After you hit Send, your email app hands the message to an outgoing mail service. Mail servers then route it toward the recipient’s mail provider, which checks it and decides whether to deliver it, filter it, defer it, or reject it. A “sent” confirmation does not prove the email reached the inbox—or that anyone read it.
How an email travels after you press Send
The exact infrastructure varies by provider, but a typical email journey uses SMTP (Simple Mail Transfer Protocol) to transfer a message between mail systems. The protocol describes a transaction that identifies a sender and recipients before transferring the message data.

- Your app prepares the message. It assembles the sender and recipient details, subject, headers, and body. SMTP treats the transaction’s envelope information—who is sending and who should receive it—as distinct from the message data itself.
- Your app submits it to an outgoing mail service. The service accepts the message for processing and onward transfer. Providers may perform internal steps that are not visible in the public SMTP protocol.
- The sending system finds the recipient’s mail service. It looks up mail-exchange (MX) information in the recipient domain’s DNS records to identify where to send the message. Intermediate mail systems may handle it along the way.
- Mail servers transfer the message. The servers may negotiate a TLS-encrypted connection. TLS protects that connection, not necessarily every connection in the route or the message content itself.
- The receiving service evaluates it. The recipient’s provider can check sender authentication and apply spam filters and other provider-specific policies.
- The provider acts on the message. It may accept and place it in a mailbox, filter it into spam or another location, temporarily defer it, or reject it.
- The recipient’s app displays the mailbox. A notification, opening the message, or reading it happens later. A sender’s “sent” indicator does not establish that any of those events occurred.
What SPF, DKIM, and DMARC check
Receiving services can use these related but distinct authentication mechanisms to assess whether an email is associated with an authorized sending domain. They help address spoofing, but passing an authentication check does not guarantee inbox placement.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →- SPF (Sender Policy Framework) lets a domain publish which sending systems are authorized to send mail for it.
- DKIM (DomainKeys Identified Mail) uses a domain-associated signature that a receiving server can check.
- DMARC (Domain-based Message Authentication, Reporting and Conformance) tells receivers how the domain wants them to handle messages that fail SPF or DKIM alignment with the visible From domain.
The recipient’s provider still makes its own filtering and placement decisions, even when authentication succeeds.

Is email encrypted while it travels?
Mail servers may use TLS to encrypt the connection between them, but ordinary SMTP does not guarantee that every hop uses encryption. Google says mail servers commonly try TLS but may continue sending if they cannot establish a TLS connection. That means “email is encrypted” is too broad a description unless you specify what is protected.
MTA-STS is a policy a receiving domain can publish to require supporting sending systems to use an authenticated TLS connection. It can strengthen transport protection when both the policy and sender support it. TLS and MTA-STS concern connections between mail systems; they are not the same as end-to-end encryption of the message body.

What “sent,” “delivered,” and “read” mean
“Sent” is app-specific wording. It commonly means the app handed the message to its sending service or received an acceptance response, not that the email appeared in the recipient’s inbox.

In SMTP, when a receiving server returns a successful completion response after receiving the message data, it takes responsibility for the message. That acceptance is not proof of inbox placement, a notification, or a human reading the email. If delivery fails later, the standard calls for a failure notification, though filtering and provider-specific policies can affect where an accepted message appears.

Why an email may go to spam, be delayed, or bounce
The recipient’s service can evaluate authentication alongside other signals and its own policies. A message may be accepted but filtered into spam or another location; it may be temporarily deferred; or it may be rejected. For example, Google’s published requirements describe spam placement, temporary failure, and rejection as possible outcomes for senders that do not meet its rules.
Authentication helps a receiving service judge whether a message is authorized and aligned with its sending domain, but it is only part of the decision. A successful send from your app cannot tell you which folder the recipient’s provider chose or whether the recipient saw the message.

Gmail’s sender requirements are provider-specific
Google’s published guidance applies to mail sent to personal Gmail accounts; it is not a universal rule for every email provider. Google requires all senders to use SPF or DKIM, maintain valid forward and reverse DNS, use TLS, format messages according to RFC 5322, and keep their spam rate below 0.3%.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsSenders sending more than 5,000 messages per day to personal Gmail accounts face additional requirements, including SPF, DKIM, DMARC, and alignment. Google can update its guidance, so these thresholds and requirements should be read as Gmail policy rather than a description of email delivery everywhere.
