What Is Customer Relationship Management (CRM)? Definition and Uses

Customer relationship management (CRM) is both a business approach for managing customer relationships and the software that helps teams organize customer information and interactions.

Customer relationship management (CRM) is the coordinated approach a business uses to manage relationships and interactions with current and potential customers. The term also refers to the software systems that help teams put that approach into practice. In short, CRM is both the work of managing customer relationships and, often, the shared tool used to support it.

What does CRM stand for?

CRM stands for customer relationship management. Salesforce Help explains the acronym and describes CRM as a way to track interactions with customers and prospects (Salesforce CRM Basics).

What does customer relationship management mean?

Customer relationship management is the strategy, processes, and technology an organization uses to manage relationships with current and potential customers. Microsoft distinguishes that broader organizational work from CRM systems: the software is a tool that helps put the strategy and processes into practice (Microsoft Dynamics 365).

This distinction matters because adopting software is not the same as deciding how a business should communicate with customers, share information, or handle service. A CRM system can support those practices, but the organization determines its customer strategy and how the system is used.

What does a CRM system do?

A CRM system typically brings customer and prospect information and interaction records together so people in relevant teams can work from shared context. Depending on the product and its configuration, it may support:

  • Contact and interaction records: store customer or prospect details and histories of interactions.
  • Sales work: track leads, opportunities, and sales pipelines; some systems also support forecasting.
  • Marketing: coordinate campaigns and communications.
  • Customer service: record service issues and help staff see previous interactions.
  • Cross-team coordination: make relevant relationship information available to customer-facing teams.

These are common functions described by Salesforce, IBM, and Microsoft, not a checklist every CRM product is guaranteed to include. Features vary by system (Salesforce; IBM; Microsoft Dynamics 365).

Who uses CRM?

CRM is useful wherever staff need to manage information about customers or prospects. Sales, marketing, commerce, and customer service are common users. A small organization might use a CRM mainly to keep contacts and leads organized. A larger organization might share records across more teams and customer touchpoints. The scope depends on the organization’s needs and the system it chooses.

How are CRM and CRM software different?

Term Meaning Example
Customer relationship management The organization’s overall approach and processes for managing customer relationships. Deciding how sales and service teams record and use customer interactions.
CRM software or system The technology used to organize customer information and support relationship-management work. A shared system for viewing contact records, opportunities, or service histories.

In everyday conversation, people often use “CRM” to mean the software. The broader meaning is the management approach; the software is one way to support it.

What CRM does not guarantee

A CRM system can organize records and help teams coordinate, but the software alone does not define a customer strategy or guarantee stronger relationships. The outcome depends on the processes an organization establishes, the information its teams maintain, and how they use the system.
