What to Do When an AI Security Tool Flags a Legitimate Email or File

A suspected false positive is still an unresolved alert. Verify the sender and file, use the product’s reporting route, and let workplace security administrators handle managed quarantine and release decisions.

Do not open, restore, or allow an item just because you recognize the sender or believe it is safe. Keep it quarantined or unopened while you verify it. Check its origin and expected file type, confirm the sender through a separate trusted channel, and use the security product’s official reporting route. For work email or a managed device, ask your security administrator to review and release it.

First, treat the alert as unresolved

A security tool’s warning may be a false positive, but familiarity alone does not establish that. A legitimate sender’s account can be compromised, a message thread can be misleading, or a file may differ from what you expected. Leave a quarantined item in quarantine; if it was only blocked or flagged, do not open it while the result is uncertain.

Microsoft’s Attachment Manager guidance recommends verifying where a download came from, scanning it with antivirus, confirming that its file type is expected, and avoiding unexpected attachments or files from unknown senders. These are useful checks, not a guarantee that a file is safe.

If you are an individual user

  1. Check the message and file without opening the attachment. Consider whether you expected the message, whether the sender really sent it, and whether the filename and type match what you were told to expect. Do not rely only on a familiar display name or an existing email thread.
  2. Verify through a separate trusted channel. Contact the sender using a phone number or address you already trust, rather than replying to the suspicious message or using contact details included in it. Ask whether they sent that specific file.
  3. Update and scan using your existing security software. If the file is available through a safe, supported workflow, update the protection and scan it with the installed security software. Do not restore a quarantined file just to scan it if your product does not support scanning it in quarantine.
  4. Submit the alert through the product’s official reporting route. Use its false-positive or “report as safe” feature, if available. For example, Microsoft Edge offers “Report this file as safe” in the download alert menu; its reporting instructions are specific to Edge.
  5. Wait for a review if it remains flagged. Ask the security product’s vendor for help if you cannot resolve the alert through its supported reporting process. If the item came through work email or is on a managed device, contact your organization’s security administrator instead of creating your own exception.

If this is work email or a managed device

The organization controls its email gateway, endpoint policies, and quarantine settings. Forward the alert or report it using your company’s approved process; do not try to bypass quarantine or change a managed device’s protection settings.

For Microsoft Defender for Office 365, the administrator—not the end user—can review quarantined email and use Microsoft’s separate submission workflows for good email and attachments. The exact controls depend on the organization’s product configuration, account, and licensing. The alert may also reflect an organization policy rather than a malware verdict.

What an administrator should check before release

  1. Identify what triggered the alert. Determine whether it concerns the message, sender or domain, URL, attachment, endpoint file, or a policy restriction. Review the product’s detection details and relevant mail or endpoint telemetry.
  2. Preserve the item and context. Keep the message or file, alert details, and relevant evidence available for review. Submit the item through the vendor’s supported portal; Microsoft Defender for Office 365 provides distinct workflows for submitting good email and good attachments.
  3. Assess the vendor verdict and the local configuration. A false positive may stem from a tenant setting as well as a detection. Microsoft describes reviewing the verdict and correcting tenant settings when those settings caused a false positive in its Defender for Office 365 false-positive guidance.
  4. Confirm that release is justified. Consider organizational policy and potential impact before releasing or restoring an item. The Australian Cyber Security Centre’s 2023 gateway security guidance says content that cannot be immediately scanned—including encrypted files, unknown types or structures, and password-protected archives—should remain quarantined until its safety is confirmed through documented analysis, signature validation, sandbox work, or trained manual analysis.
  5. Document any exception. Record why it is needed, its scope, who owns it, and when it expires or should be reviewed. ACSC guidance calls for organizations to document risks and justifications for exceptions to email gateway security policy.

In Microsoft Defender for Office 365, allowing a similar future message does not automatically release similar messages already in quarantine; an administrator must manually release those messages. An attachment allow entry can also override file-based filters, so review its scope and necessity rather than treating an allow decision as a routine fix.

Malware alert or blocked file type? The distinction matters

A warning does not always mean the scanner concluded that a particular file contains malware. An email gateway or application may block a file type or active content by policy. That is a different issue from a specific malware or phishing detection: the administrator must identify the control that triggered the block and decide whether policy permits the content, rather than bypassing the control to get the file open.

For encrypted, unknown, or password-protected content that cannot be scanned, a clean-looking message or a sender’s reassurance is not a substitute for analysis. Keep it quarantined until an appropriate review establishes that it is safe.

Who controls the release?

Situation Who reviews or controls release Appropriate next step Effect of an allow decision
Consumer download or local security alert You can submit a report through the product’s supported user feature; the vendor reviews the submission. Keep it unopened, verify its origin and expected type, scan it through a supported workflow, and report the suspected false positive. Depends on the product; do not assume a report or allow action is an automatic release or a safety guarantee.
Work email or managed-device quarantine Your organization’s security administrator controls review and release. Report it through the approved workplace process so the administrator can inspect evidence and policy. May affect future items, but does not necessarily release items already quarantined. In Microsoft Defender for Office 365, similar quarantined messages require manual release.
Policy-based file-type block The owner of the relevant organization policy or product setting decides whether the restriction should change. Ask the administrator to identify the rule and assess whether an exception is justified; do not bypass it. An exception can weaken a filter. Its justification and scope should be reviewed and documented.

What not to do

  • Do not disable antivirus or other protection to open the item.
  • Do not restore a quarantined file or add an allow rule solely because the sender or filename looks familiar.
  • Do not treat a vendor submission, a sender’s confirmation, or a clean scan as automatic clearance when the alert remains unresolved.
  • Do not bypass a blocked file type or policy restriction; ask the responsible administrator to review it.
