You can usually open existing files and print them, but desktop Word, Excel, PowerPoint and other Office apps stop allowing edits and new document creation.
The timing and exact behavior depend on whether you use a Microsoft 365 subscription, Office 2024 or another perpetual edition, a work or school license, or a viewer-only configuration. The reliable remedy is to restore a valid license: sign in with the account that owns Office, renew or correct the subscription, remove conflicting installations, complete product-key activation, or contact the organization that assigned the license.

What “not activated” means
Activation is Microsoft’s check that the installed Office edition is associated with a legitimate subscription, product key or organizational entitlement. When that check fails for long enough, Office does not normally disappear from your computer. Instead, it marks the installation as unlicensed and limits what the applications can do.
Reduced functionality is the usual result
In reduced-functionality mode, existing documents can generally be opened for viewing and printed. Editing, saving changes made in the desktop apps and creating new documents are disabled. Some installations display a banner or repeated sign-in prompts before reaching that state; if you ignore those notices, the restrictions become persistent until activation succeeds.
There is no universal grace period
Microsoft’s subscription guidance describes a period of roughly 30 days after the service can no longer verify a Microsoft 365 subscription. Microsoft also says subscription apps should connect to the internet at least every 31 days. Those figures describe Microsoft 365 operating requirements, not a guarantee for every Office edition, region, account type or organizational deployment. A perpetual product such as Office 2024 can show an activation error immediately after an invalid installation or key, while a temporarily offline subscription may continue working until its verification window expires.

What you can still do while Office is unlicensed
- View existing files: Documents that are already stored locally or in a cloud location can generally be opened in read-only mode.
- Print: Printing remains available in the viewer-style experience supported by many unlicensed configurations.
- Inspect content: You can often copy text or data for reference, although the destination application may not let you save an edited Office file.
- Use a browser viewer: Microsoft provides web or viewer access in some licensing contexts. Availability and editing rights depend on the account and the file’s location.
Read-only access is not a substitute for an activated desktop license. If you must revise a document, create a workbook or build a presentation, activation has to be restored or you need an alternative editor that supports the file format.
Which license you have changes the outcome
| License model | How it works | What happens when verification or activation fails | When it makes sense |
|---|---|---|---|
| Microsoft 365 subscription | Recurring license tied to a Microsoft account; desktop apps periodically verify the subscription online. | After the subscription expires or verification fails for an extended period, the apps become unlicensed and editing and new-document creation are disabled. | For current desktop apps, ongoing feature updates and subscription services. |
| Office 2024 one-time purchase | Purchased once for that product version, then activated with the associated account or product key. | The one-time purchase does not remove the activation requirement. An unactivated installation can be restricted even though there is no recurring subscription. | For users who prefer a perpetual-style license for a fixed Office version. |
| Web or viewer access | Files are opened through a browser or a viewer-mode configuration allowed by the account. | Viewing and printing may remain available while editing is unavailable. | For reading or printing documents when no active desktop entitlement is available. |
| Work or school license | An organization assigns the entitlement and controls sign-in, devices and sometimes network access. | A changed account, revoked assignment, expired agreement or organizational sign-in problem can produce the same unlicensed message. | For managed computers; the organization’s administrator must correct entitlement issues. |
Why Office says “Unlicensed Product”
You signed in with the wrong Microsoft account
Office licenses are associated with a particular Microsoft account, or with a work or school account in managed environments. A personal account used during installation may not be the account that purchased Microsoft 365 or redeemed the key. Signing out and back in with an unrelated account leaves the installation unable to find a license even when another account in your household owns one.

The subscription expired or a payment could not be verified
Microsoft 365 becomes unlicensed when the subscription ends or Microsoft cannot confirm its status. Check the subscription owner’s account rather than relying only on the Office banner. If the account shows an expired plan, renewal is required before desktop editing returns.
More than one Office installation is competing
Microsoft identifies duplicate Office installations as a possible activation conflict. For example, a trial edition and a separately purchased edition can coexist and confuse the licensing components. The applications may open, but the wrong edition can remain associated with the account.
A product key was not redeemed or belongs to another edition
A key that was never redeemed, was entered under another account, or does not match the installed edition cannot activate that installation. A key for a different product family or region can also leave Office unlicensed even when the characters were typed correctly.

