What Does It Mean to Attach a File?

Attaching a file adds it to a message or another app item so others can access it. How it works depends on the service and whether it sends a copy or shares a link.

Attaching a file means associating a digital file with a message or another item so its recipient or audience can access it. In email, you select a file while composing a message; on a website, you may upload a file that appears as a link in a comment or post. The exact steps depend on the app.

What happens when you attach a file?

The file is added to the message or item you are creating. In email, the recipient typically receives a copy of the file along with the message. In other apps, the service may upload the file and add a link or reference instead.

For example, Outlook lets you choose a file while composing an email. GitHub lets users add files to issues, pull requests, and comments by browsing for a file or dragging it into the relevant area; after upload, a URL for the file is added to the text field. Microsoft’s Outlook guidance and GitHub’s instructions for attaching files describe these app-specific options.

Is an attachment the same as a file link or an image in the message?

Attachment or cloud link

A traditional attachment is generally a copy sent with the message. A cloud link points to a file stored online instead. Depending on the service and its permissions, a link can let recipients access the shared version, while an attached copy does not synchronize edits with the original. Outlook distinguishes attaching a file copy from sharing a OneDrive or SharePoint link; recipients may need suitable permissions to open a link.

Attachment or inline image

An attached image is presented as a file the recipient can open or download. An inline image is inserted into the body of the message so it appears as part of the text. These are different ways of including an image, even though both begin with a picture file.

Email attachment or platform upload

“Attach” can also mean uploading a file to a platform. In GitHub, for instance, the uploaded file is represented by a URL in the issue, pull request, or comment text. It is not necessarily sent as an email attachment; the platform hosts or references it.

What if the file is too large?

Limits depend on the email provider or platform, so check the rules for the service you are using. If an Outlook attachment is too large, Microsoft describes uploading it to OneDrive and sharing a link as an alternative. That changes the sharing arrangement: recipients need permission to access the linked file.

Microsoft Graph’s API limits are implementation-specific, not universal email size limits. Its documentation describes direct attachment operations for files under 3 MB and upload sessions for files from 3 MB to 150 MB. Those figures apply to Microsoft Graph v1.0, not automatically to Outlook users or other email services. See Microsoft Learn’s upload-session documentation and attachment resource guidance.

How do you attach a file?

The steps vary by app, but the usual process is to open the item you are composing, choose its attachment or upload control, select the file, and confirm. In Outlook, this is done from the email compose window; on a phone, the available choices may include selecting a photo or another file. Check that the intended file appears in the message or item before sending or posting it. For device-specific steps, consult the app’s current instructions; AT&T’s email attachment example illustrates selecting a file on a handset, but steps vary by device.
