supplier GSTIN and your recipient GSTIN character by character. A document reported to another GSTIN cannot be made yours by accepting it.
- Match the identity fields. Check invoice number, invoice date, document type and the applicable tax period. Look for leading zeros, changed series prefixes, duplicate numbers and amendments that supersede an earlier document.
- Match the amounts. Compare taxable value, integrated, central and state or union-territory tax amounts, cess where applicable, and the total. Record both the value on the source invoice and the value shown by the portal.
- Record the discrepancy precisely. Write down the field, value shown on the invoice, value shown in IMS or GSTR-2B, and the correction required. This gives the supplier or an ERP administrator an actionable error rather than a general complaint.
The GST Portal’s revised IMS advisory and its GSTR-2B FAQ establish that supplier-reported records feed the portal statements and that the recipient cannot directly amend the read-only statement. The comparison above is therefore a control step, not a way to override portal data.
When the supplier’s record is missing or incorrect
Ask the supplier to report or amend it
Send the supplier a concise discrepancy notice containing the invoice number and date, both GSTINs, the tax period, the field that is missing or wrong, the value currently shown, the value expected from the invoice, and a copy of the supporting invoice. Ask the supplier to make the correction in its GST reporting process and to confirm the return or amendment period in which it was made.
Do not ask the buyer’s accounts team to “add” the supplier invoice to GSTR-2B. The recipient has no such editing function. Your purchase register can contain the transaction for internal control, but that does not create a supplier-reported portal record or make it appear in the current GSTR-2B.
Allow for portal and filing cut-offs
A supplier’s correction is not necessarily visible immediately. It must be reported, processed and included under the applicable statement cut-off. Check IMS after the supplier confirms the filing, then check the next applicable GSTR-2B rather than assuming the current statement will change.

When the invoice exists only in your books
Preserve the invoice and investigate why the supplier record is absent: the supplier may not have filed it, may have used a wrong GSTIN, may have reported a different document number, or may have made an amendment that changes the original record. Escalate with the supplier using the exact field comparison. Do not claim that a purchase-register entry alone proves portal reflection or ITC availability.
Choose the correct action for a record already in IMS
For a visible record, decide three things: whether it belongs to you, whether its details are correct, and whether it is ready for the current period. The available action also depends on the document type and amendment situation.

| Action | Use it when | Effect on GSTR-2B |
|---|---|---|
| Accept | The document belongs to your GSTIN, the details are verified, and it is appropriate for the period. | It is taken to the available-ITC section, subject to the separate legal eligibility checks. |
| Reject | The document does not belong to you or is otherwise not a document you should accept. | It is not considered for GSTR-2B. |
| Pending | You need later review or the transaction is not ready for action, and pending is permitted for that document type. | It is excluded from that month’s GSTR-2B and remains in IMS for later action. |
| No action | You leave the record untouched until statement generation. | It is deemed accepted when GSTR-2B is generated. |
Accept only a verified record
Acceptance is appropriate when the supplier, invoice identity and amounts match your evidence and the transaction belongs to the relevant period. Acceptance moves the record into the statement’s available-credit section; it does not replace your checks on receipt, business purpose, payment, blocked credits or any other condition that applies to your claim.
Reject an invoice that is not yours
Reject a record reported to the wrong recipient, a duplicate that does not represent your purchase, or another document that you can establish does not belong to your business. Keep evidence of why it was rejected so the action can be explained during reconciliation.
Use pending as a controlled deferral
Pending is useful when ownership or details require follow-up, or when the purchase is not ready to be considered in the current period. Pending records are excluded from that month’s GSTR-2B but remain available in IMS. The GST Portal’s IMS FAQ dated September 22, 2024, notes that pending is not available for every document type and amendment situation. If the option is absent, do not substitute an arbitrary acceptance or rejection; resolve the document under the action permitted by the portal.

Understand the risk of no action
No action is not a neutral permanent status. The revised advisory says records with no action are deemed accepted when GSTR-2B is generated. Review the queue before generation if you do not want that outcome.

