Document understanding is the process of using AI to interpret a document’s text, layout, and the relationships between its parts. OCR can recognize the words on a page; document understanding can also identify that a number sits beside a particular label, that a value belongs in a particular table column, or that a heading applies to the section beneath it. The result can be organized information that software can search, store, or use in a workflow.
How is document understanding different from OCR?
Optical character recognition (OCR) converts text in an image or scanned page into machine-readable text. That is useful, but a plain text dump can discard context. If a form shows “Invoice date” beside “May 12,” OCR may read both strings without establishing that the date is the value for that label. Similarly, a table’s meaning depends on the headers and the alignment of its cells.

Document understanding combines text recognition with analysis of page structure and relationships. It can represent where text appears, how it is grouped, and what role it plays. Google Cloud describes its Document AI platform as transforming unstructured document data into structured data for specific fields; Microsoft’s layout-analysis documentation describes combining OCR with models that extract text, tables, selection marks, and document structure.

Implementations differ, but a typical workflow moves from the original file to structured output:

- Ingest or digitize the document. The input may be a digital PDF or a scan or image. Depending on the service, preparation may include checking readability or correcting a skewed page.
- Recognize text and locate page elements. The system detects words and regions such as titles, headings, tables, figures, checkboxes, headers, and footers. Layout analysis can describe both their positions and their roles.
- Classify or split documents when needed. A combined file may contain several document types or separate documents. A system can identify the types or split the file before extracting information.
- Extract the information needed for the task. The output might be key-value pairs, table data, or fields defined for a particular document type. Some systems also classify documents or extract text without further interpretation.
- Pass structured results to another system. The results can feed a database, search index, document library, or retrieval-augmented generation (RAG) workflow. Google’s layout-parser documentation describes chunks that include heading context, as well as descriptions of figures, charts, and tables.
What does “reading beyond the text” mean?
A page communicates through position and grouping as well as words. A label next to a value, a table cell beneath a column heading, a footnote linked to a chart, and a heading above several paragraphs each convey a relationship. Columns, figures, and page regions can also affect reading order.
Document-understanding systems use spatial or structural cues to preserve these relationships instead of treating the page as a flat sequence of words. The 2024 DocLLM paper describes a model that combines text semantics with OCR-derived bounding boxes. The authors discuss tasks including form understanding, table alignment, and visual question answering.

Which documents and tasks can it handle?
Document types and supported tasks vary by service. Examples in vendor documentation include forms, invoices, receipts, passports, driver IDs, contracts, correspondence, and reports. These examples are not a guarantee that every service supports every document type or handles them equally well.

- Document organization: classification and splitting combined files into separate documents.
- Retrieval preparation: structured chunks with context that can be used in search or RAG systems.
How should you assess a document-understanding system?
There is no evidence here for a universal best provider or a cross-vendor accuracy figure. A practical evaluation starts with your documents and the result your workflow needs, rather than a general claim about AI accuracy.

- Input requirements: Check accepted file types, page and file-size limits, and requirements for scan clarity. A service may reject or perform poorly on files outside its documented constraints.
- Layout handling: Verify whether it preserves reading order and detects the structures you depend on, such as headings, tables, checkboxes, and hierarchy.
- Extraction fit: Determine whether you need OCR only, generic key-value or table extraction, a custom schema, or document classification.
- Document variability: Include documents with layouts and templates that differ from your most common examples. Performance on familiar formats does not establish performance on unfamiliar ones.
- Output and integration: Check whether results can be used by your database, search system, document library, or downstream workflow, and whether the output retains enough context to verify it.
- Feature maturity: Check whether the specific processor or model version is generally available or marked preview or release candidate. Google’s documentation lists versions and release dates; status can change, so consult the live documentation when choosing a service.
Build an evaluation set from representative documents, including difficult layouts and tables. Compare extracted fields and cell relationships with the original pages, then measure the errors that matter to the workflow. For important decisions or records, plan a human review or correction path rather than assuming a structured result is automatically correct.

Complex layouts, bespoke typesetting, and templates unlike those encountered during development or training can make interpretation harder. Accuracy, reliability, contextual understanding, and generalization to unfamiliar domains remain challenges identified in the DocLLM paper. File format, image quality, page count, and file size can also impose service-specific limits.

Published results should be read in context. In 2024, the DocLLM authors reported outperforming state-of-the-art LLM baselines on 14 of 16 datasets across the tasks they evaluated, and generalizing to 4 of 5 previously unseen datasets. Those are paper-specific benchmark results, not a general accuracy rate or a guarantee for a production document collection. Microsoft’s AI Builder documentation says five sample documents are enough to begin creating a model; that starting point does not establish production quality.
