CPQ software helps sales teams configure products, calculate prices, and create quotes. Its most useful features connect those steps: configuration rules catch invalid combinations, pricing controls apply approved terms, and workflows move quotes toward approval and ordering.
What CPQ software does
CPQ stands for Configure, Price, Quote. It supports the path from selecting an offering to preparing a quote, and some platforms extend that process into approvals, ordering, and connections to other business systems. Oracle describes its CPQ process as spanning product selection, configuration, pricing, quoting, ordering, and approval workflows in its getting-started documentation.

The exact feature set varies by platform and implementation. A useful evaluation starts with your products, pricing policies, quote process, and the systems that need to exchange data.
How product configuration features work
Rules for valid product combinations
Configuration tools represent product attributes and dependencies. Rules can require, include, exclude, or bundle options so sellers are less likely to quote an incomplete or incompatible combination. SAP’s documentation on configurable products describes rule-based options and configuration choices.

Guided selling and bundles
Guided selling leads a seller through questions or choices to identify an appropriate product or configuration. Bundles group related products or options. Salesforce lists guided selling flows, product bundles, and discounting rules among its CPQ capabilities; the actual guidance depends on the product model and workflow configured in a particular system (Salesforce CPQ overview).
How CPQ handles pricing
Pricing features apply rules such as customer- or channel-specific prices, discounts, and exception controls. Some systems also support margin guardrails or recommendations. These functions help encode company policy; they do not guarantee that pricing is correct unless the underlying price data and rules are accurate and maintained.
Rank #2
When assessing pricing, test realistic examples: standard and negotiated prices, discount thresholds, customer exceptions, and margin requirements. Confirm what happens when a quote falls outside policy and whether the system routes that exception for approval. SAP describes pricing and margin-related capabilities on its CPQ product page; Salesforce also describes discount rules and controls in its CPQ overview.
Quote documents, approvals, and ordering
Once products and prices are set, CPQ can produce a customer-facing quote or proposal. Approval workflows can send quotes or exceptions to the appropriate approver before they are issued. Depending on the platform, the process may also generate related documents or pass quote and order information to another system.
Rank #3
SAP’s SAP CPQ User Guide lists quote generation and adjacent document and external handoff capabilities. Oracle’s documentation frames CPQ as part of an opportunity-to-quote-to-order process, including approvals (Oracle CPQ: Get Started). Check the specific documents, approval routing, and order handoffs your workflow requires.
Integrations and data flow
CPQ is most useful when the right data reaches it and quote outcomes reach the next system. Common areas to evaluate include CRM opportunity and customer records, ERP product and pricing data, ecommerce channels, and order or fulfillment systems. Vendor materials describe these types of processes, but they do not establish which connectors, data mappings, or implementation effort will apply to a particular company.
Ask vendors to demonstrate the complete data path: where product and price information originates, how customer and opportunity details enter a quote, and where an approved quote or order goes next. Verify which integrations are available for your systems and which require configuration or additional implementation work.
Support for subscriptions and other business models
Product types can change what CPQ needs to do. SAP’s user guide lists subscription products as an additional capability (SAP CPQ User Guide). That does not establish equivalent support across all products or every subscription scenario. If you sell recurring services, physical goods, or a mix of offerings, verify how the platform handles the relevant pricing and lifecycle changes, such as amendments, in your own workflow.

How to evaluate CPQ features for your business
Compare platforms against representative products, prices, quote sizes, and approval cases rather than relying on feature labels alone.
| Evaluation area | What to validate |
|---|---|
| Configuration complexity | Can it represent required attributes, dependencies, bundles, and combinations that must be blocked? |
| Pricing policy | Can it apply your customer and channel pricing, discounts, exceptions, and margin rules? |
| Quotes and approvals | Can it create the required proposal and route exceptions to the correct approvers? |
| Business model | Does it fit your mix of physical products, subscriptions, services, and other offerings? |
| Integrations and data | How will customer, product, price, opportunity, quote, and order data move between your systems? |
| Scale and usability | Can sellers complete realistic quotes efficiently using representative data and workflows? |
Use a demonstration or evaluation scenario that includes a valid configuration, an invalid combination, a discount exception, an approval, and the handoff to the next system. Treat performance figures published by vendors as product claims until tested against your workload. For example, SAP says its software can generate quotes of 10,000 lines or more in seconds; this is a vendor-stated capability, not an independent benchmark (SAP CPQ product page).
