Microsoft says personal Copilot conversations may be used to train generative AI models, subject to exclusions and your settings. For work or school Copilot Chat and organizational Microsoft 365 Copilot, Microsoft says prompts and responses are not used to train foundation models—but they may still be logged, retained, and made available for organizational audit or eDiscovery. Files, Vision images, web searches, and connected agents have their own handling rules.
First check the product surface and account: personal Copilot with a personal Microsoft account is different from work or school Copilot Chat, organizational Microsoft 365 Copilot, and Copilot in Microsoft 365 apps for home. Microsoft’s personal Copilot FAQ says it does not apply to work, school, or organizational Entra ID accounts. Microsoft’s support page says an updated Copilot app for web, desktop, and mobile has been available since August 18, 2026, and directs users of that app to newer personal privacy guidance; the documentation distinguishes updated and older app experiences.

How the main Copilot contexts differ
| Copilot context | What Microsoft says about data use | What to keep in mind |
|---|---|---|
| Personal Copilot, signed in with a personal Microsoft account | Conversation activity may be used for generative AI training, subject to exclusions and the user’s training setting. Microsoft describes a default conversation-history retention period. | History, training, and personalization are separate controls. See Microsoft’s personal Copilot Privacy FAQ. |
| Copilot Chat with a work or school account | Prompts and responses are not used to train foundation models. Microsoft says prompts, related Bing search queries, and responses are logged. | Enterprise data protection and organizational retention, audit, or eDiscovery controls apply; details vary by plan and configuration. See Microsoft’s Copilot Chat FAQ and enterprise data protection documentation. |
| Microsoft 365 Copilot for organizational use | Interaction records include prompts, responses, and citations. Microsoft says this data is not used to train foundation models. | Activity history is handled under the organization’s Microsoft 365 commitments, and administrators can use Content Search or Microsoft Purview to view and manage interaction data. |
| Copilot in Microsoft 365 apps for home | Microsoft says prompts, responses, and file contents are not used to train foundation models. | Optional customer feedback may be used to improve the Copilot experience, but Microsoft says it is not used to train the foundation models used by those apps. |
Personal Copilot: are chats saved, and for how long?
Microsoft says personal Copilot conversations are saved by default and appear in conversation history. Its personal Copilot Privacy FAQ gives a default storage duration of 18 months; the FAQ’s publication year is not stated in the cited material. You can delete one conversation or clear the entire conversation history. This stated duration is for personal Copilot and should not be assumed to apply to work or school Copilot.
There is also a cross-experience visibility feature: conversations that originated in Microsoft 365 Copilot may appear read-only in Copilot when you use the same personal account. Microsoft says you can manage or turn off that visibility, and that those Microsoft 365 Copilot conversations are not used to train Copilot’s generative AI models. Their appearance in the personal Copilot experience does not mean all Copilot products share the same storage or training rules.

Personal Copilot: can conversations train AI or personalize replies?
Microsoft says personal Copilot conversation activity may be used to train generative AI models unless an exclusion applies or the user opts out. Its FAQ lists these exclusions: people signed in with an organizational Entra ID account; users of Copilot in Microsoft 365 apps with Personal or Family subscriptions; people who are not signed in; signed-in users under 18; users who opt out; and users in Brazil, China excluding Hong Kong, Israel, Nigeria, South Korea, or Vietnam. Microsoft also says it does not train on personal account profile data or email contents, and that it removes identifying information from data used for training. These are Microsoft’s stated practices, not a claim that every personal interaction is handled identically.
Training and personalization are distinct choices. Microsoft says you can opt out of training while leaving personalization enabled; in that case, Copilot may still remember key details to tailor future responses. Review both settings in your account rather than treating conversation history, model training, and personalization as one control.
Can anyone review personal Copilot conversations?
Microsoft says some personal Copilot conversations are subject to automated and human review for product improvement and digital safety. Conversations flagged as suspected Code of Conduct violations may also be reviewed; Microsoft says limited human review is required to investigate a suspected violation and cannot be disabled for that investigation. The company advises users not to enter confidential or sensitive personal information they would not want used for the purposes described in its FAQ and Privacy Statement.

What happens to files, screenshots, and camera images?
Files shared with personal Copilot
Microsoft says a file shared with personal Copilot is stored securely for up to 18 months and then automatically deleted. The file and its associated conversation are subject to the user’s training and personalization choices; deleting the conversation is also available. Microsoft’s cited FAQ does not state a publication year for this file-retention figure.
Copilot Vision screenshots and camera images
For Copilot Vision, Microsoft says screenshots and camera images are processed to answer the request, are not used to train AI models or personalize the experience, and are not stored after the session ends. Microsoft advises avoiding the feature if you do not want biometric data processed and not sharing images of other people without their consent. These statements apply to Vision and should not be generalized to uploaded files or every image feature.

Work and school Copilot: what enterprise data protection does—and does not—mean
Microsoft says signing in to Copilot Chat with a work or school account provides enterprise data protection (EDP). It describes prompts, responses, and accessed organizational data as covered by relevant enterprise contractual commitments, and says prompts and responses are encrypted during the session and are not used to train foundation models.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
That training commitment is not a promise that chats are never recorded. Microsoft says prompts, Bing search queries triggered by prompts, and responses are logged. Its Copilot Chat FAQ says EDP prompts and responses are retained and available for audit, eDiscovery, and advanced Microsoft Purview capabilities; specific controls vary by subscription plan. For organizational Microsoft 365 Copilot, Microsoft says interaction records include the prompt, response, and citations used to ground an answer. These records are processed and stored under the organization’s Microsoft 365 contractual commitments, encrypted while stored, and can be viewed or managed by administrators using Content Search or Microsoft Purview.
So, can your employer see your prompts? Organizational records can be available for audit and eDiscovery, but that does not establish that every employer or administrator routinely reads every chat. The license, retention policies, audit settings, and administrative practices for your organization matter. Ask your Microsoft 365 administrator what applies to your account.

What leaves Copilot for web search or a connected agent?
For the documented enterprise Copilot web-search flow, Microsoft says it generates a query from a prompt and sends it to Bing over a secure connection with user and tenant identifiers removed. Microsoft says those queries are not shared with advertisers and are not used to train its foundation models. This is a separate flow from the organizational prompt, response, and Microsoft Graph content, and the documented enterprise statements should not be assumed to describe every consumer feature or configuration.
Agents connected to Copilot may have their own privacy statements and terms. Check the terms for the specific agent before giving it organizational information; the Copilot commitments alone do not establish how every agent handles data.
What to check before sharing sensitive information
- Confirm the account and product: identify whether you are signed in personally or with a work or school account, and whether you are using Copilot Chat, Microsoft 365 Copilot, or Copilot in Microsoft 365 apps for home.
- For personal use: review conversation-history, training, and personalization settings separately; delete conversations you no longer want in history.
- For work or school use: ask your administrator which license, retention policies, audit settings, and connected agents apply.
- For files and images: distinguish uploaded files from Copilot Vision captures; do not assume one feature’s handling rules apply to another.
- For agents: read the specific agent’s terms before sharing organizational material.
Microsoft’s support and product documentation describes its declared policies, but it does not establish one retention period, processing geography, or third-party handling rule for every plan, region, feature, and agent. Where a detail depends on a tenant or configuration, your organization’s administrator is the relevant source for your account.
