What to do right after the interview
Before the conversation fades from memory, write down each interviewer’s name and role, plus a few specific topics you discussed. These notes help you personalize your message accurately rather than relying on generic praise or inventing a point of connection.

Send a thank-you email within 24 hours. If the interview finished late in the day or just before a weekend, the next business morning is reasonable. When several people interviewed you, send each person a separate note tailored to your conversation with them.

If you forgot to give a material answer during the interview, you can clarify it briefly in this note. Keep the clarification relevant and concise rather than turning the thank-you into a second interview.
When to follow up about a hiring decision
The employer’s stated timeline and communication instructions take priority over general timing advice. If you do not know when to expect an update, ask during the interview. Afterward, wait until the promised date has passed; a small buffer can be sensible when the date is approximate or falls near a weekend.

These are practical guidelines, not deadlines that apply to every employer or evidence that emailing at a particular interval changes the outcome. Hiring timelines vary by organization, role, industry, and seniority.

Address the message to the recruiter or designated contact when possible; recruiters are often the most current source for process updates. Send one concise note rather than repeated messages close together. Email is a practical default, but use another channel if the employer asked you to or an existing professional relationship makes it appropriate.

What to do if there is no response
Silence can mean the employer is still interviewing, coordinating schedules, waiting for a manager, revisiting the role’s needs, or seeking approvals. It is not reliable proof of rejection—or of success. A polite check-in can reopen communication, but it cannot make a group decision happen sooner.

Indeed career guidance contributor Genevieve Northup, MBA, SHRM-CP, HCI-SPTD, advises: “Wait until the deadline passes before emailing again, unless someone from the organization reaches out with further questions.” If you have already checked in and still hear nothing, avoid sending messages at short intervals. Continue applying and interviewing elsewhere rather than putting your search on hold.
How to respond to a rejection or prolonged silence
If you receive a rejection, you can thank the hiring manager for their time and acknowledge the decision without arguing against it. If the conversation gave you a genuine basis for staying connected, briefly ask whether they would be open to keeping in touch or speaking in the future. Treat that as relationship-building, not an appeal of a firm decision.
After prolonged silence, a final brief, professional note may be appropriate if you have already allowed a reasonable interval and sent a measured check-in. Keep it courteous and then move on with your search; there is no need to keep pursuing an employer that has not responded.
