An AI assistant connected to Gmail may be able to summarize threads, answer questions about messages, find information, and help write replies—but the exact access and data handling depend on which product you use. Gemini features built into Gmail or Google Workspace, the Workspace connection in Gemini Apps, and a separate third-party AI app are distinct situations. To reduce access, review Gmail’s separate smart-feature controls, disconnect a Gemini Connected App if applicable, and ask your Workspace administrator about work or school accounts.
First, identify which AI access you mean
“AI reading Gmail” can describe different product paths, with different controls and privacy terms. Do not assume that turning off one feature disables every connection to your mailbox.

The distinctions matter because feature availability, what information an assistant can access, and how shared data is handled can differ. Google’s Workspace privacy commitment, for example, is not a blanket statement about every third-party assistant or every use of personal-account data in Gemini Apps.
When comparing two setups, ask five separate questions: Is the AI feature built into Gmail/Workspace or is it a connected app? Which data can it access under the signed-in account’s permissions? Which terms apply to prompts, answers, and connected content? Can the connection be turned off, and must prior activity be removed separately? Finally, is the feature available for this account, subscription, language, region, and platform? A feature’s presence in a help page does not mean it is enabled for every Gmail user.

What Gemini can do with Gmail information
Google lists several Gmail AI features, including AI Overview conversation summaries, answers above Gmail search results, voice questions through Gmail Live, “Help me write,” proofreading, suggested replies, and help summarizing or drafting. Which features appear depends on account type, subscription or Workspace eligibility, language, region, and platform. Features inside Gmail
Depending on eligibility, Gmail’s built-in tools can condense a long thread, answer a question about email, or help compose and revise a message. These functions are not all equivalent: summarizing a selected conversation differs from asking for information across a mailbox or drafting text for you. Check which feature you are invoking and the account in which you are signed in.
Thread summaries can help surface the main points in a conversation without reading every message in sequence. AI Overview answers above search results can respond to natural-language questions about email, while Gmail Live adds voice interaction for eligible users. Writing tools serve a different purpose: “Help me write” can help draft or revise, proofreading can review text, and suggested replies can offer short responses. These capabilities can save time, but they do not establish that every user has every feature or that each feature has identical access to email.
Eligibility is not simply a matter of having a Gmail address. Google’s feature availability varies by account type, paid Google AI or Workspace plan, language, location, and device or platform. For example, AI Overview conversation summaries are listed for eligible Google AI and Workspace plans, and some personal Gmail availability is constrained by geography or subscription. No universal price or plan requirement for all features is published, so verify the current details rather than assuming a feature is free, included, or available everywhere.
Workspace information connected to Gemini Apps
Google documents a Workspace connection for Gemini Apps that can summarize, answer questions, and find information across Gmail, Docs, and Drive. Google advises users to ask explicitly for Workspace information. The connection requires the same signed-in account, Keep Activity, and the Gmail setting for Smart features in other Google products. This is a connection to Workspace services from Gemini Apps, not just a Gmail button with a different name. The request should explicitly ask for Workspace information, and the required account and settings must be in place. A missing answer may reflect a disabled prerequisite, an account mismatch, administrator policy, or the scope of the connection—not necessarily that the source information does not exist.
Google documents specific limits for this Workspace connection: it cannot access Gmail comments or images, count Gmail items, or report Gmail storage. Those are limits of this documented connection—not a guarantee about a different AI app, a third-party server, or another integration method.

These limits also help define what not to expect from the connection. It is not a reliable way to inventory a mailbox, count messages, or check capacity, and it cannot retrieve Gmail comments or images under the documented behavior. Do not extend these specific limits to every Google AI feature or to third-party clients; a separate integration can use a different connection method and permission scope.

What determines which messages an assistant can access?
Gemini in Workspace follows access controls
Google says Gemini in Workspace generally has the same access to Workspace data as the user. Administrators can disable Gemini or allow Gemini features while restricting access to some or all Workspace data, including Gmail messages. Content owners and administrators therefore both have roles in deciding what is available. That “same access as the user” description is important: it is not a claim that Gemini automatically bypasses the user’s permissions. In an organization, the administrator can also choose to allow Gemini features but block access to some or all Workspace information. A feature being available in the interface therefore does not by itself tell you whether Gmail data access is enabled for your account. The delegated-message exception is specific to this documented Workspace context; it should not be generalized to all assistants or integration methods.
The Gemini Apps connection has its own prerequisites
For the Workspace connection in Gemini Apps, the user must be signed into the same account used for the Workspace data, Keep Activity must be on, and Gmail’s Smart features in other Google products setting must be enabled. Work or school account connections also depend on administrator enablement. These prerequisites are separate from whether a particular built-in Gmail AI feature is available on the account.
Think of these as gates that must all be open for the documented connection: correct Google account, the required activity and smart-feature settings, and—if it is a work or school account—administrator permission. Changing a Gmail smart-feature setting does not necessarily change access for a different Gemini feature or app, because Google exposes distinct controls for different experiences.
Third-party apps need separate scrutiny
A separate AI app may connect directly to a Google account or through another integration. The Gemini controls described here do not establish what that app can access. Review the permissions shown for the specific app and its own privacy policy; organizations should follow their approved-app policies. Google also warns that it does not control, monitor, or secure custom third-party Model Context Protocol servers. For an app connected directly to a Google account, inspect the app’s own authorization and the Google Account third-party access settings for that specific app. No single, current click-by-click revocation walkthrough for every third-party app is published, so do not reuse Gemini’s Connected Apps instructions as if they applied to every integration. At work, an approved-app policy may be more restrictive than an individual user’s preference.
How Google describes data use and privacy
For Workspace, Google states: “We do not use your Workspace data to train or improve the underlying generative AI and large language models that power Gemini, Search, and other systems outside of Workspace without permission.” This is Google’s stated commitment for Workspace data; it should not be generalized to all AI products or account contexts. Google separately says that if a Workspace user with a personal account chooses to share Workspace data with Gemini Apps or Search services for Personal Intelligence, or through screen actions such as screenshots, that data is handled under the terms and policies for those services and may be used for model training and improvement. This is why it is important to distinguish Gemini in Workspace from sharing data with Gemini Apps or Search Personal Intelligence.

