Before buying an AI productivity subscription, check whether it fits the tools your team already uses, what the full per-user cost and license requirements are, how the plan handles business data, and whether its controls meet your needs. Then pilot it on real work and measure the results. No vendor price or feature list can tell you whether the subscription will save your team time.
Start with the work your team already does
Map where your team handles email, documents, meetings, files, and collaboration. The best fit may be the option that works within those routines rather than requiring people to move tasks or content into a separate environment.

- Microsoft: Microsoft says Copilot can use Microsoft Graph content that the user is already permitted to access. That makes existing permissions and content organization relevant to the experience. See Microsoft’s licensing guidance and privacy documentation.
- Google Workspace: Google lists Gemini features within Gmail, Docs, Meet, and other Workspace apps on its Workspace Enterprise Standard page.
- ChatGPT Business: OpenAI describes a team workspace with connections to workplace tools. Check which connections are available and enabled for the exact plan you are considering in its business plan information.
These descriptions establish different approaches to workflow integration, not which product will work best for a particular team. Compare them against your actual tools, content, and routine tasks.

Google’s and OpenAI’s figures are vendor-listed prices, not evidence of savings or return on investment. OpenAI also states that API usage is billed separately from its Business workspace; see its ChatGPT Business help page. Build a cost estimate from the number of seats you expect to pay for and the licenses your organization must retain, rather than comparing headline subscription prices alone.
Review data use and contractual terms for the exact plan
Read the terms that apply to the plan and configuration you intend to buy. Ask how prompts, responses, connected-app data, and other business content are handled; check retention, data residency, access, and any terms that apply to enabled integrations.
- Microsoft says prompts, responses, and Microsoft Graph data accessed through Copilot are not used to train foundation models. It describes organizational use as covered by Microsoft’s Products and Services Data Protection Addendum and Product Terms. Consult the Copilot privacy documentation and applicable Microsoft Product Terms.
- OpenAI says business-plan content is excluded from model training by default. Its official statement says: “By default, we do not use data from ChatGPT Enterprise, ChatGPT Business, ChatGPT Edu, ChatGPT for Healthcare, ChatGPT for Teachers, or our API platform—including inputs or outputs—for training or improving our models.” This describes OpenAI’s default policy; it is not an independent audit conclusion. Read the OpenAI business data privacy page and the terms for your plan.
Vendor statements about data handling do not, by themselves, establish that a service meets your organization’s legal, regulatory, or internal requirements. Have the appropriate privacy, security, and procurement reviewers assess the contract and configuration.

Check administration, visibility, and sharing controls
A managed workspace can centralize billing and administration without making every user’s conversations visible to administrators or colleagues. Establish what administrators can manage, what users can see, and how content can be shared before inviting the team.
Rank #3
OpenAI describes ChatGPT Business as providing centralized billing and administration, SAML single sign-on (SSO), multi-factor authentication (MFA), usage analytics, and spend controls on its business page. Its help documentation says users’ chats are not automatically visible to other workspace members, and that disabling shared links across the workspace is an Enterprise-only control. Verify current settings and plan limits against your requirements in the Business help documentation.
For any candidate, confirm who can invite or remove users, manage billing, configure connected apps, and control sharing. Treat a feature being listed for a plan as a prompt to verify its current availability and behavior in your intended setup.

Run a pilot against representative work
Test the subscription with a small group whose work reflects the wider team’s needs. Use recurring, realistic tasks and compare the tool with the process people use today.
Recommended Free Tools
- Select representative tasks. Include the email, document, meeting, or information-retrieval work the team expects to use the subscription for.
- Record a baseline. Note how the current process handles each task, including time spent and the checks required.
- Try the same tasks with the candidate. Use the intended licenses, connected tools, and controls so the pilot reflects the actual deployment.
- Evaluate more than speed. Track output quality, time spent correcting results, workflow fit, adoption, and the consequences of errors.
- Decide what would justify expansion. Agree on the results and safeguards the team needs before committing to broad rollout.
The vendor information cited here does not establish a general productivity gain that can be assumed for your team. Your pilot is the way to find out whether the product improves your specific work enough to justify its cost and oversight.

Make the buying decision against your requirements
Before purchase, write down the requirements that matter and compare candidates on the same basis:
- Fit with the team’s existing productivity suite, content, and permissions.
- Required base licenses, seat assumptions, billing commitment, and complete per-user cost.
- User access, administrator controls, and sharing behavior.
- Data-processing, training, retention, and residency terms for the exact plan.
- Required integrations and any enabled agents or connected tools.
- Pilot results for output quality, correction time, workflow fit, adoption, and error impact.
- Support and contractual terms required by your organization.
The sources establish real differences in licensing, packaging, prices, and administration, but they do not provide a complete independent feature-by-feature evaluation. Select the option that meets your team’s verified requirements and performs acceptably in its pilot, rather than choosing from a broad claim that one assistant is best for every workplace.
