If a flight delay may make you miss hotel check-in, contact the property immediately, give it your updated arrival time, and ask it to note the reservation and confirm whether it will hold the room. Then check the booking’s late-arrival and no-show terms, notify the airline, and save all messages and receipts. A delayed flight does not automatically make the airline responsible for a separate hotel night or require the hotel to waive its charges.
What to do first: contact the hotel
- Call the property using its official number. Give the name on the reservation, confirmation number, reason for the late arrival, and your best estimated arrival time. Ask the staff member to record the late arrival and confirm whether the room will be held. If your arrival may be after midnight, make this call as soon as possible; Marriott advises guests expecting to arrive after midnight to contact the hotel directly, but that is Marriott guidance, not a policy for every hotel. - Check your reservation terms. Review the confirmation for check-in hours, after-hours instructions, cancellation deadline, guarantee or payment terms, no-show charge, and the booking provider’s contact details. Ask whether the property or provider can waive a first-night penalty, move the arrival date, or offer a credit. Treat any exception as a request unless your contract or applicable law gives you a specific entitlement.
- Get any agreement in writing. A call is useful when time is short, but also send a message through the hotel or booking platform, or email the property, so there is a record of what was agreed.
- Tell the airline and save its updates. Keep the original itinerary, delay or cancellation notices, rebooking details, and your revised arrival estimate. Ask the airline what assistance applies to your disrupted flight; those obligations are separate from the hotel’s decision about a room booked independently.
If the hotel says it cannot hold the room
Ask the hotel or booking provider to explain in writing which reservation term it is applying, whether a late-arrival exception or date change is possible, and what charges will be assessed. If you booked through a platform, contact it through the reservation’s official messaging channel as well as any urgent phone line. Save the response and request an itemized statement if you are charged.

Marriott says a guaranteed reservation is typically held until 6:00 a.m. local hotel time the following day, while noting that the no-show fee depends on the individual hotel’s cancellation policy. Save the hotel confirmation and cancellation terms, flight notices and revised itinerary, call and message timestamps, the hotel’s written response, and receipts for reasonable replacement expenses. The UK Civil Aviation Authority recommends keeping itemized receipts when claiming expenses for care during a qualifying flight disruption; an airline may assess whether the spending was reasonable. Check your travel-insurance policy and any travel protections attached to a payment card if relevant. Whether a missed hotel night is covered depends on the specific terms, timing, covered cause, documentation, and exclusions; no particular policy or card benefit can be assumed to cover it. What the airline may owe depends on the route and booking
Airline care, ticket refunds, and hotel no-show charges are different questions. The applicable rules depend on where the journey begins and ends, the carrier, the cause and length of disruption, and whether flights are on one booking or separate tickets. None of the sources below establishes that airline assistance automatically reimburses a separately booked destination hotel night you miss.

Flights covered by UK rules
For qualifying delays, UK passenger-rights guidance describes care that can include food and drink, communication, and overnight accommodation plus transport between the airport and accommodation when needed. Thresholds depend on flight distance. If the airline does not arrange required care, passengers may arrange reasonable care themselves and claim expenses with supporting receipts. These protections concern care during the flight disruption; they do not by themselves decide whether a hotel must refund or waive a charge for an independently booked night. There is also an important difference between a connection on one booking and a self-transfer on separate flight bookings. The CAA says that for a single booking, assessment of care and compensation can extend to the itinerary’s final destination. For separate bookings, it says passengers do not have a statutory UK261 right to care, compensation, or onward transport to the final destination when a delay causes them to miss the separately booked flight, although rights relating to each individual flight may still apply. Flights involving the United States
U.S. DOT refund guidance addresses when a traveler can reject significantly changed or delayed transportation and receive a refund, and distinguishes that from a traveler who accepts and takes alternative transportation. A ticket refund is not reimbursement for a separate hotel booking. The DOT also says airline delay amenities are generally not federally mandated in the same way as denied-boarding compensation; ask the airline what its own commitments provide. If you need a definitive answer about your case, check the hotel’s booking terms and the passenger-rights rules for the route and ticket structure involved; a general rule for one country or hotel chain cannot settle every reservation.