In other words, “Does Google use my emails to train AI?” cannot be answered accurately as one universal yes or no from these statements alone. The Workspace privacy commitment applies to Workspace data in that product context. Data a personal-account user chooses to share with Gemini Apps or Search Personal Intelligence follows those services’ terms and may be used for model training and improvement. A third-party app has its own terms. Check the specific product and account context before applying a privacy claim.
Google’s Gemini Apps Privacy Notice says Connected Apps can share information and content such as emails, files, events, photos, and videos with Gemini Apps. It also states that disconnecting an app or deleting data in a connected app does not delete data from Gemini Apps Activity. This creates two distinct cleanup tasks: ending the connection going forward, and reviewing any previous Gemini Apps Activity. Disconnecting or deleting a source email is not the same thing as deleting the prior Gemini chat record. The source-content change can also take days to be reflected in the Gemini experience, so do not assume that a recent edit is immediately reflected in every response.
Reduce or remove Gmail-related AI access
Review Gmail’s separate smart-feature settings
On a computer, use Gmail’s settings to review the controls independently. Google provides separate settings for Gmail, Chat, and Meet features; Workspace smart features, including Gemini-related experiences; and smart features in other Google products.
- Open Gmail on a computer and select Settings, then See all settings.
- On the General tab, find Google Workspace smart features and select Manage Workspace smart feature settings.
- Review Smart features in Google Workspace and Smart features in other Google products. Change the setting relevant to the experience you want to limit.
- Separately review Smart features in Gmail, Chat, and Meet. This controls Gmail-level features such as Smart Compose and summary cards; turning it off does not itself change the separate Workspace smart-feature setting.
Because the settings are distinct, changing one should not be treated as switching off the others. Google documents these controls here: Gmail smart-feature settings.
Choose the control based on the experience you are trying to change. The Gmail, Chat, and Meet setting covers app-level features such as Smart Compose and summary cards. The Workspace smart-feature setting and the setting for other Google products are separately named and separately managed. If your goal is to disable one kind of feature, review the relevant setting rather than assuming a single global switch covers all Gemini or Gmail-related behavior.
Disconnect Workspace from Gemini Apps
If you no longer want Gemini Apps to use the Workspace connection, disconnect Google Workspace in Gemini’s Connected Apps settings. If you also want to address earlier Gemini chats, separately review or delete Gemini Apps Activity. Disconnecting the app alone does not remove that activity. For a work or school account, ask the administrator
Ask your Workspace administrator whether Gemini is enabled and whether it can access Gmail or other Workspace data. The administrator may disable Gemini, restrict data access, or control whether Workspace app connections are permitted. Your personal Gmail settings do not necessarily override organization-level controls.
Useful questions include whether Gemini features are enabled for your account, whether access to Gmail messages is permitted or restricted, whether the Workspace app connection in Gemini Apps is allowed, and which third-party apps are approved. Administrators and content owners can both affect what Workspace data is available, so an individual setting may not answer every access question.
For a different AI app, review that app directly
Check the specific app’s Google account permissions and its privacy policy rather than relying on Gemini’s Connected Apps controls. For a work account, confirm that the app is approved by your organization. Do not connect a custom third-party server or app until you understand what data it receives and how it retains or uses that information.

- Share less when the message is sensitive. Avoid asking an assistant to process information it does not need, and do not connect a service unless its access and data terms are acceptable to you.
- Verify consequential answers against the original email. Google warns Gemini can hallucinate or return outdated information—for example, an older email when a newer one exists.
- Separate access removal from history cleanup. Disconnecting a Workspace app and managing Gemini Apps Activity are distinct actions.
- Recheck settings after changes. Features and eligibility depend on account, subscription, language, region, and platform, and product settings or terms may change.
For decisions that depend on dates, commitments, payment details, or the latest instruction in a thread, treat an AI-generated summary as a starting point and check the original messages. Google’s documented warning about outdated information means a summary can miss that a newer email superseded an older one. No statistic quantifying how often this happens is published in the materials available to readers, so use the practical safeguard without assuming a particular error rate.
There is also no single “AI assistant” permission level to compare across products. A native Gmail feature, Gemini Apps using a Workspace connection, and a third-party OAuth or server integration may have different data access, settings, and terms. Make the decision at the product and account level, and revisit it when the feature or organization’s policy changes.

There is no single answer for every Gemini product. Gemini in Workspace generally follows the user’s Workspace data access, and administrators can restrict access to Gmail messages or disable Gemini. The control depends on the experience. Review Gmail’s separate smart-feature settings, disconnect Google Workspace under Gemini’s Connected Apps if you use that connection, and ask your Workspace administrator about work or school access. Turning off one Gmail smart-feature control does not automatically switch off the other settings or every connected app.
Does Google use my emails to train AI?