Observe the timing rules and recompute when required
The GST Portal advisory allows a recipient to act after draft GSTR-2B generation and up to filing GSTR-3B for that month. If you take an IMS action after the 14th, recompute GSTR-2B before relying on the statement for that return. The portal does not allow a recipient to take action after GSTR-3B for that month has been filed.
- Check whether draft GSTR-2B has already been generated for the month.
- Review the IMS record and take the permitted action.
- If the action occurred after the 14th, run the portal’s recomputation function.
- Verify that the recomputed statement reflects the intended inclusion or exclusion.
- Complete the GSTR-3B review before filing; after filing, the IMS action window for that month is closed.
Supplier amendments have their own reporting cut-offs. A correction filed late may appear in a later statement, so match the supplier’s filing period to the statement period you are reviewing.
Why GSTR-2B cannot be corrected directly
GSTR-2B is a read-only static ITC statement generated from source records reported through the GST system. The recipient can review it and act in IMS where the workflow allows, but cannot type over an invoice number, change a tax amount or insert a missing document. Any correction must originate from the supplier’s report or from the applicable upstream record, then flow through the portal’s processing cycle.
If your books disagree with a read-only statement, preserve both versions and document the reconciliation. Editing your accounting ledger may fix an internal error, but it will not alter the supplier-uploaded data displayed in GSTR-2B.

Keep portal correction separate from ITC eligibility
An accepted or corrected portal entry is evidence about reporting and statement generation, not a complete decision that ITC may be claimed. Before filing, assess the transaction under the rules applicable to your business and period, including whether the supply is genuine and received, whether the credit is blocked or restricted, whether the document is valid, and whether any payment or other statutory condition applies. The GSTR-2B FAQ explains the statement’s function; it does not decide every taxpayer-specific eligibility question.
If the issue is SAP rather than GST IMS
Check existence
Use SAP’s India consistency-check result to determine whether the electronic document was created in SAP and whether a corresponding record exists in the tax authority system. A missing authority-side record points toward creation, submission, connectivity or acknowledgement investigation rather than a recipient IMS decision.
Check status
Compare the status held in SAP with the authority response. A document can exist in both systems but remain in different states, such as pending, rejected or cancelled. Follow the resolution suggested by the consistency check and your configured integration process.
Check content
Compare GSTINs, invoice number, date, values and tax details across the SAP document and authority record. Correct the source or integration mapping identified by the check; do not assume that accepting a similarly named GST Portal record repairs a content mismatch.

The supplier says it filed, but nothing appears in IMS
Obtain the supplier’s filing or amendment details, verify the GSTIN and invoice number used, and wait for the relevant processing cycle. Keep the invoice in your reconciliation exception list until the record appears in IMS or the supplier explains the discrepancy.
Best Value
- 2 part carbonless forms (White originals, Canary duplicates) for invoicing customers
- Wraparound cover attached to back to place between sets
- Consecutively numbered within each book
- 50 sets per book
- Space at top for company stamp
The invoice appears with the wrong tax amount
Do not edit your copy of GSTR-2B. Send the supplier the exact amount comparison and request an amendment. Decide whether the visible record should remain pending or be rejected based on ownership, document type and the action options currently shown.
The invoice belongs to another recipient
Reject it if the portal permits and retain evidence of the incorrect GSTIN or other identifying mismatch. Notify the supplier so it can correct the recipient details in its reporting.
You accepted the wrong record
Review whether a corrective action is still available before the month’s GSTR-3B is filed. If the action window remains open, take the permitted corrective action and recompute GSTR-2B when required. After filing, preserve the audit trail and handle the accounting and return consequences through the applicable compliance process.
The pending option is unavailable
Check the document category and whether it is an amendment or another exception covered by the IMS rules. Pending is not universal; use only the action the portal offers and escalate the underlying correction to the supplier when the data itself is wrong.
Maintain an audit-ready exception file
- Original invoice, credit note or debit note and receipt evidence.
- Purchase-register entry and the date it was recorded.
- IMS and GSTR-2B export or screenshot showing the mismatch.
- Supplier correspondence identifying the field and corrected value.
- IMS action, action date, recomputation date and resulting statement.
- Reason for any rejection or pending status.
- Separate ITC eligibility conclusion and supporting records.
Review the active GST Portal advisory for the tax period because interface labels, return schedules and timing rules can change. The workflow described here reflects the GST Portal guidance available on October 13, 2026, including the revised IMS advisory, the GSTR-2B viewing FAQ and the IMS FAQ dated September 22, 2024. SAP users should also check the documentation for their deployed S/4HANA release and integration configuration.
