Budget for a complete, production-ready automation project—not just the robot. The installed system may also require tooling, safety measures, controls, integration, programming, commissioning, training, and changes to the facility or process. Its business case depends on the actual task, operating schedule, expected utilization, and benefits the project can substantiate; there is no generally applicable installed price or standard payback period.
Start with the task and its production requirements
Before requesting prices, define the work the system must perform and the conditions in which it will operate. Robot or cobot selection depends on the application, including payload, reach, speed, environment, and required production output. Record the product and process details that affect how parts are presented, handled, inspected, or transferred.

Describe the baseline as it operates today: staffing per shift, shifts and days worked, operating hours, task cycle, current output, and production requirements. Add the expected utilization of the automated system. These figures connect the proposed equipment to the work it is meant to do and give vendors a common scope to quote against.

Build the upfront budget around the installed cell
A robot arm is one component of an automation installation, not a complete production-ready cell. NIST’s Manufacturing Extension Partnership describes robotics as a potential route to productivity, quality, safety, and flexibility improvements, while A3’s cost discussion covers the additional equipment and integration involved in an application. The actual scope depends on the task and site.

| Budget line | What to scope |
|---|---|
| Robot or cobot and controller | Equipment suited to the application’s payload, reach, speed, environment, and production requirements. The cited sources do not establish a current, general purchase-price range. |
| End effector and workholding | Grippers, tooling, fixtures, part presentation, and machine interfaces needed to handle the parts and perform the task. |
| Safety design and controls | Application-specific risk assessment, guarding or other protective measures, interlocks, sensors, and any site changes needed for the installation and jurisdiction. |
| Peripherals | Equipment such as conveyors, vision, and part handling, where the application requires them. |
| Integration and commissioning | Engineering, programming, controls integration, commissioning, installation, and coordination with existing equipment and processes. |
| Facility, process, and people | Facility or process reconfiguration, staff time, and training required to prepare for and adopt the system. |
Do not assume that choosing a collaborative robot automatically removes the need for safety engineering or safeguards. The required protective measures depend on the application and its risks.
There is no current, broadly applicable installed-price statistic in the cited sources. NIST’s 2015 report quoted an IFR World Robotics 2009 estimate that assigned 20%–25% of costs to the robot, 20%–30% to auxiliary hardware, and 45%–60% to systems integration. Those dated shares are historical context, not a current budgeting rule. Request a scoped quote for the specific task, site, safety design, and integration requirements.

Account for recurring costs and work that remains
Estimate operating costs alongside the capital outlay. Depending on the installation, these can include preventive and corrective maintenance, spare parts, service, electricity, compressed air, software or support, retraining, and direct labor that remains after automation. State which costs are recurring and who will provide the work or support.

Make the business case traceable
Compare projected cash flows over a realistic service life, using assumptions that management can review. A3’s calculator can help organize labor and ownership-cost inputs, but it does not make local estimates certain. For a discounted cash-flow analysis, NIST’s Capital Investment Analysis resource describes present value, net present value (NPV), and internal rate of return (IRR).
- Establish the current baseline. Record people performing the work per shift, labor costs, operating schedule, task performance, and target production requirements.
- Estimate project costs. Include the complete installed scope and ongoing costs, not only the robot purchase.
- Set operating assumptions. Document expected utilization, service life, ramp-up, downtime, and any residual labor.
- Choose and disclose the financial method. If using NPV or IRR, state the discount rate and other assumptions behind the forecast.
- Test plausible changes. Check how the result changes if utilization, output, downtime, or staffing differs from the expected case.
Separate direct labor effects from other potential benefits. NIST and A3 identify productivity, throughput, quality, yield, worker safety, ergonomics, and flexibility as possible considerations. Include them only when the project can measure or reasonably substantiate the expected effect; do not treat potential benefits as guaranteed savings.

A3’s 2015 article gives a historical illustrative example of a $250,000 installation, assuming two robots, two shifts, five days a week, and 50 weeks a year, along with particular labor-replacement assumptions. It is not a current market price or a forecast for another manufacturer’s project.
Budget for integration capacity and ownership
NIST says robot integration into existing facilities can be difficult and expensive, in part because robots may not communicate easily with devices and sensors used for perception, mobility, and manipulation. Integration is therefore both a vendor-scope question and an internal-capacity question.

NIST’s guidance for a first robot integration recommends assessing honestly what support is needed, involving people who understand the existing process, and identifying an internal robotics champion who can work with the implementation team and coordinate departments. Allow for that person’s time and authority, as well as the effort required for commissioning and post-installation support.
Compare proposals on equal terms
Ask each supplier or integrator to quote the same task, site conditions, production requirements, and included scope. Compare proposals against the following points:
- Task and product fit: Does the proposed system address the defined work and product range?
- Installed and lifecycle scope: Which tooling, safeguards, peripherals, integration, commissioning, training, and operating costs are included or excluded?
- Performance assumptions: What output, uptime, and utilization underpin the proposal?
- Safety design: What application-specific risk controls and protective measures are included?
- Integration: How will the system connect to existing machines, sensors, and production processes?
- Changeover and flexibility: What is required to handle product or process changes?
- Support and ownership: What training, maintenance, service response, and internal responsibilities are assumed?
- Evidence for savings: Which projected benefits are based on measured or otherwise substantiated assumptions?
Do not compare a bare robot quote with a fully integrated-cell proposal as if they cover the same project. Make exclusions and assumptions visible before comparing totals.