The organization changed access
On a work or school computer, an administrator may have removed the assignment, changed the tenant or required a different sign-in method. Network controls that block account verification can produce similar symptoms. Personal troubleshooting cannot restore a license that the organization no longer grants.
Manual fix: work through these steps in order
- Identify the account Office is using. Open an affected application, choose File and then Account (or Office Account). Review the signed-in email address and the product name shown under the licensing information. Sign out if it is the wrong account, close every Office application, reopen one, and sign in with the account that bought Microsoft 365 or redeemed the product key. On a managed device, use the work or school account supplied by your administrator.
- Check the subscription or entitlement. In the account’s Microsoft subscription page, confirm that Microsoft 365 is active and assigned to the same account. If it is expired, renew it and allow the status to update. A renewal made under a different account will not activate the installation currently signed in.
- Restore a reliable connection. Connect to the internet, disable airplane mode, and make sure the computer’s date, time and time zone are correct. Office needs to contact Microsoft to validate a subscription. If you are behind a corporate proxy, captive portal or firewall, try the organization’s approved network or ask its administrator whether licensing endpoints are blocked. Do not assume that staying offline indefinitely preserves a subscription; Microsoft requires periodic verification.
- Remove duplicate Office copies. Save your documents, close Office, and open Settings > Apps > Installed apps in Windows. Search for Office or Microsoft 365 and note every entry. You can also check Control Panel > Programs and Features on older Windows versions. Keep the edition you actually own and uninstall obsolete trials or duplicate suites, then restart Windows. If you are unsure which entry belongs to a business deployment, ask the administrator before removing it.
- Run Microsoft’s activation troubleshooter. Use Microsoft’s activation troubleshooting flow for the installed Office version and follow its sign-in, license and installation checks. The troubleshooter can identify account mismatches and some licensing-component problems; complete its requested restart before testing an Office application again.
- Redeem a valid product key correctly. If you purchased a key card or digital key, use Microsoft’s official setup and redemption process, sign in to the Microsoft account that should own the license, and enter the key exactly as supplied. After redemption, install the matching Office edition from that account rather than continuing with an unrelated trial. A key can normally be associated with one account, so record which account completed the redemption.
- Repair or reinstall only after the license is clear. If the account is active and no duplicate remains but Office still reports an error, use Windows’ installed-app repair option for Office, then restart. If repair does not help, uninstall the affected edition, restart, and reinstall it from the licensed account. Reinstalling without correcting the account or subscription simply reproduces the same unlicensed state.
- Escalate organizational cases. Contact your IT administrator when the computer uses a work or school license, device management, volume activation or a company proxy. Ask the administrator to confirm that your account is assigned an Office license and that the device is allowed to activate. Do not remove management software or change organizational settings on your own.
Choosing between renewing and buying again
Do not purchase another license until you know what failed. If your Microsoft 365 account is active, buying Office again is unnecessary; correcting the sign-in, duplicate installation or connectivity problem should restore the existing entitlement. If the subscription has genuinely ended and you want current subscription features, renewal is the direct route.

Office 2024 is Microsoft’s one-time-purchase alternative for people who prefer not to maintain a recurring subscription. It still needs proper redemption and activation, and it is tied to that product version rather than future subscription benefits. Compare the edition, number of permitted devices and account shown at checkout before replacing a subscription.

- Do not use cracks, key generators or activation bypasses. Microsoft’s license terms prohibit circumventing activation. Such downloads can also alter system files or expose credentials, creating problems unrelated to the original licensing error.
- Do not keep entering random keys. Repeated attempts with keys for a different edition or account make it harder to determine which license is valid.
- Do not delete documents to “reset” activation. Activation is tied to the Office installation and account, not to individual files. Back up important documents before uninstalling or repairing anything.
- Do not confuse a read-only viewer with a repaired installation. Being able to print a file means only that viewer functionality remains available; it does not indicate that the desktop license is active.
When the warning is expected to disappear
After you sign in with the correct licensed account, renew an expired subscription or redeem a matching key, close all Office applications and reopen one while connected to the internet. The account page should show the licensed product, and the activation banner should clear after verification. If the warning persists, repeat the duplicate-installation check and run the activation troubleshooter before reinstalling.
Bottom line
An unactivated Office installation is usually still readable but not fully usable: viewing and printing may continue, while editing and creating documents are blocked. Find the license owner, restore subscription or key activation, eliminate conflicting installations and involve an administrator when the license is managed by an organization. Office 2024 avoids recurring subscription payments but does not avoid activation.
