What Should Small Businesses Buy to Improve Their Cybersecurity Basics?

Small businesses can strengthen cybersecurity by enabling MFA, patching devices, training staff, and testing protected backups. Buy hardware or services only to close a specific gap.

Most small businesses should first make better use of protections they already have: enable multi-factor authentication (MFA), install security updates, change default passwords, train staff, and keep backups that are protected and tested. If you need one physical security purchase, consider compatible hardware security keys for accounts that support them. A new router, paid security suite, or training subscription is not automatically necessary; buy only when it closes a specific gap.

What should you buy first?

Start by checking the accounts, computers, and network equipment your business already uses. NIST describes cybersecurity as a continuous process and recommends practical basics including MFA, strong passwords, backups, changing default manufacturer passwords, current antivirus, software patching, phishing and ransomware awareness, and employee training. NIST’s small-business cybersecurity basics is a useful checklist.

  • Enable MFA: Prioritize business email, cloud storage, remote access, administrator accounts, and other services holding sensitive information. Choose a phishing-resistant option where the service supports it.
  • Update and secure devices: Install operating-system and application updates, replace default passwords with unique ones, and keep security software current.
  • Protect backups: Back up important files routinely, keep copies protected and separate from the network where feasible, and test that you can restore them.
  • Train staff: Cover phishing, ransomware, and the steps employees should take when something looks suspicious.

These steps may improve security without a new purchase. The FTC’s Cybersecurity for Small Business guidance also covers MFA, encryption, router configuration, secure remote access, training, backups, and incident response.

When is a hardware security key worth buying?

A hardware security key is a physical way to add an authentication factor. It can be a sensible targeted purchase for administrators and employees who access sensitive data, but it works only where the account and device support the key’s authentication standard and connector. CISA advises businesses to require MFA wherever possible and use the strongest available method; its guidance suggests starting with administrator accounts and employees handling sensitive information. See CISA’s MFA guidance.

Before buying, check that the key is compatible with the business’s services, operating systems, and device ports. Confirm how account recovery works, and retain a secure recovery method so a lost or damaged key does not lock the business out. Do not assume one key works with every account, or that any government agency endorses a particular brand.

Which other purchases might close a real gap?

Purchase When it may help What to check
External backup drive When you need a separate copy of important business files. Protect the drive and keep it separate or disconnected from the network when feasible. A drive alone is not a backup plan: schedule copies and test restoration.
Router When existing equipment cannot be configured securely or no longer receives security updates. Check for secure administration, current updates, WPA2 or WPA3, and the ability to separate guest access. First see whether your current router supports these settings.
Antivirus or security software When you lack suitable protection or cannot maintain what you have. NIST and the FTC recommend security software, but their cited guidance does not establish that every business needs a new paid product or select a vendor.
Training service When you need help delivering regular staff training. Training is recommended; a paid service is optional. Choose based on your staff’s needs and ability to keep training current.

The FTC recommends changing router defaults, disabling remote management, using WPA2 or WPA3, and separating guest access. Those are configuration goals, not a reason by themselves to replace a working, supported router.

How should you compare cybersecurity purchases?

Use these checks to decide whether a product is worth buying and manageable for your business. They are a practical decision framework, not a formal NIST scoring method.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Identify the gap: Name the risk or security control the purchase addresses. If you cannot identify one, do not start with the product.
  2. Check compatibility: Confirm it works with your existing accounts, devices, operating systems, and network equipment.
  3. Check ongoing support: Find out whether it receives security updates and whether your business can configure and manage it.
  4. Plan for recovery and access: Consider backups, account recovery, administrator controls, and what happens if a device or credential is lost.
  5. Count the operating cost: Include purchase and renewal costs, setup, staff time, and the work needed to maintain the protection.

How do you protect the business from phishing and ransomware?

Combine staff awareness with account and recovery controls. Train employees to recognize suspicious messages and report them, keep software patched, use MFA on important accounts, and maintain protected backups that you have tested. NIST’s small-business guidance includes phishing and ransomware awareness and employee training; the FTC also advises businesses to plan for incident response.

Where can a small business find a risk-based starting plan?

NIST SP 1300, NIST Cybersecurity Framework 2.0: Small Business Quick-Start Guide, was published February 26, 2024. It is intended for small and medium-sized businesses with modest or no existing cybersecurity plans and supplements the Cybersecurity Framework 2.0 rather than replacing it. Use it to organize priorities and identify gaps instead of treating a shopping list as a complete security program: NIST’s Small Business Quick-Start Guide.
