Gemini’s usefulness for work depends less on a single magic switch than on which Google account features are enabled and what information Gemini is allowed to use. Google documents separate smart-feature controls for Gmail, Chat and Meet; Google Workspace; and other Google products. Workspace access can also depend on an administrator, edition and region.
These settings can enable features such as finding Workspace information, summarizing content and drafting. Google’s documentation describes what the controls make available; it does not establish a measured productivity gain. Here is what each control does and how to choose deliberately.

Which Gemini settings matter for work?
Google separates smart features into three controls. They have different scopes, so enabling one does not automatically mean every other category is enabled.

Google’s smart features and controls help page explains the categories and their effects. Consider each separately rather than treating “smart features” as one universal Gemini switch.

What does the Workspace smart-features setting unlock?
Google says enabling Workspace smart features can allow Workspace content and activity to personalize experiences across Workspace. Listed examples include personalized search and Gemini capabilities to summarize content, create drafts and find key information. Turning the setting off removes the listed experiences until it is enabled again.
This is a capability and data-personalization choice, not a promise of a particular result. Google does not quantify time saved or guarantee that enabling the setting will improve productivity. If you prefer not to have Workspace content and activity used for these personalized experiences, weigh that preference against the features you want.

How can Gemini use information from connected Workspace apps?
Google announced in May 2025 that Gmail, Drive, Docs, Calendar, Keep and Tasks were generally available as connected Workspace apps for the Gemini app. When the relevant apps and access are enabled, Gemini can reference information from them to answer questions or help carry out tasks. The announcement is described in Google Workspace Updates.

Does your account qualify for Gemini in Workspace?
Gemini in the consumer Gemini app and Gemini features within Workspace services are not the same access path. For Workspace services, Google says an administrator can enable or disable Gemini features. Its administrator guidance lists Enterprise Standard and Enterprise Plus, the Teaching and Learning add-on and Education Plus, and Google AI Pro for Education for the documented feature-control page. Users also need smart features and personalization enabled to access Gemini in Workspace services.
If you use a work or school account and a feature is missing, check with your Workspace administrator about both eligibility and whether Gemini access is enabled. The Google Workspace administrator guidance covers access controls. Your organization’s settings can differ from the settings in a personal Gemini account.

Check regional availability before changing controls
Google says smart-feature settings are off by default for users in the European Economic Area, Japan, Switzerland and the United Kingdom. Defaults and available controls can therefore differ by region. Review Google’s current smart-features guidance for the applicable settings and effects in your account.

Google described Gems as customizable versions of Gemini for particular tasks and announced that Workspace users could share them with teammates in a September 18, 2025 post. Google’s current Gemini productivity overview says Skills are replacing Gems, describing Skills as reusable tailored instructions. Names, workflows and availability may change as the transition proceeds, so look at the live Gemini interface for the option available in your account rather than relying on an older Gems walkthrough.

A practical way to choose what to enable
- Identify the account. Decide whether you are changing a personal Gemini account or a work or school Workspace account; organization-managed access may be controlled by an administrator.
- Match the scope to the task. For in-product Gmail, Chat or Meet features, review that category. For Workspace-wide personalization and Gemini capabilities such as summaries, drafts and information discovery, review the Workspace smart-features category. For personalization outside Workspace, review the other-Google-products category.
- Review the data trade-off. Workspace smart features use Workspace content and activity to personalize experiences. Enable the controls whose functionality is useful to you, with that use in mind.
- Check access and region. If an option is unavailable, check Google’s current help pages and, for a managed account, ask the administrator whether the edition and access controls permit it.
- Connect only relevant apps. If using connected Workspace apps in Gemini, enable the apps that provide useful context for your tasks and consider the information they contain.
Google explains the purpose of its updated controls in its post about giving users more choice and control. The right configuration is the one that fits your account, the work you want help with and your comfort with personalization—not a setting combination that guarantees a productivity transformation.
